    Financial Administrator

    Job Advert Summary    
    The Facilities & OHS unit is the single largest Shared Services Unit within the HSRC. This Unit has a footprint in all the HSRC offices and consists of sub-sections such as Protection Services, Building and Maintenance, OHS, Facilities, and Cleaning Services. After careful consideration and taking the dynamics of the Pretoria operation into account as well as the optimization of a post within the Unit, the appointment of a Financial Administrator is required.

    The Facilities & OHS unit would like to fill the vacant post of a Financial Administrator in the Pretoria Office. The incumbent must have the ability and energy to provide an accounting service, display a positive attitude, subscribe to a professional work ethic, be motivated, hardworking, and most importantly is willing to learn

    Minimum Requirements    

    • BCom Finance / Accounting degree or equivalent (NQF 7)
    • At least 5 years’ experience in financial administration and office management.
    • PAFSA (Professional Association for Secretaries and Administrative Assistants) membership will be an advantage.
    • Knowledge and experience of financial administrative processes.
    • Professional working knowledge of relevant legislation and regulations (PFMA and Treasury Regulations)
    • Sound office management, procurement and administration skills.
    • Experience in electronic workflow processes
    • Knowledge and experience in electronic records management practices.
    • Excellent organisational ability and the attention to detail and accuracy.
    • The ability to be responsive, pro-active and solve problems.
    • Advanced computer skills, including a high proficiency in MS Office applications.
    • Proficiency in speaking and writing English.
    • Ability to anticipate needs, take initiative and implement solutions effectively.
    • The ability to work independently as an individual, but also as a team member.
    • Professional and ethical conduct.

    Duties & Responsibilities    

    • Do financial administration, including compiling documentation, processing of invoices and journals and reporting on non-HR related expenditure, including off-site archiving services and the procurement of IT equipment. This includes for example, the following:
    • Being responsible for the procurement of all project related goods and services.
    • Maintaining general and subsidiary ledgers and prepare and adjust finance journal entries as required, which include budget corrections, journals, etc.
    • Identifying and resolving invoicing issues, accounting discrepancies and other financial related issues.
    • Maintaining an up to date planning and reporting system.
    • Undertaking asset management.
    • Engaging with Facilities & OHS management and staff, as well as other departments, such as IT, SCM and Finance to ensure the timeous conclusion of financial processes.
    • Management of Projects including preparation and supervision of project budgets, expenditure including milestone deliverables.
    • Manage policies and workflow processes.
    • Manage work sign offs and invoice approvals
    • Oversee Facilities & OHS records management.
    • Facilitate the optimal use of ICT.
    • Serve as the Facilities & OHS Risk champion.
    • Act as a stand-in for the PA/Administrator by attending to Human Resource management administration,
    • Office management and perform any other administrative tasks as required
