    Payroll Administrator

    Job description

    Payroll Processing

    Essential Duties & Responsibilities:

    • Capture all Employee leave (Annual, Sick, Family, etc.)
    • Follow up on employees with frozen salaries, Permanent and FTC companies
    • Capturing extended family documents and Funeral compulsory cover.
    • Update any changes on territory codes, managers and cost centres & Locations in VIP
    • Send Control Sheet to all Reps monthly and or Bi weekly.
    • Capture all Overtime in VIP system (import) and check against overtime spreadsheet.
    • Capture all unpaid leave.
    • Capture unpaid deductions on payslip screen.
    • Capture WCA deductions payslip screen & all WCA Leave.
    • Capture all uniform deductions on VIP System.
    • Prepare UI19 & Certificate of service for all permanent monthly employees.
    • Change banking details on VIP.
    • Change Personnel information when necessary
    • Handle payroll queries.
      • Capture Garnish Deductions on VIP
      • Send Letters to Employees with Garnish to notify them of new and added interest on Garnishee.
      • Ensure that Garnish documents are in original format from Sheriff of the court
      • Compile a schedule of all ATE’s and Overtime received
      • Confirmation of employment and confirmation letters (when necessary)
      • Split the investment choice form and send to A. Forbes.
    • Maternity & U-Filling
      • Prepare Maternity Pack and ensure documents are correct and prepare UIF 19 for maternity.
      • Capture Maternity Leave on U-Filling system
      • Follow up on employees on Maternity Leave
      • Re-active maternity employees on U-filling System when employee is back at work.
    • New Hire and Terminations & Updates
      • Capture new Hires Personal information on VIP system permanent and FTC.
      • Prepare all permanent & FTC termination files for processing.
      • Ensure unpaid leave is attached to termination if necessary
      • Ensure final uniform deduction is attached to termination if necessary.
      • Liaise with HR regarding new hires and Terminations
      • Add new employees on U-Filing system
      • Scan all new hires and Terminations in File Director system monthly
      • Preparing Files for new hires and labeling them.
    • General
      • Ensure that all employee information on system is accurate at all times.
      • Verify all documents for processing ensure they are accurate.
      • Understanding and following payroll procedures and payroll related forms
      • Ensure that all ATE’s (FTC & Permanent) are signed and ready for capture, including overtime
      • Print a report weekly to check that managers, Stores, territory codes are correct on VIP
      • Responsible for the coordination efforts between Payroll, Human Resources, and other departments to ensure proper flow, accuracy and maintenance of employee data
      • Printing reports & checking all payroll processing before final salary payments.
    • Payslips:
      • Prepare all permanent payslips and forward to the relevant regions, Reps and Managers.
    • Filing
      • Extended cover, funeral cover, overtime & Personnel filing.
      • Personnel files should be kept up to date and filled monthly/weekly

    Position Requirements

    Criteria & Personal Skills/Attributes:

    Experience Required

    • Grade 12 essential
    • 3-5 year VIP and Payroll Experience
    • VIP certificate level two and higher

    Functional Knowledge and Business Expertise Required

    • Proficiency in Microsoft packages (Word, Excel, PowerPoint, e-mail & Internet) is required
    • Driver’s license and own transport will be advantageous
    • Mathematical skills

    Attributes/Competencies

    • Excellent telephone etiquette
    • Good communication skills, both verbal and written
    • A good command of the English language
    • High level of attention to detail
    • Good planning and organizational skills
    • Strong interpersonal and relationship skills
