    Events Manager

    Purpose of the Position:

    • To create, coordinate and manage all the different components of an event as well as the teams of people responsible for each aspect.

    Key Performance Objectives
    Tasks
    Events Management

    • Manage event coordinators and ensure their outputs are achieved.
    • Ensure that briefs from a client are accurately compiled and executed.
    • Manage synergies between business units
    • Manage internal and external events according to brief provided.
    • Distribute events evenly to team
    • Crisis management – by having alternate plans in place
    • Manage all aspects of Health and Safety regulations for an event
    • Check event administration and logistics 

    Operational Excellence

    • Manage and leverage resources (budget and people within projects)
    • Give creative input when creating internal/external events and promotional campaigns
    • Ensure appropriate communication plans are set in place that meets the client’s objectives
    • Understanding technology in the event industry and to benefit from it
    • Ensure all documents and photos are saved on the share drive (Sharepoint)
    • Oversee and manage storeroom process and maintenance
    • Keeping abreast of latest innovation and trends in events management for application in the organization including the latest technology enabled applications for RSVP handling, etc.

    Relationship Building

    • Ensure clients and suppliers are updated with any changes when planning an event
    • Ensure that post-event feedback to clients takes place
    • Manage relationships with clients, suppliers and sponsors

    Budget Management

    • Approve cost estimates of an event
    • Manage budgets by ensuring that suppliers are paid as per agreement
    • Check and sign off all invoices for their respective projects
    • Ensure that accounts from suppliers reconciled against orders
    • Approve all brand plans
    • Find ways of lowering costs if possible
    • Draft contracts if necessary and get appropriate approvals 

    People Management

    • Manage team members to ensure effective delivery of business unit objectives.
    • Develop a high performing team by embedding formal performance development and informal coaching. Encourage frequent knowledge sharing between team members.
    • Determine and analyse development needs for the team and ensure that identified training requirements are budgeted for and executed.
    • Interview and recruit new members of the team, including determining appropriate compensation levels with input from HR
    • Create effective workforce and recruitment demand plans to ensure that current and future business requirements can be met.
    • Review and update the department’s organisation structure and role description on at least an annual basis to ensure that they are fit for purpose and contain all the accountabilities of each team member.
    • Approve leave requests for team members and create leave plan to ensure adequate coverage.
    • When required, initiate disciplinary processes for team members calling on support from HR when required.
    • Resolve grievances raised by team members and escalate only if required.
    • Address poor performance of any team member through the formal Performance Improvement programme and ensure that continued poor performance is appropriately dealt with.
    • Motivate team members and ensure that their efforts are recognised

    Qualifications

    • A Degree in Business Management/ Marketing
    • Post Grad advantageous

    Experience

    • A minimum of 5-8 years’ experience in the media industry preferable managing events.
    • Three years of experience planning and executing events.
    • Ability to introduce new ideas and foresee potential problems at events.
    • Ability to problem-solve.
    • Communication and writing skills adapted to fit different styles, particularly with outside vendors.
    • High attention to detail and the ability to establish priorities.
    • Ability to work within a budget and very tight timeline. Flexibility to travel and work long hour
