    Agency Manager

    JOB SUMMARY

    • The Agency Manager is responsible for the strategic, operational, and financial management of the Clinix Health Group Agency function. The role plans, organises, executes, and monitors all clinical and non-clinical agency staffing activities across the Group, ensuring optimal utilisation of agency resources, cost efficiency, operational effectiveness, regulatory compliance, and service excellence.
    • The incumbent drives workforce optimisation initiatives, recruitment strategies, stakeholder engagement, and continuous improvement programmes that support business performance and quality patient care.

    REQUIREMENTS

    Essential

    • Bachelor's Degree or Diploma in Nursing, Human Resources, Business Management, Healthcare Management, or a related field.
    • Relevant Management Qualification will be advantageous.
    • Valid registration with the South African Nursing Council (SANC) where applicable for clinical agency management functions.

    Experience

    • Minimum 5 years' experience in healthcare staffing, workforce management, nursing operations, agency management, or a related environment.
    • Previous management experience with responsibility for recruitment, workforce planning, and operational performance.
    • Experience in budgeting, reporting, and stakeholder management.
    • Demonstrated success in implementing workforce optimisation initiatives.

    DELIVERABLES

    Agency Operations and Workforce Optimisation

    • Develop and implement the Agency operational strategy and annual business plan.
    • Monitor and control agency staffing processes across all facilities.
    • Optimise agency utilisation to improve workforce efficiency and reduce operational costs.
    • Develop and maintain staffing frameworks, availability tracking systems, and resource allocation tools.
    • Advises on staffing ratios, utilisation trends, and workforce requirements.
    • Establish and manage standard operating procedures for agency services.
    • Identify process improvement opportunities and implement efficiency initiatives.
    • Advises on scheduling and placement of agency personnel across business units.
    • Drive operational excellence and service delivery standards throughout the agency function.

    Recruitment, Talent Management and Staff Development

    • Lead the recruitment, onboarding, induction, and orientation of agency personnel.
    • Ensure a consistent recruitment and selection process across all facilities.
    • Develop workforce planning initiatives aligned to business needs.
    • Monitor agency staff performance and establish performance management frameworks.
    • Ensures CPD compliance at point of engagement of temp staff
    • Partner with operational leaders to identify workforce gaps and succession requirements.

    Business Development and Stakeholder Management

    • Build and maintain strong relationships with internal and external stakeholders.
    • Promote and market Clinix Agency Services within healthcare and related sectors.
    • Identify new business opportunities and service offerings.
    • Collaborate with hospital management teams to improve workforce utilisation and service delivery.
    • Manage relationships with regulatory bodies, professional councils, and external partners.
    • Ensure high levels of customer satisfaction and service excellence.

    Financial Management

    • Develop and manage the agency budget.
    • Monitor expenditure, staffing costs, and utilisation trends.
    • Identify and implement cost-saving initiatives.
    • Prepare and analyse financial and operational reports.
    • Track agency performance against financial and operational targets.
    • Ensure appropriate forecasting, resource planning, and budget control processes are maintained.
    • Manage agency profitability and sustainability.

    Governance, Compliance and Risk Management

    • Ensure compliance with applicable legislation, healthcare regulations, company policies, and agency procedures.
    • Monitor and audit agency-related processes and controls.
    • Review incidents, identify trends, and implement corrective actions.
    • Ensure governance standards are maintained across agency operations.
    • Manage risk within the agency function and contribute to organisational risk mitigation initiatives.
    • Maintain accurate reporting and documentation practices.
    • Drive quality assurance and continuous improvement initiatives.

    Reporting and Performance Management

    • Establish performance metrics and agency dashboards.
    • Analyse workforce, utilisation, and operational data.
    • Produce management reports and business intelligence insights.
    • Monitor agency KPIs and implement performance improvement plans.
    • Provide recommendations to senior management based on data analysis and workforce trends.
