    Coordinator - Internal Communications: Africa

    Key areas of responsibility include:

    • Under general/ limited supervision, support the delivery of internal communications processes and activities within the cluster in order to communicate effectively within the organization. 
    • Support in shaping the communication strategy in line with cluster level business strategy, internal and external stakeholder requirements, corporate guidelines and policies.
    • Support with the development and execution of the yearly Africa Internal Communications Plan and specify communication programs in the areas of media relations, internal communication, branding and public relations in line with overall DHL guidelines.
    • Maintain the Internal Communications network across Africa (i.e. Smart Connect Champions).
    • Create/ write engaging content for all Internal Communications Channels (i.e. Smart Connect, Email, in-person events, virtual events, etc.) and regularly evaluate the efficiency of the channels used, making continuous improvements.
    • Administer internal communications channels and support timely distribution of material for internal communication such as newsletters, brochures, handbooks, conference and seminar materials, etc.
    • Gather, prepare and gain approval for the content for regular channels, such as newsletters, e-zines, e-mail bulletins, etc. as required.  
    • Assist with managing the internal communications data bases and explore ways to increase viewership/ usage of channels by employees on a regular basis.
    • Drive an effective internal communications agenda that fosters a culture of belonging and openness to enhance employee experience.
    • Develop a range of communication tools across a spectrum of media such as PR, radio, TV, print, online, etc. to facilitate the accessibility and ease of dissemination.
    • Support the BD and Sales team with the development of presentations, capability profiles, and other sales materials required.
    • Update and share communications assets with the Internal Comms Network across the cluster on a regular basis.
    • Foster integrated relationships with the different functions, business units and key stakeholders within the business.
    • Provide communication guidelines and advice to internal stakeholders to ensure effective communication on sites.
    • Assist with planning and executing all Marketing Communications events.
    • Support with the delivery of MD communications to all employees, including town hall events and MD road shows.
    • Manage all administrative tasks within the Marketing Communications department.
    • Keep an updated timetable of all Marketing and Internal Communications initiatives.
    • Localization of digital material as needed (email, posters, videos, digital assets, etc.)
    • Support administrative tasks associated with local Marketing and PR agenda.
    • Support local teams to maximise customer experience during marketing activities.
    • Manage travel booking for the Marcomms department and provide timely and effective administrative support such as arranging meetings, developing agendas, etc. for communications programs.
    • Draft content for LinkedIn and other social media platforms/ channels.
    • Manage the GoTeach agenda for DSC South Africa and support with CSR activities across the cluster.
    • Support local teams with maximizing employee engagement activities during Internal Comms activities.
    • Co-operate with global communications team to support global projects and initiatives.
    • Support teams when ordering Promotional Items for special events.
    • Manage and maintain central stock of promotional items.
    • Individual contributor without direct responsibility for leading others.
    • Provide assistance and training to lower level employees.
    • Delegating and reviewing the work of lower level employees.

    Qualifications & Experience

    • Matric.
    • Qualification in Marketing, Communications, Advertising or related field.
    • 1-2 years of marketing or communications experience.
    • Transportation/Logistics industry background.
    • Strength of relationship(s) with Team, and cross-functional teams.
    • Business-to-business marketing strategy and implementation experience.
    • Excellent communication skills, including experience managing media relations.
    • Experience working in matrix organization.
    • Completion of approved marketing deliverables.
    • Assertive demonstrating strong leadership abilities, able to drive the agenda.
    • Experience in managing multiple phases of podcast production, ensuring on-time delivery, and coordinating with stakeholders.
    • Understanding audience metrics and engagement to continuously improve production quality and impact.   
    • Experience with video production tools and essential editing software.
    • The ability to solve technical and creative challenges on the go is critical.
    • Understanding how videos fit into the broader marketing strategy for effective storytelling.
    • Experience in creating marketing materials that align with brand guidelines and support business goals.

    Quality & Regulatory Assurance Lead: Africa

    Key areas of responsibility include:

    • Driving the delivery of QRA processes in Africa aligned to the strategic business agenda.
    • Management and measurement of Service Quality Initiatives – monitoring the Service Quality KPIs, investigation and root cause analysis & support operations with correcting actions to ensure high service quality. 
    • Support OMS FC Implementation:  Training and Coaching on Work Instructions and SOPs and other Elements aligned to site implementation resources and OMS FC Advisors.
    • Start Up project support: Ensure that sites operate to DSC Quality Standards, plus regulatory & customer requirements, aligned with Operations and Project Managers.
    • Conduct Site Audit process: Using QPA/Gemba techniques integrated to OMS FC Standards Confirmation if applicable.
    • Delivery of Site Training: Online, calls, courses and coaching delivery on critical QRA skills and requirements. Quality related training (Root cause analysis, problem solving, etc.).
    • Review of Self-Assessment & CAPA Management: Provide feedback and focussed support to Operations.
    • External/Customer audit support & liaison: Selective support for audit preparation & response (directed by Africa OE Lead).
    • Service Quality Metrics Monitoring trends, Conduct Investigations & develop actions and countermeasures.
    • Guide Regulatory & Licensing Activity, including Customer and Trade Compliance: Support and advice for Site Operations in compliance areas.
    • Ensure the Quality of the operating process and the certifications required legally, by clients or at the corporate level.
    • Responsible for the development, management and maintenance of all elements of the Quality Management System (QMS).
    • Support EMEA Leadership in QRA support.
    • Ensure the Quality of the operating process and the certifications required legally, by clients or at the corporate level.
    • Compliance First Mindset:  GMP, GDP, ISO 9001 and 13485 requirements; Act as the company representative with the local authorities by being named in the relevant GxP licences.

    • Guide operational and non-operational departments on quality standards and regulatory requirements and issues as well as providing visibility of compliance status to the Operations Excellence lead, business units as part of the management review process.

    Qualifications & Experience

    • Matric.
    • Recognized science degree such as Pharmacology, chemistry and/or biology LSHC qualification e.g. have been an RP or a QP Certified Quality Auditor.
    • Project / program management certification or relevant experience.
    • Operational experience of the Supply Chain, LSHC, Pharmacy or similar process industry (e.g. Manufacturing, activity involving shopfloor labour processes.
    • Extensive knowledge of LSHC requirements, current GxP and regulatory requirements applicable in the industry
    • At least 7 - 10 years of management/supervisory responsibility and professional experience in logistics industry
    • Experience in leading non-specialists in technical and regulatory applications.
    • Credible with Operations staff in Gemba and Coaching activity.
    • Experience and working knowledge of Quality Assurance principles and methodology.
    • Experience conducting/leading successful acquisition of certifications and accreditations (e.g. ISO) of a relatively large and complex organization and subsequent management of a quality system.
    • Extensive knowledge of LSHC requirements, current GxP and regulatory requirements applicable in the industry and Implementation experience of GMP, GDP, ISO 9001 and 13485 requirements
    • Functional expertise in other areas such as project work, development, change management etc. is preferred, with exposure to working on large, complex projects or operations.
    • Quality Role expertise in gaining/maintaining pharmaceutical and medical device licenses.
    • Ability to manage own and outsourced work in an organized and methodical way, maintaining accurate records and reporting progress.
    • Detailed knowledge of logistics processes (warehousing and transportation), especially LSHC and manufacturing operations.
    • Knowledge in DHL strategic quality products (e.g. Etq, ICS).
    • In depth understanding of FC processes and LEAN approaches.
    • Experience of working in and with multiple operations.
