About the Role

• We are seeking a detail-oriented and proactive Portfolio Operations Analyst to join our high-performing Private Client Securities Operations team. This is a pivotal operational role supporting private client investments in listed equity markets, both locally (JSE) and globally.
• As part of a client-focused investment business, you will be responsible for ensuring that client portfolios are accurately implemented, maintained, and administered enabling our advisors and trading desk to deliver on bespoke investment strategies. Key Responsibilities

Portfolio Implementation & Maintenance

• Open new investment accounts with third-party providers, ensuring all client details are correctly captured.
• Verify and action investment and disinvestment instructions timeously.
• Confirm trade placement accuracy with the Trading Desk and reconcile execution outcomes.
• Ensure base costs are accurately recorded, particularly for transferred and rolled-over securities.

Client & Data Administration

• Maintain accurate client data on portfolio management systems (PMS).
• Link portfolios/accounts to the correct client structure.
• Load dividend preferences (payout vs reinvestment) and broker note/statement communication settings.
• Record any client-specific trading restrictions (e.g. directors or insider trading constraints).
• Perform regular data validation and clean-up exercises to ensure system integrity.

Operational Coordination

• Monitor workflow systems to ensure instructions are processed within service-level timeframes.
• Generate login credentials for client-facing platforms and manage system access rights.
• Assist advisors and advisory assistants with operational queries and provide process guidance.
• Manage and reconcile client loans secured against their share portfolios.
• Liaise with both internal teams and external partners to resolve administrative or technical issues.

Ad Hoc Projects & Compliance Support

• Participate in cross-functional operational projects (system changes, migrations, audits).
• Support the implementation of control enhancements and process improvements.

What Were Looking For

Qualification:

• BCom or similar degree in Finance, Investments, or a related field.

Experience:

• Minimum of 3 years in an operations-focused role within financial services.
• Exposure to private client investment platforms or wealth management systems highly beneficial.

Skills & Attributes:

• Good knowledge of financial markets, equities, and portfolio administration
• Advanced Excel and familiarity with portfolio or trading systems
• Highly organised, with strong attention to detail and data accuracy
• Excellent verbal and written communication skills
• Ability to manage multiple workflows and meet tight deadlines
• Strong problem-solving mindset and ability to work well in a team-oriented, professional environment
