Grade 12 Certificate or equivalent with Diploma or Degree in Administration (Public Administration/Business Administration) or equivalent qualification. with a minimum of 3 years’ experience in Administration or Grade 12 Certificate with Five (5) years appropriate experience in public sector Administration.
Strategic capability and leadership, programme and project management, negotiation skills, conflict management, financial and knowledge management, good verbal and written communication skills, report writing skills, and a good professional attitude. A valid driver’s license and computer literacy is essential.
Duties :
Administrative support for the District Family Physician on effective and efficient resource management within the Ekurhuleni Family Medicine (FM) Department. Keep up to date with the district family physician’s diary on scheduled appointments and meetings. Coordinate and manage the human resources of the FM department.
Keep a prompt record of all incoming and outgoing correspondence on the computer. Record and type departmental meeting minutes, correspondence and documents, letters and reports, and presentations with required standards. Documentation and follow-up of the movement of the records submitted to various departments. Carry out the functions requested from the family physicians from all three sub-districts when required. Manage leave forms and other records submitted to the FM department.
Coordinate and liaise with other relevant stakeholders in various departments when needed. Manage other support staff within the department. Assist DFP in coordinating the budget allocation and financial management, including petty cash. Order stock of equipment, consumables, and stationery for the FM office as required.
Orderly filing of the documents to enable easy access to the information. Arrange transport, accommodation, meetings, events, projects and arrange refreshments when needed. Perform all other duties that are delegated by the supervisor/manager.
