Offshore Administration Co-ordinator at Ashburton Investments

The Purpose:

Service all South African offshore Clients, Intermediaries, Platforms & Stakeholders (Service, Admin & Ops)

Specific Requirements:

• Ensure that excellent and consistent service is given to all SA clients and intermediaries
• Providing admin support to clients, Intermediaries, IFA's, BDM's and platforms
• Adhere to SLA's and onboard all clients & intermediaries
• Ensure that projects and review chasers and follow ups are sent timeously and provide feedback to manager and Jersey
• Send out valuation & transaction statements, contract notes, portfolio statements, tax statements, commission statements
• Monitor the mailbox and prioritise queries accordingly
• Ensure that POPI, AML and FATCA, TCF requirements are practiced
• Ensure accurate records are kept of client communications
• Identify fraud attempts and perform security call backs
• Ensure complaints and escalations are referred to the manager/Jersey
• Ensure that all client communications sent are of accurate, of a high standard and do not contain internal trail of communications
• Ensure that weekly courier is logged, packed and verified correctly and keep waybills records for finance team
• Handle walk in clients and their requests
• Understanding offshore investment products, fees and fund information
• Ensure that all processes and best practices are adhered to
• Ensuring that all queries are resolved or referred accordingly
• Send out quarterly commission statements and ensure follow up queries are resolved
• Attend meetings with clients and Intermediaries when required to
