    Human Resources Administrator - Johannesburg

    • The incumbent will provide administration support and services, including pro-active assistance and the ability to efficiently manage tasks in enabling the Human Resources Business Partners to fulfill their duties to meet the goals of the Human Resources Department within the broader business imperatives.

    QUALIFICATIONS AND EXPERIENCE

    • A Bachelor’s Degree (B. Comm HR Management / Social Sciences / Psychology / Industrial Psychology) or equivalent.
    • A minimum of 5 to 7 years proven Generalist HR Administration experience of a scope and level suited to this position.
    • Proven SuccessFactors experience is essential.
    • Sound knowledge of and application of HR policies, processes, systems and procedures.
    • Sound knowledge and implementation of relevant HR related legislation.

    ACCOUNTABILITIES

    Administration: The role holder is accountable for:

    • Planning and coordinating administrative procedures and systems and devise ways to streamline processes, including the drafting and implementation of relevant HR policies and procedures.
    • Managing all administration schedules and deadlines, whether routinely or ad-hoc to ensure the department supports the broader HR processes.  These include but are not limited to the distribution of annual increase and bonus letters to participating employees, the performance management process timelines, the talent review process, completion of relevant reports such as the annual EE Report, BBBEE Verification Audit requirements, WSP & ATR reporting, quarterly Sustainability reporting, monthly safety statistics reporting, etc.
    • Data management and capturing through the employee lifecycle, from engagement to separation.
    • Daily administration functions for the Human Resources Business Partners, including but not limited to communication and liaison with relevant government department(s) and external stakeholders for the facilitation of visa applications, providing employees with supporting letters for confirmation of employment or visa applications, preparing regret letter for unsuccessful job applicants and generating and distributing Long Service Award and Retirement letters and processing of gift and function selections by employee.
    • Processing and approval of invoices.
    • HR filing: maintenance of electronic filing records.
    • Managing queries and endeavour to proactively resolve HR issues where appropriate. 

    Recruitment and Separation: The role holder is accountable for:

    • Preparing approvals to advertise, obtaining the required approvals and loading the advertisements / job postings on the relevant platform(s).
    • Creating and maintaining a data base of applicants and adverts.
    • Long-listing potential candidates for the Hiring Manager to review.
    • Arranging of interviews with shortlisted candidates through the scheduling of face-to-face or virtual interviews.
    • Liaise and communicate with relevant Hiring Managers and HRBP to compile  required documentation for the interview panels, including the interview guide, consolidating the feedback from the panel post the interviews and ensuring that all documents are appropriately filed.
    • Complete the required qualification, criminal and financial verifications with the service provide and obtain reference checks.
    • Prepare approvals to appoint and obtaining the required approvals for offers as instructed.
    • Prepare the offer letters, obtain the relevant approvals and distribute to the successful candidate.
    • The on-boarding and induction of new engagements, also ensuring that relevant compliance records are maintained.
    • Arranging the exit processes, including the exit interview, for all separations.
    • Generating and distributing Information Notes to identified stakeholders.
    • Liaise with external recruitment providers and with the commercial department for the regular review of the recruitment agencies list as well as onboarding of new recruitment service providers.

    HR Information Systems Maintenance: The role holder is accountable to:

    • Create and maintain employee master data in Employee Central.
    • Update and maintain organisational structures on Employee Central to ensure accurate and up to date information, i.e. relationships, authorization levels, stratum levels, cost centre updates, etc.
    • Ensure that all deployment movements are correctly and timeously captured and maintained on Employee Central.
    • Payroll Administration: The role holder is accountable to process HR Information for new engagements, promotions, separations, study assistance etc. and submit all relevant information to payroll timeously as determined by the Payroll Department.
    • Events Coordination: The role holder is accountable to assist in facilitating events / functions such as Long Service Awards, retirements, Employee Wellness etc.

    Study Assistance Administration: The role holder is accountable to:

    • Assist in the coordination of the completion and submission of all Study Assistance documentation.
    • To process all refunds/payments accordingly.
    • Manage repayment of study obligations of defaulted employees, including confirmation of work-back periods.
    • To maintain accurate records of each participant.
    • Performance Management Admin: The role holder is accountable for capturing/ tracking all performance related information received.

    Client Service: The role holder is accountable to:

    • Maintain high levels of customer service with the client base and above average turn-around times.
    • Ensure compliance with Internal and External Auditors requirements by providing the requested documentation timeously.
    • Budget Process: The role holder is accountable to support the HR Business Partners through the labour budget process, in collaboration with the line managers.
