Export Coordinator Assistant | Brackenfell | Cape Town
We are looking for a detail-oriented and organised Export Coordinator Assistant to join Meridian Wine Distribution in Cape Town. The successful candidate will support the Export Controller and contribute to the smooth and efficient operation of the export department. This role is ideal for someone who is highly organised, accurate, and able to work effectively in a fast-paced environment.
Duties and Responsibilities:
Support export customer communication relating to order status and documentation.
Build professional relationships with customers, suppliers, and service providers.
Assist with onboarding new export customers.
Escalate customer concerns and service issues appropriately.
Support cost-effective export execution through accurate administration.
Assist with reducing export errors and rework.
Escalate issues that may impact customer service, delivery, or costs.
Support compliance with export procedures and controls.
Capture export orders accurately for Duty Paid and In Bond stock.
Support export quote processing and order confirmation activities.
Monitor export order progress and escalate delays.
Maintain export order records and filing systems.
Prepare ansibilities:d distribute export documentation including invoices, packing lists, certificates, and supporting export documents.
Support DAFF, Declaration of Loading, NOL, DOL, COC, and bonded stock documentation requirements.
Verify documentation accuracy before submission.
Maintain export document control and record management.
Coordinate communication between suppliers, service providers, and internal stakeholders.
Support inspection and certification arrangements where required.
Follow up on outstanding documentation and export requirements.
Assist with POD and shipment tracking activities.
Use BC, Excel, email, and export administration systems accurately.
Maintain productivity, accuracy, and service standards.
Develop knowledge of export procedures, INCOTERMS, and destination requirements.
Participate in training and development activities.
Follow export procedures, customer requirements, and regulatory controls.
Maintain confidentiality of customer and export information.
Escalate documentation discrepancies and compliance concerns.
Support adherence to OHS and cyber security requirements.
Qualifications and Experience:
Grade 12
Export, Logistics, Supply Chain, or International Trade qualification beneficial.
Experience in the wine, liquor, FMCG, logistics, or export environment.
Export procedures, documentation processes, INCOTERMS, and international trade fundamentals.
Strong organisational skills and ability to manage multiple priorities.
