Our client has a vacancy for a Company Secretary, on a permanent basis, based in Gqeberha, Eastern Cape.
The successful applicant would be responsible for, but not limited to:
Maintain a well-organized, professional, and efficient office environment
Provide comprehensive administrative support to management and the team
Maintain and update company records, contact lists, databases, and statutory information
Professionally manage incoming telephone calls, emails, and correspondence, ensuring timely responses and appropriate escalation where required
Prepare, edit, format, and distribute business documents, reports, letters, presentations, and other correspondence
Organize, maintain, and archive both electronic and physical filing systems in accordance with company procedures
Ensure the confidentiality, security, and integrity of all company and client information
Retrieve, distribute, and manage company documentation and records as requested
Provide administrative assistance to improve operational efficiency across the business
Administer all company amendments with the Companies and Intellectual Property Commission (CIPC), including director, auditor, registered office, financial year-end, and other statutory changes
Process the transfer and allotment of shares and maintain accurate company shareholding records
Administer all amendments relating to Close Corporations
Edit Trust Beneficial Ownership (BO) information on the applicable system when required and upload the updated Beneficial Ownership Register with the Master of the High Court
Generate, prepare, and upload Beneficial Ownership documentation for annual duty lodgements in accordance with legislative requirements
Attend to voluntary deregistration’s and company reinstatements with the CIPC
Ensure statutory compliance and the accurate submission of all required company secretarial documentation within prescribed deadlines
Maintain compliance with the firm's System of Quality Management (SOQM), policies, procedures, and legislative requirements
Comply with the firm's Code of Conduct, including all applicable HR policies and the SAICA, IRBA, and IESBA Codes of Professional Conduct
Perform any additional administrative or company secretarial duties reasonably assigned by management
