    Payroll Accounting & Control Clerk

    Job description

    To import data on the Standard Bank platform for payment of staff per approval documentation received and to support third-party pay-outs with reports, payments and reconciliation inquiries.

    Position Details:

    • Compilation of third-party payment schedules and benefits schedules on pension & provident fund, medical aid and funeral premiums for HR submissions
    • Overtime reports – Financial Controllers and Internal Control reports
    • General Ledger posting reports – Financial Controllers
    • Q-Link deduction reports being compiled
    • EMP 201 report and submission via e-filing
    • Assist with directive tax requests on SARS e-filing
    • May need to assist wth testing of new Wage types in the QA environment
    • Report for STATS SA data submission quarterly
    • Cashbook entries – control and checking of data entered
    • Import of EFT entries into the Standard BANK platform
    • Bank statement extract weekly / monthly
    • Obtain approval for standard and nonstandard journals plus gather source documentation

    Knowledge, Skills & Abilities:

    • Payroll knowledge – need to have knowledge of payroll and specifically SAP
    • Thorough understanding of Payroll Accounting
    • Deadline driven – stick to payment terms with third parties, Funds & SARS, etc
    • EXCEL intermediate level: pivot, vlookup, formulas, consolidation of data

    Qualifications and Experience:

    • Degree in Finance / B Comm degree
    • Working and in-depth knowledge of SAP Payroll
    • Experience and knowledge of Payroll accounting principles
    • Team player
    • Analytical and able to interpret the validity of information provided for processing
    • Administrative skills and ability to work under pressure
    • Strong attention to detail
    • SAP payroll (Not negotiable) – able to understand SAP postings and transactions
    • Able to work additional hours when needed to conclude task in due time for month, quarter and year-end

    Payroll Administrator

    Job description

    To capture data received for new employees, terminations, hours, lease vehicle data, etc. to ensure employees are paid accurately and on time every week & to ensure data is available for GL posting and reporting purposes to support the financial processes such as reconciliations, third party payments, etc. on a weekly basis upon conclusion of the payroll runs for Pretoria, Customer Service Office, and Port Elizabeth payroll areas.

    Position Details:

    • Calculation, & processing of hourly payroll data - medical aid data, provident contributions, hourly rates, lease vehicle data, meals deductions, etc
    • Accurate results impact on bottom line and mistakes and errors will impact negatively on the financial results and also on employee morale
    • Process and review employee input on deductions, earnings and benefit entries like advances to be recovered, type of loans, etc.
    • Process HR import files - all new employees, terminations and payroll transactions + review payroll results with each weekly run;
    • Review all Time and attendance (EOH Bestime ) input and ensure updated entries are processed accurately on payroll;
    • Maintain all PTA & PE & CSO employee payroll records, including weekly processing files on payroll transactions;
    • Liaise weekly with Payroll Supervisor on validity of data, inclusion, and completion of data processed and accuracy of preliminary payroll results;
    • Service delivery to all employees in respect of payroll queries related to tax & retro calculations done during payroll processing
    • Assist with testing of new developments and wage types in the QA environment

    Knowledge, Skills & Abilities:

    • Thorough understanding of SAP system generated payroll entries and error message during run to ensure correct resolution of items
    • Deadline driven and a self-starter – work is guided by weekly requirements within the payroll framework and instructions will determine how assignments are completed.
    • Judgement – Assesses reporting requirements and chooses an approach using accepted data collection.
    • Communication –must be articulate and able to explain legislative requirements, tax deductions, retro calculations, etc. to employees to ensure understanding and clarity of the person concerned
    • Working under pressure – often faced with many tasks to perform, tight deadlines on a weekly payroll as well as month end procedures to be followed
    • Attention to details – Payroll data is detailed information and must be accurate to pay employee correctly as incorrect payments result in serious labour disruptions & dissatisfaction.
    • In addition, the incumbent should display a methodical approach to complete tasks and requirements and must be able to priorities on the basis of urgent and important constantly.
    • Willing to complete a task to meet agreed timelines – work long hours and be resilient and able to deal with a pressurized environment

    Qualifications and experience:

    • BComm degree in Finance / B Compt
    • SAP payroll system knowledge – SAP is a complex system with specific requirements on capturing and it is date driven. A clear understanding is needed to prioritize earnings and deductions to ensure processing of data to deliver accurate results. Expert level knowledge in SAP Payroll Modules
    • Proficient in Microsoft office as well as other related software - Produces work in excel – Vlookup, pivot and consolidate large volumes of data from three payrolls.
    • Knowledge of benefit schemes – medical aid, rules of retirement funds, union fees, etc
    • Expert level knowledge in South Africa Payroll practices
    • Working knowledge of SARS procedures relevant to a payroll function
    • Interpersonal skills
