    Regional Supply Chain Assistant

    Job Purpose

    • The purpose of this role is to assist the customer in identifying cost saving opportunities and improvement of supply chain efficiencies for the dedicated region. To engage with the regional and national teams on a regular basis to identify, drive and measure key initiatives in the dedicated region. To ensure that all aspects of daily Customer admin and service queries are addressed. To act as the front-line administrative information conduit for customers and into other Vector departments by providing support to the Account Manager in the smooth running of a customer account. To build a deep understanding of Customer operations and ensure efficient and accurate data capture of workflow data updates and changes.

    Key Responsibilities

    Procurement:

    • Continued review of spend / categories / suppliers - identify opportunities (savings / quality / consolidation etc).
    • Take ownership of regional office spend (governance & good practice).
    • Liaise closely with Regional Finance to verify & seek opportunities - impact bottom line.
    • Maintain an active action & benefits plan - status & reporting on weekly basis.
    • Consider Regional vs national supply.
    • Identify relevant items that can be channelled through Vector (control & revenue).
    • Supplier Relationship Management (service levels / quality etc).

    Logistics:

    • AM and GM engagements in order to collect, report and resolve regional Logistics queries.
    • AM and GM support when running trials and NPD product launch – product availability and allocations.
    • Time studies conducted in regional casas to identify time saving opportunities within the logistics sphere.
    • Support regional project implementations like “Fresh strips”, “dual temp deliveries”, “EPOD”.

    Reporting:

    • Maintain an active action & benefits plan.
    • Provide weekly status & reporting.
    • Monthly stakeholder meetings.
    • Compile review packs (standard and non-standard).

    Relationship Management:

    • Answer daily general enquiries – represent the first point of reference including basic investigation and follow – up.
    • Escalate to Account Manager if required.

    Account Administration:

    • Implement administration on updated service level agreements.

    Project Administration:

    • Update project plans for new take on projects.
    • Setup and attend project meetings.
    • Ensure relevant communication flow with regards to individual projects.

    Key Account Management:

    • Conduct store visits (if required and as agreed per Customer need).
    • Participate in weekly operations planning meetings with internal supply planning and logistics.
    • Ensure administration and communication internally and externally around changes occurs according to agreed parameters.
    • Provide weekly and monthly reports on service levels, activity level reports and monthly DSC’s for customers and the Account Managers.
    • Provide support on competitive market research activities.

    Communication:

    • Handle communication in relation to stock and associated issues; engaging with various business functions on a daily basis.
    • Communicate requests from the Customer to relevant Vector stakeholders and provide feedback to the Customer.

    Qualifications, Skills and Experience Required for the Job

    Qualifications and Experience

    • Matric with a tertiary qualification in Industrial Engineering/Procurement/Supply Chain or Logistics or a similar related field.
    • Valid Code EB drivers' license.
    • 3 years account or general administration experience preferably in a FMCG sales environment.
    • Customer relations experience.
    • Supply chain and various roles within the FMCG realm.
    • Sales and logistics execution processes with emphasis on 3PL concepts.
    • An understanding of multiple key performance indicators, inter-relationship and bottom-line sensitivity.

    Warehouse Clerk

    Job Purpose

    •  To ensure the accurate, efficient and compliant handling, recording, loading and despatching of frozen poultry products from plant-based cold storage. The role is responsible for maintaining cold chain integrity, ensuring documentation accuracy, supporting stock rotation and compliance processes, and contributing to efficient warehouse and customer delivery operations.

    Key Responsibilities

    • Verify batch numbers, stock cases, quantities and pallet configurations before loading.
    • Prepare and validate despatch documentation including Check list (Stock exit) , QA temperature records are aligned with delivery notes, invoices, seal registers and pallet slips.
    • Coordinate loading activities to ensure on-time truck turnaround and accurate deliveries accordingly to Plan Fordge.
    • Ensure all products meet cold chain and quality requirements prior to despatch.
    • Conduct trailer inspections on standard GDPs and ensure vehicles are pre-cooled before loading.
    • Maintain accurate stock records and support FEFO stock rotation practices.
    • Assist with stock counts, cycle counts and inventory accuracy checks.
    • Process customer returns and complete all associated documentation, Factory report, customer complaints
    • Maintain housekeeping, safety and hygiene standards within dispatch and warehouse areas.
    • Collaborate with operations teams to resolve discrepancies, delays and stock issues.

