    Executive Personal Assistant

    Job description

    WE ARE LOOKING FOR A SUPER STAR to support 2 of our Directors. The successful candidate will remain cool under pressure and never drop the ball, instead always be one step ahead and on top of her game.

    Requirements:

    • Degree or Secretarial qualification an advantage
    • At least 8-10 years secretarial experience (at least 5 years working on executive management level)
    • Current executive level assistance within a corporate or professional services industry
    • Complex and pro-active diary management (across timezones)
    • Able to assist 2 Executives (locally and remotely)
    • International travel coordination experience
    • Experience in event coordination (local and international)
    • Able to work in a fast-paced environment
    • Demonstrates a high level of ownership and independence
    • Respects confidentiality
    • Be available and prepared to work after hours
    • Fast and accurate typing (min 60wpm)
    • Advanced computer skills (Microsoft Office)

    Responsibilities:

    • managing dual diaries simultaneously, ensuring that all appointments are scheduled in accordance with the relevant directors personal preference,
    • ensuring that all necessary changes are followed through and appointments re-scheduled as required proactively
    • providing secretarial support (all incoming mail, phone calls and emails are reviewed and distributed to directors and/or other relevant parties).
    • prioritizing and managing multiple projects simultaneously
    • maintaining all information and documents in a manner that allows easy access/retrieval whilst at all time ensuring the absolute confidentiality of data.
    • acting as the point of contact for internal and external clients
    • submitting and reconciling expense reports / time sheets
    • managing each director’s travel arrangements (making sure that all flights, accommodation and transport arrangements are booked, checked and run smoothly. This includes checking visa requirements and all related matters).
    • organizing all corporate events, handling logistics staff globally
