    Snr Administrator Processing Data Admin - Grain Field Chickens Abattor, Reitz

    Job Description

    • She will be responsible for administration such as assisting with developing and documenting standardized and/ or customized reports as well as supporting the Operations Data Admin Manager with other responsibilities, including data capturing on Avihance as well as generating Processing/ Operations reports in line with company Standard Operating Procedures.

    Requirements

    • Grade 12 or NQF Level 4 equivalent.
    • Certificate / Diploma in Office Administration will be advantageous.
    • 2 - 5 Years’ Admin/ data-capturing experience.
    • Some experience supervising a team.
    • Prior admin experience in an abattoir/ agricultural environment will be advantageous. 
    • Knowledge of Avihance, NAV, Aavocet, M-Query will be a definite advantage.
    • Demonstratable Computer literacy: Excel, Word and Outlook.
    • A willingness to work overtime, on weekends when required.

    Duties and Responsibilities 

    Administrative :

    • Prepare presentations, proposals, and analysis as required/assigned. 
    • Document control: Compile, edit and review SOPs and other documents.
    • Coordinate office activities and operations to ensure efficiency and compliance.
    • General administration (including filing, answering telephones, sending, and receiving emails and preparing documents) where it is required.
    • Provide administrative support to Operations and Management Teams .

    Others:

    • Correspondence with suppliers and customers on CHEP-related disputes
    • Admin, ordering and inventory control of CHEP.
    • Utilize tools such as the CHEP Management System.

    Planning: 

    • Planning of daily production plans (Fresh & Frozen).
    • Correspondence with Customers.
    • Correspondence with the Sales, Dispatch and Processing Teams.

    Reporting:

    • Collect information/ data for Operational and Technical reports.
    • Updating and capturing data for record purposes and reports.
    • Compile new Operational Data Reports as required by Operations Management.
    • Compile and analyze tables and graphs on available data.
    • Any other duties as may be required by line Manager.

    SHEQ & ISO Administrator

    Job Description

    • Responsible for providing administrative support and reporting capability to the Safety, Health & Environmental Team, including investigations, reporting on all incidents or accidents that can result in personal injury or damage property as well as assisting with the maintenance of the Abattoir HSE Standards.

    Job Requirements

    • Grade 12 / NQF Level 4 Equivalent.
    • Health and safety qualification preferred.
    • Minimum of 1-year relevant experience required.
    • Experience within a poultry abattoir/ FMCG environment preferred.
    • Construction Regulations and other NOSA or similar training would be beneficial.
    • SAMTRAC, SHEMTRAC, Hazard Identification & Risk Assessments, Legal compliance Assessments.
    • Internal or Lead Auditor certifications (e.g., ISO 45001 Lead Auditor) are highly advantageous.
    • CB - Code B driver’s license/ own reliable transport preferred.
    • A willingness to work shift and overtime including on weekends and public holidays.

    Duties and Responsibilities

    • Provide administration support to the SHE Officer and the H&S team.
    • Take minutes at meetings.
    • Prepare reports and documents for the SHE Officer.
    • Review and coordinate risk assessments, registers, incident reports and audits.
    • Manage internal databases, registers, and auditing systems.
    • Administration and management of the Safety, Health & Environmental Management System.
    • Process Accident and Incident forms, updating spreadsheets and following up as required.
    • Assist with Safety & Health Training, administering Training registration, records and issuing certificates where required.
    • Assist with overseeing the work done by staff, trades people and subcontractors and refer non-compliances to the SHE Officer and/ or relevant line managers.
    • Monitor on-going compliance and always report findings and summaries to the SHE Officer.
    • In the event of an accident, incident, or emergency, assume management of the site.
    • Assist with annual Health and Safety Management Systems Audits.
    • Participate in and report on management systems audits, inspections, investigations, and meetings as required.
    • Actively participate in external contractor, visitors, and employee’s induction process.
    • Promptly report all accidents, incidents and near hits and participate in investigation as required.
    • Participate in health, safety, quality, environment, and risk initiatives.
    • Participating in the company’s Health and Safety Committee Meetings.
    • Draft & distribute toolbox talks to all departments and ensure attendance registers are filed.

    Co-ordinate the monthly safety meeting:

    • ensure meeting times are set.
    • agendas are sent out.
    • minutes are kept and sent out.
    • ensure that all support documentation in respect of the safety program is received on time and in the correct format from all concerned parties.
    • Assist in appointment of safety representatives for all departments.
    • Evaluate incident forms, surveys, audits to establish root causes and together with Supervisors and Managers concerned, formulate a plan of action to correct noncompliant behavior or conditions.
    • Assist with ensuring onsite contractors comply with Company safety regulations and adhere to safety standards, including basic safety induction training.
    • Conduct surveys and audits as required to identify and minimize the risk to company and employees.
    • Identify unsafe acts, conditions, and hazards, investigate root causes, and identify corrective and preventative actions and report to management.

     Assist the SHE Officer with the formulation of emergency/ contingency plans for:

    • Natural disasters
    • Industrial action
    • Political unrest
    • Fire
    • Explosions
    • Bomb threats
    •  Assist with drafting, reviewing, and updating of Emergency Procedures and SOPS as and when requested by SHEQ Manager.

    Complete all documentation accurately and in full - Range: Documents include, but are not limited to:

    • Incidents & Accident Reports
    • IOD Reports
    • Other Safety, Health & Environmental Reports
    • Complete and/or update the prescribed reports and/or documentation manually or on a computer system.

     ISO Standards:

    • Develop, implement, maintain and improve ISO management systems in accordance with of ISO 22000, ISO 14001 and ISO 45001 and other relevant standards.
    • Coordinate and conduct internal audits to ensure compliance with ISO standards.
    • Prepare for and facilitate external audits by certification bodies.
    • Identify areas for improvement and work with various departments to implement corrective actions.
    • Maintain documentation and records related to ISO certification.
    • Provide training and support to staff on ISO standards and procedures.
    • Monitor and report on the performance of the ISO management systems.
    • Stay updated on changes to ISO standards and ensure the company remains compliant.
    • Any other duties as may be required by line manager.

    Skills and Abilities Required

    • Thorough knowledge of ISO 22000, ISO 14001 and ISO 45001 plus Certification requirements.
    • Working knowledge of integrated management systems (IMS).
    • Working knowledge of safety systems.
    • A working knowledge of local OHS requirements.
    • A working knowledge of environmental stewardship.
    • A Working Knowledge of a food producing environment.
    • Able to engage and work with external stakeholders, suppliers and contractors.

    Corporate Assistant (Fixed Term 6 months) - VKB Secretariat, Head Office Reitz

    Purpose of the Role

    • The Corporate Assistant provides high-level administrative and governance support to the Corporate Services function within the VKB Group. This role ensures the smooth implementation of corporate governance processes, assists with the maintenance of statutory records, coordinates board and committee meetings, and facilitates effective communication within the Group.

    Qualifications and Experience

    • Diploma or Degree in Business AdministrationCorporate GovernanceLaw, or related field.

    • Contribute to risk management initiatives and governance reporting across the Group.

    Meeting Coordination

    • Prepare, compile, and distribute agenda packs timeously for meetings.

    Communication and Correspondence
