    Work Coordinator | Retail Operations | Shared Services

    Job Description

    • The candidate will be responsible for the accurate identification and distribution of work based on cut-off times and work types, ensuring that the business' turnaround times are met.
    • This individual will also attend to various ad-hoc duties and reporting centred around the business within the specified deadlines.
    • All of these should be done while observing the strictest high standards in line with the Allan Gray ethics and values systems.

    Responsibilities

    • To accurately and efficiently distribute all incoming instructions received through:
    • Incoming faxes and emails via Siebel and Appian (internal system)
    • Original instructions received from walk-in clients
    • Original instructions received via post
    • To manage and monitor the daily work queues and workflow through distribution of incoming work by performing daily service request reconciliations to ensure all work items have been processed
    • Implement controls to mitigate processing risk, particularly associated with work distribution, cut-off's and turnaround times
    • To recommend efficiencies to existing processes and provide input to new processes by identifying trends and irregularities in workflow process
    • Ensure timeous processing of daily workflow so as to meet / exceed client expectations and Service Level Agreements (SLA)
    • Support Allan Gray stakeholders with ad-hoc duies as required
    • Preparation and posting of all client related communication
    • Scanning, posting and distribution of received post
    • Filing and Metro file maintenance of the received post
    • Ensure timeous assistance with communication queries relating to the print room
    • Management of returned mail

    Technical Business Analyst

    Job Summary

    • We are looking for a dynamic, enthusiastic, & proactive business analyst to be the link between the Retail IT CRM business objectives and our technical teams. The ideal candidate for this position is detail-oriented, analytical, collaborative, dependable, accustomed to working in a technological environment with multiple integrated systems highly analytical and has relevant experience in workflow management systems. The successful incumbent will be responsible for translating business needs into IT solutions, by supporting and ensuring the successful completion of requirements elicitation, analysis, and quality assurance for our new features and software products in the CRM applications.

    Job Responsibilities

    • Analyse and solve business problems using technology
    • Product backlog, prioritization, process mapping
    • Gain a deep understanding of the key business processes, people, and IT systems that support them
    • Elicit requirements, analyse, validate, and document requirements for business problems using a range of techniques in collaboration with business stakeholders and the Product Owner
    • Communicate with stakeholders and provide sufficient information to allow for informed business decisions
    • Identify the business problem and come up with appropriate solutions, identify project and solution risks, document benefits of existing and proposed solutions and conduct impact analysis of proposed solution
    • Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding and distinguish user requests from the underlying true needs

    • Experience that demonstrates your ability to function well in a detailed environment with particular concern for accuracy and quality
    • Proven experience preparing and maintaining business requirements/workflow, prioritising requirements enforcing change control policy and validation testing of business requirements
    • Proven experience identifying and documenting functional and non-functional technical requirements
    • Technology or Business Analyst qualification preferred
    • Strong interest in technology and financial services specifically

    Skills And Competencies And Experience
