    Learning Design Operations Lead

    The Learning Design Operations Lead is responsible for planning and managing the operations of the Learning Design team to ensure the successful development of new courses according to revenue and pipeline requirements. This includes allocating and overseeing resource and capacity planning, scheduling and effective process and workflow improvements, and systems management to ensure operational efficiency across the Learning Design team. This role works closely with the Learning Technology Operations Lead on integrated and aligned resource planning and process and workflow improvements within production teams to ensure the successful handover of courses from the production teams to the presentation teams. The Learning Design Operations Lead also supports the implementation and management of new processes that may arise out of change management projects, prototypes and “out-of-sandbox” projects that take place in and/or affect the production teams.  

    Key Role and Responsibilities: 

    Resource capacity planning and driver management 

    • Work with Planning to develop the annual new course development and maintenance schedule. 
    • Perform upfront planning and resource allocations for all new courses based on the NCD Pipeline schedule in support of effective utilisation and capitalisation targets across the Learning Design functions.
    • Driver management and improvement across Learning Design functions (editorial unit, Learning Design, Leadership layer) to inform hiring forecasts and ongoing workforce management. 
    • Support the Course Iterations Traffic Coordinator with capacity planning and process improvement, as and when needed. 

    Business Process Development and Improvement 

    • Work with Project Management and Operational Leads to identify opportunities to improve existing systems and processes that foster better collaboration, communication, innovation and improved output.
    • Document and maintain key process documentation for the Learning Design department and associated functions.
    • Lead the roll-out and training of new processes, process updates and systems changes within the Learning Design function. 

    Roadmap and Systems Management and Reporting 

    • Tracking and reporting in on new course development operational metrics (capacity/workloads, project statuses, recurring issues and utilisation and capitalisation targets) and the impact this data has on efficiency gains (through process improvement) and future growth.

    Stakeholder management 

    • Work closely with Project Management, Iterations, Learning Technology, Creative Studios and Operational Leads to ensure effective workflows across multiple teams impacted by and reliant on the Learning Design functions.
    • Manage and communicate expectations around capacity, availability and deadlines for new course work as well as ad hoc pipeline demands, as required.
    • Serve as the primary link for Learning Design to the Tech and Data enabling functions. This includes responsibility for speccing in new systems improvements and enhancements, and understanding reporting requirements or enhancements.

    Special projects

    • Involvement in key ad hoc production and pipeline-related projects. This includes out-of-sandbox projects requiring Learning Design resourcing, supporting the LDM in implementing and planning for team structural changes, managing the associated implications in Learning Design of projects and task teams in other business units. Involvement could include: 
    • Analysis; identifying current capabilities, collating stakeholder information and understanding the influence on the overall project objectives. This includes facilitating workshops and management of stakeholder expectations. Writing specs, diagrams or associated supporting documentation.
    • Planning; understanding the scope of the project and ability to plan adequately to meet deadlines. Understanding risk, methods to identify risk impact and how to put mitigating measures in place. Clearly communicating requirements to all stakeholders and compiling project plans.
    • Execution; Implementing a solution that meets all predefined objectives, milestones and/or project goals. Managing stakeholder training regarding the roll-out of new structures, systems integrations or processes. 

    Education and Experience:

    • Undergraduate / University degree required.
    • Minimum 3-5 years demonstrated operational or project management experience.
    • Ability to work under pressure to tight deadlines, and self-direct as needed.
    • Great communication and interpersonal skills.
    • Has experience in creating and improving processes.
    • Experience creating technical system requirements documents is advantageous.
    • Demonstrated ability to balance multiple projects and priorities with excellent attention to detail.
