    Rental Administration Assistant

    • IGrow Wealth Investments, South Africa’s #1 Property Investment Company, is looking for a Rental Administration Assistant to join their team in Gauteng.

    To qualify for this position, you need:

    • Matric.
    • Minimum 2 years of experience in a similar position.
    • Previous property administration experience.
    • Strong administrative skills.
    • Detail oriented.
    • Excellent communication skills and telephone etiquette.

    Duties and responsibilities include, but not limited to:

    • Possess experience with the Gauteng Rental Housing Tribunal, including lodging cases and representing the company at the Tribunal.
    • Assist the Gauteng Rentals manager with administration requirements.
    • Process all Gauteng rental applications.
    • Submit applications through to insurance to be approved.
    • Provide feedback to applicants once application is sent to Insurance for approval.
    • Follow up on Insurance approvals daily.
    • Update required lists on tenant move in dates.
    • Attend weekly marketing meetings.
    • Follow up on outstanding lease documents and payments prior to move in date.
    • Once approval is received from insurance, send lease instruction to Portfolio, agent and Gauteng Rentals manager.
    • Assist with opening Red Rabbits tickets.
    • General tenant queries and Landlord communication.

    Senior Conveyancing Secretary

    • IGrow Wealth Investments, South Africa’s #1 Property Investment Company, is looking for a Senior Conveyancing Secretary to join their property team in Cape town.
    • As a Senior Conveyancing Secretary, specializing in Residential Real Estate and new development transfers, you will play a pivotal role in supporting the conveyancing attorney by
    • managing administrative and legal tasks associated with property transactions. This position ensures that all legal documentation, processes, and paperwork are efficiently handled and comply with the law.

    To qualify for this position, you need:

    • Matric (Essential).
    • Legal Secretary, Paralegal, or Conveyancing Qualification (Advantageous).
    • In-depth knowledge of Conveyancing software/systems such as Lexis.
    • Proficiency in Conveyancing Software (Lexis Convey, E4, SearchWorks Windeed).
    • Proficiency in Accounting Software (e.g., AJS).
    • Minimum of 5 years of experience in a law firm or conveyancing department, particularly in handling various property transactions (Real Estate new developments).
    • Experience with bond transactions is beneficial.
    • High proficiency in Microsoft Office (Word, Excel, Outlook).
    • Strong attention to detail with a focus on quality.
    • Exceptional organizational skills, with the ability to manage multiple files and transactions simultaneously while meeting deadlines.
    • Ability to work independently and efficiently under pressure.
    • Solid and stable conveyancing secretarial experience is essential.
    • Excellent communication skills, with the ability to explain legal processes clearly and concisely to clients.
    • Professional writing skills for formal correspondence, including letters, emails, and notices, to clients, estate agents, and financial institutions.

    Duties and responsibilities include, but not limited to:

    Transaction Management:

    • Take ownership of property transactions from inception to completion.
    • Prepare and manage files in accordance with specified requirements, including conducting necessary property and personal searches.
    • Organize and maintain legal files for each property transaction, ensuring that all documents related to transfers, bonds, and cancellations are accurately filed.

    Stakeholder Communication:

    • Maintain effective communication with both internal and external parties,including banks, municipalities, rates consultants, estate agents, the Deeds Office, and others.

    Drafting Legal Documents:

    • Draft legal documents using E4 / Lexis Convey software.
    • Obtain Transfer Duty, Rates Clearance, and Homeowners/Body Corporate consents.

    Progress Tracking and Deadlines:

    • Track the progress of property transactions to ensure deadlines are met and that all procedural steps are followed.
    • Manage the lodgement and registration of all transfers, bond cancellations and bonds.

    Financial Management:

    • Oversee all financial aspects of the conveyancing transactions.

    Client Interaction and Relationship Management:

    • Ensure that all required documents (e.g., identity documents, proof of payment) are collected from Sellers and Purchasers for the transfer process.
    • Coordinate the timely signing of documents with Sellers and Purchasers to facilitate the transfer process.
    • Maintain regular communication with clients, providing updates throughout the conveyancing process.
    • Collaborate with developers, attorneys, and clients to ensure smooth execution of property transactions in new developments.

    Onboarding Specialist (Rentals)

    • With your previous working experience within the property industry, you will responsible for managing the seamless transition of existing tenants from another rental agency to IGrow. This role ensures that all necessary documentation is received, verified, and recorded accurately while maintaining clear and consistent communication with all stakeholders.

    To qualify for this position you need:

    • Matric Qualification
    • Previous working experience within the property industry.
    • Proficiency in data entry and CRM/property management. systems.
    • Strong administrative and organisational skills.
    • Detail orientated.
    • Excellent communication skills. (verbal and written)
    • Ability to manage multiple tasks.
    • Deadlines driven.
    • Customer-focused approach with strong problem-solving abilities.
    • Duties and responsibilities include, but not limited to:
    • Oversee and administer the onboarding process for tenants transitioning from another rental agency to IGrow.
    • Ensure all required documentation and information are received in a timely manner and remain current.
    • Liaise with stakeholders on a weekly basis to provide progress updates and address any concerns.
    • Maintain accurate and up-to-date records in relevant systems.
    • Communicate effectively with clients to keep them informed throughout the onboarding process.
