Grade 12. Rendering administrative/ secretarial services to the office of the Senior Management. Knowledge of relevant Public Service and Departmental legislation/prescripts/policies and procedures; Knowledge of Office Management; Knowledge of document tracking, filing, storage and retrieval. Remain abreast with the procedures and processes that apply in the office of the Clinical manager Demonstrable competency in acting independently, Professionally, Accountable and with Credibility.
Sound planning and organizing skills, written and verbal communication. Good telephone etiquette. Strong interpersonal and communication skills. Computer literacy and knowledge of programs in MS Teams, Word, Excel, Outlook and PowerPoint. A Wide range of office and administrative functions is also a requirement. Shortlisted candidates will also be subjected to a computer literacy/competency test.
Duties :
Provide a secretarial/administrative support services in the Office of the Senior Clinical Manager. Receive telephonic calls and refer them to the relevant role players. Record appointments, bookings and events on the diary. Type documents for the Senior Clinical manager and other staff within the unit. Operate office equipment e.g. fax machine, scanners and photocopiers.
Check the arrangements when relevant documents are received. Arrange meetings and events. Identify venues, invite role players, organise refreshments and set up schedules for meetings and events. Process the travel and subsistence claims for the Senior Clinical Manager. Accurately record and compile minutes and action list of the meetings. Do office filing daily, weekly and monthly as required. Assist with quarterly report for the office of the Senior Clinical manager.
Receive, record and distribute all incoming and outgoing documents. Handle the procurement of standard items like stationary, equipment’s etc. Maintain an electronic document tracking system.
Distribute the documents to relevant officials internal and external stakeholders. Monitor compliance in terms of time frame determined by the Clinical manager by sending reminders and inform the clinical manager of delays or non-compliance to due dates. Provision of effective support to Clinical and Therapeutic units including Nursing management. Maintain professional growth / ethical standards and self-development.
