    Accounts Payable Accountant

    Required Experience, Qualifications and Skills

    1. Degree in finance from a recognised tertiary institution equivalent to a minimum of NQF Level 6 and preferably NQF Level 7.
    2. Completed SAICA or SAIPA articles.
    3. At least 3 years post article experience as an accountant working with inventory, assets and creditors.
    4. Understanding of public sector financial reporting including the financial reporting framework (GRAP)
    5. Proficient in Microsoft excel, power point and word.
    6. Ability to work independently with minimum supervision and under pressure.

    Main duties/responsibilities 

    Expenditure and Payables

    1. Ensure validity, accuracy and completeness of all invoices captured to ensure accuracy of expenditure.
    2. Reconcile all creditors to their statements to ensure accurate age analysis.
    3. Reconcile the creditors age analyses to the trial balance
    4. Ensure the age analysis is cleared timeous and follow up long outstanding items.
    5. Ensure proper record keeping of creditors transactions.
    6. Resolve invoice discrepancies and respond to vendor inquiries
    7. Maintain supplier Masterfile and ensure compliance with internal controls
    8. Assist with month-end and year-end closing activities including accruals and reconciliations
    9. Support audits and ensure compliance with internal policies and external regulations

    Payment run.

    1. Check and review all the documents that are prepared for payment to ensure that invoice is approved and supported.
    2. Facilitate bimonthly payment run of suppliers.

    Inventory 

    1. Ensure that periodic stock takes, the identification of slow moving and redundant stock takes place in accordance to established policies and procedures.
    2. Coordinate and plan for the monthly stock counts and perform reconciliations.
    3. Ensure the correct valuation of stock monthly and yearly in line with the relevant inventory valuation policy.
    4. Perform monthly inventory reconciliation.
    5. Ensure validity, accuracy and completeness of inventory purchases GL account.
    6. Ensure accurate posting of issues to either income statement or balance sheet.
    7. Ensure that the inventory control account is correctly reconciled.

     Fixed Assets

    1. Ensure the validity, accuracy of completeness of additions ‘
    2. Process depreciation journals monthly
    3. Manage the annual fixed asset count and verification with operations, head office and asset consultant.
    4. Track the barcoding of the new asset acquisitions and ensure completeness of the Fixed Asset register.
    5. Review and update the detailed schedules of fixed assets and accumulated depreciation.
    6. Track all the asset disposals and ensure they are derecognised from the Fixed Asset Register.
    7. Maintain accurate records of fixed assets to ensure completeness and correct valuation of fixed assets.
    8. Highlight significant matters from fixed assets for review and approval to the Financial Accountant.
    9. Ensure accuracy and completeness of the asset register after the import from AMS 360 to SAGE 200.
    10. Track all the assets on Sage 200 by ensuring that all the assets are linked to a bar code through asset reconciliations.
    11. Ensure that all the asset locations are set up correctly and linked to the asset barcode on Sage 200.
    12. Ensure that the depreciation has been calculated and recorded accurately for fixed assets using the appropriate methods on Sage 200.
    13. Perform monthly reconciliations for assets to ensure that all the assets’ movements, barcoding and locations have been accurately allocated against the respective assets.
    14. Investigate all the assets variances and perform the adjustment journals.
    15. Review Operational fault reports on a quarterly basis to ensure that it is aligned to the derecognitions of the infrastructure assets.

    Reporting

    1. Assist the Senior manager with preparation of reports and presentations for the CFO, CEO, Audit Committee, and the Board.
    2. Compile quarterly DWS financial report for review by financial accountant.
    3. Compile all relevant expenditure reports to enable the Financial Accountant to effectively manage working capital in accordance with established policies and procedures to ensure there is effective expenditure control, movement of inventory and cash flow forecasting.
    4. Coordinate the month end and year-end financial statement preparation process.
    5. Prepare Medium term Expenditure framework (MTEF) and submit for review by the financial accountant
    6. Prepare the quarterly treasury report and submit for review by the financial accountant
    7. Prepare and analyse financial reports related to fixed assets.
    8. Compilation of inventory lead schedules for inclusion in the AFS.
    9. Coordinate all asset related activities to ensure inclusion of fixed and intangible assets in the AFS.
    10. Assist in the compiling of annual financial statements by submitting all inputs in relation to expenditure, payables, inventory and capital assets.
    11. Prepare and maintain an audit file. Organize and oversee the external audit process.