    Checking

    • Accurately check all picked and palletized stock across the warehouse prior to dispatch and loading.
    • Ensure all stock is correctly labelled with a shipment number, is correctly positioned on the pallet and has been stored at the correct temperature to ensure adherence to specifications. Identify and remove any damage, expired or nonconforming stock in line with Company policies and procedures.
    • Implement good warehouse operating practices and deliver on key performance indicators.
    • Inspect products received for quality and quantity to ensure adherence to specifications.

    Housekeeping

    • Ensure a high standard of housekeeping is maintained inside the cold room.
    • Maintain cleaning equipment and ensure correct storage
    • Ensure that stacking is neat, square and secure
    • Ensure the cage is neat and tidy at all times
    • Ensure waste on floors is cleaned before the end of the day and walkways are neat and tidy.
    • Ensure pallet boards and pallets are removed timeously from pick levels and cold room.

    Cold Chain / Temperature Checking

    • Take daily temperatures.
    • Maintain records of all temperatures
    • Report any problems with the Warehouse Controller
    • Ensure all delivery truck refrigeration units are in working condition before loading and dispatching.
    • Always Maintain the Cold Chain
    • Ensure that no breakage takes place in the Cold Chain
    • Minimize standing outside the cold room.
    • Ensure there is no frozen product in receiving

    Stock Control

    • Ensure products get stacked correctly and securely, i.e. light on heavy.
    • Ensure no products get manhandled - thrown or dropped
    • Ensure no product is left outside the cold room.
    • Conduct spot checks on dispatching (loading).
    • Ensure the correct handling, storing, stacking and rotation of stock.
    • Minimize damage of products on receiving, in cold room and whilst loading.
    • Always monitor stock movement – i.e. receiving to cold room, cold room to loading.
    • Prevents overload, short loads, and wrong loads

    Conduct Stock Count Preparations

    • Assist in preparing the warehouse for the stock count
    • Ensure all damaged stock has been isolated and notes have been placed.
    • Ensure easy access to products for counting purposes
    • Conduct daily stock counting as requested by the Warehouse Shift Controller

    Loading Rate Maintenance and Monitoring

    • Maintain and monitor the loading rate (speed and accuracy).
    • Complete performance sheets and record time lost or any other problems.

    Timekeeping

    • Clock in and out at correct times.
    • Keep overtime at a minimum
    • Report any late coming from any staff member to the Shift Warehouse Controller

    Occupational Health and Safety Compliance

    • Observe compliance with the health and safety regulations / ISO requirements.
    • Ensure a high level of housekeeping, fire and accident prevention, safe work practices and proper job instructions.

    Good Handling Practices

    • Ensure loading and freezer door are kept closed
    • Ensure a glass free area by covering glass fixtures and not allowing cups and bottles near any product.
    • Ensure trucks are pre-cooled.

    Teamwork and Self-Management

    • Take ownership and accountability for tasks and activities and demonstrate effective self-management in terms of planning and prioritizing, and self-development.
    • Gives work instructions to Loaders, Forklift Drivers, Reach Truck Drivers and Pickers in the absence of the Shift Warehouse Controller.
    • Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
    • Inform relevant parties in the event of tasks or deadlines did not meet the potential risks thereof and provide appropriate resolution

    Qualifications and Experience

    • Grade 12 / Matric certificate (minimum).
    • Warehouse or Logistics related certificate will be advantageous
    • Valid forklift licence advantageous
    • Basic computer literacy essential
    • Understanding of food safety and cold chain standards advantageous
    • Minimum 2–3 years warehouse/despatch experience in FMCG, food production or cold storage environment
    • Experience working in a temperature-controlled warehouse preferred.
    • Experience in stock handling, despatch administration and customer returns processing required.
    • On-the-job training in SOPs, quality standards and food safety processes required.

    Skills and Competencies

    • Knowledge of warehouse and despatch operations within FMCG or cold storage environments

    Job Purpose

    •  To manage and control all warehouse operations relating to receiving, storage, stock control, FEFO management, replenishment, picking, checking, loading, dispatch, inventory accuracy, food safety, cold-chain integrity and customer service within fresh and frozen distribution operations.

