    SHEQ Administrator

    Job Purpose

    • To carry out duties to agreed level of performance and contribute to the continuous improvement of all administration processes. To ensure that all risks are identified and assessed by using recognized, formal and structured processes. To facilitate effective risk management, implement risk reduction measures and establish a SHEQ and Quality plan to achieve targets and objectives within a specific time frame. Responsible for all SHEQ administration functions, checklists and inspections required the DC.

    Key areas of responsibility include:

    Main responsibility 

    • To ensure full compliance to the requirements of the O.H.S act
    • Machinery and equipment tracking.
    • Update Legal appointment trackers and assist with all appointments
    • Machinery and equipment tracking
    • Ongoing training and communication to facilitate a safe, hygienic and healthy work environment
    • Update training matrix and co-ordinate training arrangements
    • Functions and activities - general administration
    • Carry out relevant checklists for site
    • Maintain the risk programme and fulfil requirements in support of the Risk Department
    • Log facility requests for services, repairs and maintenance
    • Occupational health & Hygiene and assist in pertaining audits
    • Assist with Contractor Management
    • Compile minutes of monthly safety meetings held
    • Log near misses, hazards and BBS conversations relevant to the site KPI on the SHEQ Reporting Management System
    • To assist with the induction of all new employees and contractor management documents / files and analyse the data weekly
    • Any other reasonable and executable tasks within your ability, assigned by your Line Manager
    • Day to Day filing of SHEQ documents
    • Monitoring of SHEQ stats and escalate when KPI's are not met
    • Recording of PPE issues and monitoring their use
    • All incidents / accidents reported and recorded in accordance with the Company's Policy and Legislation
    • Proactive identification of all risks and appropriate action implemented immediately and all relevant parties to be informed
    • Updating of SHEQ communication boards daily / weekly
    • Assist in conducting SHEQ risk assessments for the site
    • Review Logics open incidents and action any overdue actions
    • Participation on stock take preparation, planning and physical stock count
    • Compliance to Good Distribution Practice Guidelines

    Senior Planner: KC Vulcania

    Role Outline

    • Under limited supervision administer logistics planning activities to provide transportation and distribution activities for fast, reliable, efficient, safe and cost-effective transportation of goods and materials from origin to destination in line with the business plans and requirements, corporate guidelines and policies. Support the DHL KC dedicated planning role and capture all related route information to support billing accuracy. Maintain accurate data capturing to provide accurate daily and month end reporting.

    Key Responsibilities

    • Support the DHL KC dedicated Bulk planner under limited supervision administer logistics planning activities to provide transportation and distribution data input capturing to support accurate transportation information and billing.
    • Perform broad range of tasks and activities to provide fast, reliable, efficient and affordable transportation of goods from origin to destination.
    • Accurate transport trip allocation data capturing of all KC hauliers national transport shipments from DCT transport planning into SAP.
    • Reconciliation for both Linehaul and Fine pick trips.
    • Checking data accuracy and segregation of duties related to the systems.
    • Expediting all PODs within the respective lead times e.g. bulk trips 10 x days.
    • Liaise with the respective GRA dept and all TSPs & Cross Doc depots to have all Fine pick PODs captured.
    • Build and promote strong relationships with the nominated hauliers.
    • Closely interact with the Planners to ensure all orders and trips are correctly allocated to the correct hauliers.
    • Interact with the receive hauliers related to shorts, damages and late deliveries
    • Attend to any daily queries to be dealt with and resolved.
    • Updating of confidential rates on the DCT system as well as OTIF (On Time In Full) data for monthly reporting.
    • Extract BI Reporting to track and expedite PODs not yet processed.
    • Updating both Primary and secondary loads spreadsheet reporting for month end reporting.
    • Interact with the mother warehouse to ensure the correct loads are allocated to the correct hauliers
    • Updating the monthly OTIF (On Time In Full) data to meet month-end reporting.
    • Attend to routine tasks and support for any emergency or contingency plans when necessary.
    • Gather data and information for conducting freight analysis and analysis of current transportation and operations practices to support decision making and improvements.
    • Follow and achieve compliance by following laid down processes and guidelines for efficient and safe operations for logistics facilities and transport networks.
