    Assets Clerk

    Asset Administration:

    1. Maintain and update the Fixed Asset Register,
    2. Record new asset acquisitions accurately (cost, location, custodian, serial number, funding),
    3. Capture asset disposals, transfers, impairments, and write-offs.
    4. Ensure assets are correctly classified (e.g. land, buildings, vehicles, equipment, infrastructure).

    Acquisitions and disposal Management:

    1. Process asset additions and ensure correct capitalisation according to the asset management policy.
    2. Calculate and post depreciation (monthly or annually).
    3. Assist in preparing asset-related journal entries.
    4. Reconcile the asset register to the general ledger.
    5. Ensure compliance with public sector accounting standards (GRAP) .
    6. Record approved purchases of capital assets.
    7. Process asset transfers between units/offices.
    8. Assist with disposal processes (auction, donation, write-off)
    9. Maintain documentation for disposals and obtain necessary approvals.

    Asset Verification & Physical counts:

    1. Conduct or assist with annual physical asset verification,
    2. Tag and label assets with identification numbers/barcodes.
    3. Investigate discrepancies between physical assets and records.
    4. Prepare reports on missing, damaged, or obsolete assets.

    Compliance & Internal Controls:

    1. Ensure adherence to asset management policy and PFMA,
    2. Maintain proper supporting documentation (invoices, delivery notes, approval forms).
    3. Support internal and external audits by providing required documentation.
    4. Monitor compliance with asset disposal procedures

    Reporting:

    1. Prepare periodic asset reports for management,
    2. Compile schedules for annual financial statements.
    3. Provide asset information for budget planning and insurance purposes
    4. Assist in preparing audit working papers.

    Safe-guarding Public Assets:

    1. Monitor asset movement between departments,
    2. Ensure assets are assigned to responsible custodians.
    3. Report misuse, loss, or theft of government assets.

    EDUCATION and/or EXPERIENCE:

    1. National Diploma in supply chain management or bachelor’s degree or related.
    2. Atleast 2 years of experience handling movable or immovable assets, or with asset verification is required.