    Key Responsibilities

    • Manage production receiving activities; control storage and racking operations; ensure FEFO compliance; maintain inventory accuracy; manage replenishment and picking activities; control HU scanning and dispatch verification; oversee loading operations; maintain cold chain compliance; manage food safety and SHEQ requirements; lead warehouse teams; produce operational and inventory reports; ensure customer service standards are achieved

    Strategy Execution

    • Work closely with the Warehouse Manager and/or Logistics Manager and the transport management team to ensure the delivery of an integrated supply chain benefit and strategic target achievement
    • Drive the implementation of improvements in PBCS warehouse operations to achieve significant gains in efficiency
    • Ensure the implementation of warehouse best operating practices and standardized procedures / practices throughout the warehouse
    • Manage the system for keeping PBCS stock control systems up to date and plan future capacity requirements based on forward planning on volumes from production and Distribution

    Operations Management

    • Control and monitor PBCS inventory levels and replenishment processes
    • Maintain the physical condition of the warehouse(s) by planning and implementing new design layouts in conjunction with the Warehouse Manager/ Logistics Manager; inspecting facilities and equipment; issuing work orders for repair and requisitions for replacement
    • Manage PBCS operational requirements by deploying warehouse operational and administrative employees and following up on work results.
    • Continuously consider cost reducing strategies over all activities of the warehouse
    • Manage the housekeeping of the warehouse(s) and surrounding area.
    • Plan the arrangement of goods within the warehouse and ensure special requirements for certain stock, such as Fresh goods are met.
    • Manage the system of picking, checking and loading to ensure productivity and compliance targets are met
    • Ensures that all tasks, activities and operations that are carried out on the day shift are coordinated with night duties and activities
    • Effectively and in a timely manner communicate with the Logistics Manager and Warehouse Manager regarding any issues, exceptions or problems occurring on the nightshift that warrant their attention.
    • Ensure customer orders are filled and loaded on trucks in the proper order as described in the loading SOP to achieve best utilization per load
    • Ensure that all orders are executed out of the warehouse, goods are not damaged in the process of loading and product integrity is within specifications of loading
    • Manage the execution of the transport plan for PBCS
    • Oversee returns and the document process back into SAP via returns process, on QA inspection, temperature, and detail analysis on identification on returns on a Factory report for Sign off.
    • Perform regular system health checks regarding replenishments, transfers, returns not completed on standard General Management practices.

    Warehouse Administration Management

    • Oversee the warehouse administration, ensuring that all goods receipting and issuing documents are accurately and promptly processed and signed off
    • Monitor the warehouse billing status, paperwork is complete as a pack on operation requirements on Picking slip, Stock exit, QA temperature checks, weighbridge slip and Pallet slip is complied
    • Ensure computerized administration and automated storage and retrieval systems are accurately maintained
    • Analyse and provide the inventory report, IN/OUT status report, dead stock report, goods age report, consumption report, manpower status report to the Logistics Manager.
    • Audit daily labour and billing reports

    Warehouse Maintenance Management

    • Oversee the planned and unplanned maintenance of warehouse equipment, ensure Job card process is following with Engineering

    Customers Service Level Management

    • Resolve issues encountered around damaged or short stock on complaints

    Risk Management

    • Ensure ISO compliance throughout the warehouse(s), including health and safety and food safety
    • Conduct daily health inspections and risk compliance inspections incorporating:
    • forklift inspections
    • lighting inspections
    • reach truck inspections
    • facility inspections
    • damaged stock
    • Participate in the risk committee and in HIRA work studies.
    • Ensure warehouse compliance with all national and provincial legislation and regulations, international SHERQ standards and with company and Principal policies in a Poultry industry
    • Ensure the safeguarding of warehouse operations and contents by establishing and monitoring security procedures and protocols on site and at the back door of PBCS.

    Team Management

    • Monitor team performance and provide regular performance feedback.
    • Coach and support the team where necessary to achieve objectives.
    • Lead the team towards meeting the strategy and targets through regular communication and utilization of the full organizational talent management tool set.
    • Address poor performance in individuals and teams in accordance with company policy and the relevant legislation
    • Conduct regular meetings and ensure that records are kept and shared across the team and that action plans agreed to within team meetings are delivered upon.

    Qualifications, Skills and Experience Required for the Job

    Qualifications and Experience

    • National Diploma in Logistics, Warehousing, Supply Chain Management or Operations Management.4 - 6 years’ experience in a warehouse environment,
    • 3 years of which in a Supervisory / Team Leader position 
    • Minimum 3–5 years warehouse experience. Minimum 2–3 years supervisory experience. FMCG or poultry industry experience required. Cold-chain warehouse experience advantageous.

    Skills and Competencies

    • Comprehensive knowledge of warehouse operations, SAP/WMS systems, inventory control, stock management, FEFO principles, cold chain management, food safety standards, HACCP, ISO/FSSC requirements, team leadership and analytical reporting.
