    Operations Director

    Responsibilities

    Clients:

    • Confidently engage with senior clients during fee negotiations, reconciliations, and in developing business cases for additional scope and funding alongside client leads and financial leads.
    • Provide hands-on oversight and quality assurance on key, high-value projects, ensuring on-time, on-budget delivery.
    • Build and maintain trusted relationships with key clients, ensuring operational alignment with client expectations

    Commercials:

    • Enhance agency performance by implementing efficient processes, resource planning, technology adoption, and strategic hiring.
    • Drive and manage Commit and RF planning cycles, ensuring FTE planning metrics are met across all client models and the overall agency. Manage all associated new hires, increases and productivity outcomes.
    • Ensure 80% - 100% FTE billability of resources and propose organogram refinements to improve staff cost ratios.
    • Lead the Account Management team on financial planning and optimisation.
    • Manage contractors, freelancers or suppliers.
    • Review and manage all agency’s budgets and delegated fees.
    • Approve all travel costs and manage the travel budget.
    • Manage and negotiate high-level vendor relationships (including South African print, web, production, and event partners) to ensure quality, cost efficiency, and alignment with agency objectives.
    • Oversee agency production to maximize quality and profitability across all deliverables.

    Planning:

    • Lead high-level resource planning and strategic resource management across all agency functions (creative, strategy, social media, content marketing and client account management).
    • Finding solutions for clients within and outside of agency functions which could include but not short of, data, production, PR, digital & media.
    • Manage the Resource Co-Ordinators and collaborate with the Account Leads,
    • Creative Leads, and team leads to implement plans effectively and maintain optimal resource utilization.
    • Partner with the Leadership Team to align operational plans with the agency’s strategic vision.
    • Identify and manage operational and project risks proactively, developing mitigation plans to protect agency profitability and reputation.

    Processes:

    • Champion change management initiatives, including stakeholder communication, training, and success measurement to ensure smooth adoption of new processes, tools, or structural changes.
    • Continually evaluate, refine, and implement agency processes to ensure they are future-fit and scalable.
    • Establish and document operational workflows that enable seamless delivery across creative, content marketing, strategy, social, production, Publicis partner agencies and account management disciplines.
    • Implement processes to optimize resource allocation, ensuring balanced workloads and meeting project timelines.
    • Develop and manage key operational metrics and reporting frameworks to measure and continuously improve delivery performance.

    Technology:

    • Evaluate, implement, and integrate operational software solutions relevant to South African agency needs (e.g., Chase, Altair, Roar or similar systems).
    • Manage change adoption for all technology implementations, ensuring staff training and process alignment.
    • Monitor and report on agency time tracking and billability metrics, driving efficiency and transparency.
    • Leverage AI and automation tools where relevant to enhance productivity, while managing AI-related risks to the agency’s competitive advantage.
    • Collaborate closely with the Publicis IT team to meet technology requirements, including South African POPIA compliance and data security best practices

    People:

    • Ensure accurate and updated capacity planning, supporting optimal resource utilization.
    • Foster a collaborative, high-performance culture across operational teams and departments.
    • Work effectively with creative, strategy, content marketing and account management teams to deliver operational excellence.
    • Partner with the Talent Team to support recruitment, onboarding, and retention strategies tailored to South Africa’s talent landscape while following Publicis ways of working.
    • Champion a culture of continuous improvement and skills development within operational teams.
    • Support the agency’s commitment to diversity, equity, and inclusion by fostering inclusive processes and ensuring equitable opportunities across operational teams.

    Qualifications

    • Proven operations management within a full-service advertising or creative agency.
    • Experience managing multiple teams across creative, media, production, digital, and client service.
    • Strong people management skills, with a focus on building inclusive, high performing teams.
    • Expertise in operational budgeting and financial oversight.
    • Strong process management experience, including workflow design and optimization.
    • Experience managing vendor relationships, including South African suppliers.
    • Proven ability to foster a positive, collaborative agency culture.
    • Expertise in performance management and driving accountability
    • Solid capacity planning and resource forecasting experience.
    • Track record in leading change management initiatives, particularly in agency environments undergoing transformation.

