    Payroll Administrator

    Job description

    To capture data received for new employees, terminations, hours, lease vehicle data, etc. to ensure employees are paid accurately and on time every week & to ensure data is available for GL posting and reporting purposes to support the financial processes such as reconciliations, third party payments, etc. on a weekly basis upon conclusion of the payroll runs for Pretoria, Customer Service Office, and Port Elizabeth payroll areas.

    Position Details:

    • Calculation, & processing of hourly payroll data - medical aid data, provident contributions, hourly rates, lease vehicle data, meals deductions, etc
    • Accurate results impact on bottom line and mistakes and errors will impact negatively on the financial results and also on employee morale
    • Process and review employee input on deductions, earnings and benefit entries like advances to be recovered, type of loans, etc.
    • Process HR import files - all new employees, terminations and payroll transactions + review payroll results with each weekly run;
    • Review all Time and attendance (EOH Bestime ) input and ensure updated entries are processed accurately on payroll;
    • Maintain all PTA & PE & CSO employee payroll records, including weekly processing files on payroll transactions;
    • Liaise weekly with Payroll Supervisor on validity of data, inclusion, and completion of data processed and accuracy of preliminary payroll results;
    • Service delivery to all employees in respect of payroll queries related to tax & retro calculations done during payroll processing
    • Assist with testing of new developments and wage types in the QA environment

    Knowledge, Skills & Abilities:

    • Thorough understanding of SAP system generated payroll entries and error message during run to ensure correct resolution of items
    • Deadline driven and a self-starter – work is guided by weekly requirements within the payroll framework and instructions will determine how assignments are completed.
    • Judgement – Assesses reporting requirements and chooses an approach using accepted data collection.
    • Communication –must be articulate and able to explain legislative requirements, tax deductions, retro calculations, etc. to employees to ensure understanding and clarity of the person concerned
    • Working under pressure – often faced with many tasks to perform, tight deadlines on a weekly payroll as well as month end procedures to be followed
    • Attention to details – Payroll data is detailed information and must be accurate to pay employee correctly as incorrect payments result in serious labour disruptions & dissatisfaction.
    • In addition, the incumbent should display a methodical approach to complete tasks and requirements and must be able to priorities on the basis of urgent and important constantly.
    • Willing to complete a task to meet agreed timelines – work long hours and be resilient and able to deal with a pressurized environment

    Qualifications and experience:

    • BComm degree in Finance / B Compt
    • SAP payroll system knowledge – SAP is a complex system with specific requirements on capturing and it is date driven. A clear understanding is needed to prioritize earnings and deductions to ensure processing of data to deliver accurate results. Expert level knowledge in SAP Payroll Modules
    • Proficient in Microsoft office as well as other related software - Produces work in excel – Vlookup, pivot and consolidate large volumes of data from three payrolls.
    • Knowledge of benefit schemes – medical aid, rules of retirement funds, union fees, etc
    • Expert level knowledge in South Africa Payroll practices
    • Working knowledge of SARS procedures relevant to a payroll function
    • Interpersonal skills
