    Executive Assistant

    As our Executive Assistant you will:

    • Maintain an up-to-date and well-organized calendar for the employer, scheduling appointments, meetings, and events while ensuring optimal time management.
    • Manage all incoming and outgoing communications, including emails, phone calls, and messages, and prioritize correspondence as necessary.
    • Arrange travel logistics, including flight and hotel bookings, itinerary planning, and transportation arrangements, considering time zones and potential schedule changes.
    • Prepare, organize, and maintain important documents, records, and files in both physical and digital formats, ensuring easy retrieval and confidentiality.
    • Assist in managing the employer's to-do list by prioritizing tasks, setting reminders, and proactively identifying deadlines to ensure timely completion.
    • Prepare agendas, gather materials, take notes, and draft minutes for meetings, conferences, and presentations.
    • Follow up with internal and external stakeholders on the outcomes of these meetings.  
    • Track expenses, create reports, and manage financial records, including receipts and invoices, in coordination with the accounting team.
    • Handle personal tasks and errands, such as gift purchases, appointment scheduling, reservations, and other ad-hoc duties as required.
    • Act as a point of contact for external stakeholders, partners, clients, and associates, maintaining a professional and approachable demeanor.
    • Conduct research on various topics, collate information, and prepare summaries or reports for the employer's reference.

    About you:

    • Proven experience as a Personal /Executive Assistant or in a similar administrative role.
    • Exceptional organizational and multitasking skills.
    • Strong verbal and written communication abilities.
    • Proficiency in office software (e.g Google Workspace).
    • Discretion and confidentiality when handling sensitive information.
    • Detail-oriented and resourceful problem solver.
    • Excellent time management and prioritization skills.
    • Professional and friendly demeanor with excellent interpersonal skills.
    • Ability to adapt to changing priorities and work effectively under pressure.
    • Comfortable working in a high performance environment