    Account Director

    Responsibilities

    • To implement and manage the successful creation, integration, development and roll-out of client campaign communication.

    Main responsibilities (include but are not limited to):

    • Strategically lead your portfolio of accounts and build strong, long lasting relationships
    • Ability to offer sound recommendations and add real value that positively influences the business
    • Identify and maximise new business growth in collaboration with the client
    • Be the “go to” person on their (client) brand across all communication disciplines
    • Collaborate with and act as a team player with the staff compliment
    • Mentor, grow and act as a layer of support to your direct reports (Account Manager & BTA) as well as the broader Client Service team
    • Work in and open and honest way with your line manager ensuring that issues are raised quickly
    • Show value by identifying potential business opportunities for both the Agency, Groupe as well as Client
    • Play an active role in working on new business pitches as and when required
    • Nurture and grow your Account Manager from the start; support them in the operational and client relationship success of their day to day work

    • Support and maintain the host agencies culture across your team
    • Work with your Account Managers, Account Directors and BUD to help shift your clients relationships from pure execution to become more consultative partners who add real value
    • Proactively contribute to the on-going vision of the agency, leading by example and driving an innovative spirit within the (PO1) team
    • Respect the operational processes at all times
    • Responsible for client and employee reviews with the aim to improve scores year on year
    • Ensure campaigns are fully integrated and deliver on brief requirements
    • Take ownership of your accounts finances and ensure CE's and billings are completed on time as outlined by the Finance team
    • Keep abreast of market developments, trends and innovation in order to identify potential opportunities for the agency and your clients (maintain industry best practice)
    • Ability to scope projects from a resourcing and timing POV

    Qualifications

    • Relevant tertiary qualification in Business Management / Marketing / Communication / Advertising
    • Proficient in MS Office (i.e. Word / Excel / PowerPoint)
    • At least 3-5 year’s experience working in an Advertising Agency in Client Service with 1 year being in an Account Director role or similar
    • Proven experience in strategically leading client accounts
    • Successfully identifying and driving new business opportunities
    • TTL & Digital experience is essential
    • A good command of the English language (both verbal and written)
    • Excellent administration and organizational skills
    • Strong time management skills

    Account Executive

    Overview

    • This role involves managing day-to-day operations, ensuring all projects flow smoothly, and supporting the coordination of assets, production timelines, and reporting. The Implementation Account executive will work closely with both internal teams and clients to ensure that all assets meet quality standards and are delivered on time.

    Responsibilities

    Project Support & Coordination:

    • Assist in managing the adaptation of assets for local markets by coordinating with the Adaptation Hub and local teams.
    • Track project timelines and ensure smooth execution of adaptation projects.
    • Help ensure that all projects follow brand guidelines and are produced to the highest standards.

    Process & Workflow Assistance:

    • Support the Implementation Lead in overseeing the end-to-end production process, from receiving briefs to the final delivery of assets.
    • Help troubleshoot issues during the adaptation process and escalate when necessary.
    • Collaborate with internal teams to ensure the efficient handling of all project requests.

    Reporting & Documentation:

    • Assist in collecting and verifying project data from the Adaptation Hub and preparing reports for the Implementation Lead.
    • Ensure accurate documentation of project status, timelines, and issues.
    • Provide administrative support for presentations and weekly/monthly project updates.

    Relationship Support & Communication:

    • Support the building of strong relationships with local teams, clients, and stakeholders.
    • Communicate effectively with internal teams to ensure alignment on project goals and timelines.
    • Provide regular updates on project status and assist in managing client expectations.

    Qualifications

    • 2+ years in a support or project coordination role within a creative agency, content production company, or related field.
    • Basic understanding of campaign production, including digital, print, and film assets.
    • Strong organizational and project management skills.
    • Excellent communication skills and ability to work within a team.
    • Comfortable using online tools and systems for project management and reporting.
    • Ability to handle multiple tasks simultaneously and meet deadlines.
