Commercial Business Support Coordinator at Engen

Purpose of the Job

• To efficiently support Commercial Business Operations and leadership team by providing office management, administrative duties and through professional interaction with management, communicating confidential information with key internal and external stakeholders to ensure effective and smooth implementation, execution and efficiency of Commercial  Business  leadership team strategic goals and objectives at Engen.

What You'll Have Done Before

Minimum

• NQF Level 6 (Diploma in Administration, Business, Sales)
• 3 years Administration experience at Executive Level 
• Experience in managing administration and coordinating projects of a large scale for the sales function
• Understanding of Commercial business 

Advantageous

• Degree in Sales & Marketing
• 5 years’ experience in FMCG

What You'll Be Doing

Office & Team Management

• Ensure management of all Commercial Business Leadership requirements through co-ordination of activities such as travelling for big groups, communication/correspondence, diary management, administration, budgeting, filing, payments to ensure smooth running and adherence to corporate governance within the Division.

Planning & Coordination

• Plan, schedule, and organize staff performance planning and review sessions between GM and subordinates within the Division in line with Performance Management process & procedures.
• Effectively plan and co-ordinate all office events (internally and externally) by ensuring that the activities are as per Commercial Business requirements to meet Divisional goals to ensure availability and communication of accurate information through distribution of relevant reports as required by Management Committee to ensure adherence to corporate governance.

Procurement & Inventory Management

• Review, analyze and plan the requirements and budget for office consumables by monitoring budget performance and variance analysis to ensure cost effectiveness.
• Monitor and administer item procurement and inventory by initiating purchase or material requisition and verify payment invoices to ensure the delivery of items/services are in line with office requirement and budget.

Customer Engagement

• Build and maintain internal and external stakeholder relationships through professional interaction and communication with customers and service providers to ensure smooth operations within the Commercial business.
• Manage appointments, business visits and courtesy calls by reviewing, screening, and prioritizing them based on Corporate and business protocols to ensure optimum time management and objectivity towards safeguarding Engen reputation and image.

Reporting & Data Management

• Maintain and organize data, ensuring accuracy and accessibility to all Commercial business Ops Leadership team by preparing and distribution of minutes, expense reports, and process agendas to ensure adherence to corporate governance.

Commercial Support

• Identify opportunities for internal process improvements in administrative & management operations to eliminate inefficiencies and to enable the division to deliver better results and services.
• Assist in implementing new procedures and policies to enhance efficiency to enhance operational efficiency and promote a positive organizational culture.

Office & Team Management

• Ensure management of all Commercial Business Ops Leadership office requirements through co-ordination of activities such as travelling for big groups, communication/correspondence, diary management, administration, budgeting, filing, payments to ensure smooth running and adherence to corporate governance within the Division.

Commercial Communication

• Coordinate and manage internal Commercial communications by preparing, consolidating, and distributing business updates, performance communications, presentations, newsletters, and key messages to relevant stakeholders.
• Ensure consistent communication of Commercial priorities, initiatives, customer developments, and business achievements across the business to support alignment and engagement.
• Support the preparation of management presentations, reports, leadership communications, and town hall content as required.

Customer Co-Ordination & Engagement

• Coordinate customer engagements, meetings, site visits, business reviews, and customer events to ensure professional execution and alignment with Commercial objectives.
• Maintain customer interaction records, visit schedules, and key stakeholder contact information to support relationship management activities.
• Ensure GM: Commercial reaches out for key milestones in Tier 1 customers business & life. Birthdays, Milestones, etc.

Events Management, in collaboration with Marketing

• Plan, coordinate, and execute Commercial and customer-related events, conferences, workshops, strategy sessions, recognition events, and stakeholder engagements.
• Manage event logistics, venues, travel arrangements, catering, communications, budgets, and post-event reporting to ensure successful delivery and positive stakeholder experience.
• Coordinate participation in industry events and exhibitions, ensuring alignment with business objectives and brand standards.

Marketing Support & Coordination

• Coordinate marketing initiatives and campaigns in support of Commercial growth objectives, customer retention, and business development activities.
• Liaise with Marketing, Communications, and external service providers to ensure timely delivery of marketing materials, promotional items, customer communications, and campaign activities.
• Support the development and distribution of customer presentations, sales collateral, promotional materials, customer success stories, and business communications.
• Track and monitor marketing activities, budgets, and campaign effectiveness, providing administrative support and reporting where required.
