    Facilities Manager - Cape Town

    About the role:

    Zutari’s Cape Town Office is currently looking to recruit a Facilities Manager to manage both strategic-tactical and operational responsibilities. Clients, customers, and end-users need to be informed about the potential impact of their decisions on the provision of space, services, cost and business risk. It is also the responsibility of the facility manager to ensure corporate and regulatory compliance plus the proper operation of all aspects of a building to create an optimal, safe and cost-effective environment for the occupants to function.

    Responsibilities:

    • Ensure that building related service level agreements are in place.
    • Financial budgeting and expenditure control
    • Monthly reporting on Budget expenditure
    • Ensure that related procurement is done in accordance with the company policy.
    • Authorize and manage monthly payments.
    • Ensure compliance with the related Acts and other related legislation, including Health & Safety
    • Implementation of global archiving practices according to national legislation and Aurecon procedures.
    • Manage building maintenance, including the implementation of early warning systems.
    • The management and upkeep of the pool vehicles.
    • Management and enforcement of parking bays allocations.
    • Ensure that the building continuously complies with the Green Building design and that the building is at all times managed in accordance with the Green Building Specifications.
    • Reporting to the Landlord on the maintenance of the Mechanical and Electrical infrastructure.
    • Management and control of the Cleaning contractor to ensure a clean & hygienic environment
    • Manage and control of the Security contractor responsible for building security.
    • Management of related building contractor such as gardening, waste removal etc.
    • Sub-tenant management and client service where applicable
    • Manage office automation (printers, plotters etc)
    • Ensure Business Continuity Planning
    • Analyse relevant information for company forecast planning
    • Ensure internal customer satisfaction and control over service providers
    • Conduct general office administration. Ensure that the following support functions are running smoothly:
    • Reception
    • Switchboard
    • Messengers
    • Stationary
    • Office Refreshments
    • In-house Canteen
    • Internal Office Maintenance
    • Producing of documents (printing, copying and binding)
    • Monthly Management Reporting
    • Delegate sufficient responsibility to sub-ordinates to ensure growth
    • Facilitate broad spectrum of insurance related matters
    • Maintain all lease and rental agreements in registers and control spread sheets
    • Monitor subordinate KPI's
    • Motivate subordinates within the scope of their abilities.
    • Encourage team effort to achieve the end result of the department
    • Develop Operating Policies & Procedures and ensure that all standards are adhered to
    • Ensure professional standards are maintained in all business situations
    • Monitor actions and responsibilities of subordinates

    Minimum requirements

    • Matric
    • Relevant qualifications (degree / diploma)- in facilities management
    • 10 Years Facilities experience
    • Excellent Microsoft Suite knowledge (Word, Excel, PowerPoint, Outlook)
