    Fleet Supervisor

    Main Purpose: Manage the Company’s vehicle fleet and ensure that all vehicles/equipment in the fleet are maintained and in a safe working condition without harm to Employees.

    Key Performance Areas:

    Planned maintenance

    • Develop a maintenance plan including check lists for each vehicle/ equipment type in the fleet.
    • Develop preventative maintenance schedule for all fleet vehicle/ equipment.
    • Prioritise maintenance activities.
    • Ensure that vehicles/ equipment are serviced and maintained according to the schedule and inspection check lists.
    • Scheduling of vehicles for body repairs with suppliers.
    • QA inspection on finished product – Insurance claims, body repairs.

    Emergency repairs on vehicles/equipment

    • Assess and prioritise emergency breakdowns.
    • Consult with management and Site Managers regarding availability and replacement of vehicles/ equipment.
    • Manage standby Employees and call outs.

    Conduct Audits and control

    • Control the quality of repair and maintenance activities to ensure that client expectations are met.
    • Follow up with Site Managers to ensure timeous and satisfactory completion of maintenance activities.
    • Conduct regular checks on vehicles/ equipment to improve reliability of fleet.
    • Conduct random quality inspections on completion of repair work.
    • Check the monthly invoices for C – Track and Tracker to ensure correctness and timeous processing of orders and GRV’s.
    • Keep track of vehicles on C-Track and Tracker and follow up on activation calls.
    • Audit Wesbank fuel statements for fleet, follow up on any deviations and put control measures in place to reduce/ eliminate deviations.
    • Ensure compliance with the Company QMS.

    Administration and cost control

    • Assist with vehicle disposal and de-registration.
    • Maintain service and repair records.
    • Compile vehicle condition and disposal tender lists.
    • Manage vehicle distribution to Company sites.
    • Seek and implement most cost effective maintenance strategy for all vehicle types in fleet.
    • Manage maintenance cost.
    • Keep record of re-work and corrective action.
    • Do expediting on orders and spares required.
    • Authorise Wesbank Auto vehicle maintenance work.
    • Administer vehicle distribution list, vehicle road worthy and licencing.
    • Ensure travel applications are completed and authorised.
    • Complete trips sheets for transportation and invoicing.
    • Distribute the monthly fuel transaction reports of all pool vehicles to relevant sites.
    • Vehicle fuel card, e-tag and key control.
    • Company proxy for license renewals and traffic offences.
    • Ensure adherence to Company vehicle policies and instructions.

    People management

    • Assesses the performance of direct reports quarterly.
    • Provides guidance and support and assistance where necessary.
    • Facilitates grievance and disciplinary procedures.
    • Succession planning for responsibility area.
    • Identify training and development needs and recommend appropriate courses.

    Safety management

    • Weekly and monthly Supervisor’s inspections.
    • Daily toolbox talks.
    • Contact job observations.
    • Task risk assessments.
    • Written Safe Work Procedures.
    • Report and investigate incidents, unsafe conditions and acts.
    • Compliance to the OHS Act including relevant regulations, SANS standards and other relevant procedures and instructions.

    Competencies:

    • Ability to lead and motivate staff.
    • Good verbal and written communication skills.
    • Capacity to work under pressure.
    • Ability to handle conflict effectively.
    • Results driven, ability to work without constant supervision.
    • Ability to manage change.

    Preferred Requirements:

    • Qualified artisan (Petrol/ Diesel Mechanic).
    • 8 Years’ experience as a Supervisor with the relevant supervisory training.
    • 15 Years’ experience in vehicle maintenance, auto electrical, mechanical and hydraulic systems.
    • Knowledge of OHS Act, relevant regulations and safety standards (risk assessments, safe work procedures and housekeeping practices).
    • Knowledge of the National Road Traffic Act.
    • Computer literate (MS Office).
