Main Purpose of Position

The position will perform day to day administration task required for the Information Technology (IT) department and assist in the asset management processes for the whole company

KEY PERFORMANCE AREAS

1. Effective administration of IT Invoices and Procurement process.
   1. Consolidation of monthly invoices received
   2. Manage procurement process from the IT Department, including the tracking, follow up and feedback on deliveries and items ordered
   3. Follow up with 3 rd party vendors with regards to procurement, and escalate as required.
   4. Vendor and product analysis – 1 st line
   5. General administration relating to filing, etc.
2. Effective SLA Administration
   1. Process any documentation with regards to SLA contracts
   2. Maintain SLA contract database
   3. Follow up on SLA requirements and provide feedback as needed
3. Administrate and control an effective communications function
   1. Maintain Telkom database
   2. Manage office equipment contracts
   3. Ensure monthly billing received, paid and allocated
   4. Communicate the product and service requirements to potential suppliers
   5. Conducting supplier analysis to ensure cost effectiveness
   6. Ensure quality assurance processes exist per key supplier
   7. Implement and maintain standardized maintenance services for communications assets
   8. Implement all new requirements
   9. Analyse and explain major variances actual to budget on a monthly basis
   10. Ensure expense mandates follow audit procedures
4. Effective administration and management of IT office
   1. General administration
   2. Co-ordinate and arrange all relevant meetings and workshops
   3. Control filing of documentation
   4. Handle all incoming and outgoing mail/courier services
   5. Co-ordinate and control telephone calls
5. Health and Safety 
   1. Participate in the design/ development/ review/ implementation and monitoring of the branch/region/national safety plans for each year.
   2. Participate in safety forums created by company for example safety meetings and safety talks
   3. Report all safety incidents to the relevant people
   4. Discuss all safety incidents on all levels
   5. Follow-up on any activities assigned through safety meeting/committee/representative/management
   6. Attend safety education and refresher programmes
6. Comply with safety policies and procedures at workplace
   1. Distribute safety information as and when required
   2. Wear protective clothing all the time

MINIMUM REQUIREMENTS

Qualification

1. Any relevant qualification but its a part of the requirements

Experience

1. A minimum of 3 years experience in similar role
2. Must have experience in vendor management, invoices, quotes, meeting setups, great attitude, great communication skills, very hard worker, team player
