Contract Specialist at Exxaro Resources

PURPOSE: To manage, coordinate and administer contracts with suppliers. To assist Capital Buying Manager with formulation of capital buying strategies to align with overall Supply Chain Management strategy

Minimum Requirements    
QUALIFICATIONS:

• B Degree (Relevant) (Essential/Minimum and/or)
• Diploma Corporate Law (Essential/Minimum)
• Certificate First Line Management (Recommended/Desirable)

EXPERIENCE: 

• 3-5 years  Relevant Supply Chain, Procurement, Contract Management or related experience. Understanding of Enterprise Resources Planning and/or Cloud based procurement solutions (e.g. SAP MM, Coupa).    (Essential/Minimum)   

REQUIREMENTS: 

• Psychometric Assessment (Essential/Minimum) (To be conducted by Exxaro)
• Certificate of Fitness (Essential/Minimum) (To be conducted by Exxaro)

Duties & Responsibilities    
POSITION OUTPUTS:

The incumbent will inter alia be responsible for the following:

• Best Practice and Knowledge Management  
• Identify and support implementation of process and system enhancements to continuously improve commercial management process
• Facilitate commercial process and ensure adherence to sound ethical principles
• Mitigate risk in terms of contractual exposure to the Company

Business Partner Enablement  

• Identify, evaluate and support business partners/end-users to develop disciplined sourcing execution capabilities
• Provide process advice to business partners/end-users through in transaction guidance and support
• Working with various internal and external stakeholders to expand and enrich supply chain content

Compliance, Governance and Assurance  

• Ensure all business and capital buying operations adhere and comply with corporate governance, statutory, legal and other internal requirements
• Provide guidance to customers to ensure adherence to all policies, procedures, standards and guidelines
• Ensure supplier stakeholders comply with relevant regulatory requirements
• Identify, manage and mitigate risk associated with Supply Chain Management (SCM) capital buying initiatives
• Integrate Capital Buying guidelines and procedures with those of the Company’s SCM blueprint

Contract Management    

• Negotiate and monitor savings
• Administer tender process including adjudication of tenders
• Agree adjudication matrix with project teams and negotiate regarding suppliers contract terms and conditions
• Compile, evaluate, manage and maintain all contract related affairs regarding stipulations, recommendations and adherence to contractual rights and obligations
• Establish, manage, maintain, approve or seek approval of contracts
• Contribute to supplier development including Local Economic Development
• Resolve contract disputes

Customer and Client Relationship Management  

• Maintain database of supplier information and ensure that integrity and quality of data are relevant and of required standard
• Support on-boarding of new suppliers and manage supplier relationships
• Provide relevant and specialized support to applicable stakeholders
• Collaborate and communicate with suppliers
• Build sound relationships with Business Unit (BU) end-users, key suppliers and Supply Chain (SC) Management
• Work with contractors, consultants, Project Managers and BU end-users by providing contract specialist skills

Procurement Management  

• Negotiate procurement savings
• Compile enquiry documentation as per project
• Commercial and financial evaluation of tenders
• Obtain tenders from specific marketplace through solicitation process
