    Compliance Administrator

    Purpose of the Role:

    • Partnering closely with the Junior Compliance Manager, the Compliance Administrator provides structured administrative support to Dis-Chem Life’s Compliance function by maintaining accurate records, coordinating compliance processes, supporting monitoring activities, and ensuring regulatory documentation is complete, current, and audit-ready.
    • Operating in a regulated financial services environment, this role helps ensure that clients, internal teams, and relevant stakeholders operate within applicable regulatory frameworks, internal policies, and ethical standards. The role strengthens the compliance environment by keeping processes organised, evidence reliable, and stakeholders supported.
    • Success in this role is defined by accurate compliance administration, efficient stakeholder support, timely monitoring support, reliable issue tracking, and disciplined follow-up on actions, deadlines, registers, and compliance evidence.

    Role Summary

    • The Compliance Administrator is responsible for supporting the core compliance administration activities that underpin the effective operation of Dis-Chem Life’s Compliance function.
    • At a high level, success in this role requires the ability to operationalise regulatory requirements through accurate record keeping, document control, FICA/KYC and financial crime administration, intermediary onboarding and monitoring, representative onboarding, compliance monitoring support, reporting, and reliable follow-through on actions and deadlines.
    • The Compliance Administrator works closely with the Junior Compliance Manager and cross-functional business stakeholders to ensure that compliance records, registers, evidence packs, policies, procedures, and reporting inputs are complete, well organised, and maintained in line with internal and regulatory standards.

    Key Responsibilities

    • Maintain compliance registers, trackers, folders, and evidence repositories.
    • Capture, update, and validate compliance data in line with internal standards.
    • Perform checklist reviews to identify missing, expired, or incomplete records.
    • Support document control, filing, and audit-readiness across compliance processes.
    • Maintain regulatory obligation registers, compliance calendars, breach logs, complaints registers, gifts and conflicts registers, and compliance attestations.
    • Compile evidence packs for compliance reviews, audits, regulatory inspections, and management reporting.

    Intermediary and Advisor accreditation and monitoring

    • Compile supporting documents and complete onboarding checklists for intermediary applications
    • Conduct license checks on intermediaries and perform continuous monitoring
    • Maintain and update the intermediary database ensuring accuracy, completeness and audit readiness
    • Identify and escalate risks or compliance concerns identified during the onboarding or monitoring processes.

    Representative onboarding and license registration

    • Assist with checking, validating, and submitting onboarding documentation for new representatives.
    • Ensure all representatives are correctly registered on the Dis-Chem Life FSP licence.
    • Maintain an accurate and updated Representative register
    • Support ongoing updates to representative records and regulatory information.
    • Coordinate with external licensing authorities to resolve registration or licensing issues.

    Stakeholder Support

    • Provide administrative support for compliance-related queries across the business.
    • Respond to or escalate queries within reasonable timelines.
    • Assist stakeholders with locating, completing, and submitting required compliance documentation.
    • Maintain professional communication and follow-up on outstanding compliance actions.

    FICA and Financial Crime Compliance Administration

    • Maintain FICA, sanctions screening, and KYC records accurately and within required timelines.
    • Update FIC reporting evidence, registers, and related records.
    • Support sanctions screening and KYC administration.
    • Escalate screening exceptions, missing documentation, and overdue reviews promptly.

    Compliance Monitoring and Controls

    • Assist with compliance monitoring activities across Dis-Chem Life.
    • Track compliance findings and ensure remedial actions are implemented.
    • Support internal audits, regulatory inspections, and compliance reviews.
    • Provide recommendations to strengthen control frameworks and prevent regulatory breaches.

    • Strong administrative, data-capturing, filing, reporting, and document-control skills
    • Intermediate to advanced proficiency in Microsoft Office applications, especially Outlook, Excel, Word, and PowerPoint
    • High attention to detail, confidentiality, and ability to follow structured processes and deadlines
    • Clear Criminal Record essential

    Qualifications:

     EXPERIENCE AND PROFESSIONAL REQUIREMENTS

    • 2 + Years proven experience within a customer-facing retail sales environment.
    • Demonstrated success in face-to-face sales, promotions, customer acquisition or consultative selling.
    • Experience working in a fast-paced retail environment with high customer volumes.
    • Ability to work retail hours.
    • Proven ability to engage customers, generate opportunities and convert conversations into outcomes.
    • Comfortable promoting, demonstrating, consulting on and closing products or services face-to-face.
    • Proven track record of working towards and achieving sales or performance targets.

    Minimum Requirements

    • Matric (National Senior Certificate ), NQF4 or equivalent qualification.
    • Demonstrated experience in a customer-facing retail sales environment.
    • Proven face-to-face sales experience in which you were required to approach, engage, advise or sell directly to customers.
    • A track record of working towards individual sales, conversion, revenue or customer-activity targets.
    • Strong spoken communication, listening and relationship-building skills.
    • Computer literacy and confidence using tablets, mobile applications, digital forms and customer-management systems.
    • A professional, well-groomed and brand-appropriate personal presentation.
    • The ability to work retail hours, including weekends and public holidays when required.
    • Reliable transport to and from the allocated store.
    • Willingness to complete financial-services product, compliance and regulatory training.
    • Ability to meet the applicable Fit and Proper requirements as the role develops.

    Advantageous Qualifications and Experience

    The following would strengthen your application but are not entry requirements:

    • An NQF Level 5 qualification.
    • A diploma or degree in finance, financial planning, business, marketing, retail management or a related field.
    • Previous experience selling insurance, financial products, mobile contracts, memberships, automotive products or other consultative consumer solutions.
    • Experience conducting product demonstrations, activations, promotions or in-store campaigns.
    • Experience working in a traditional retail environment.

     The Reality of the Role

    • This role requires you to be active and visible on the retail floor.
    • You will speak to customers who did not necessarily arrive at the store planning to discuss insurance.
    • You will need to create interest respectfully, earn their attention and show them why the conversation may matter to them and their families.
    • Some customers will say yes. Some will say no. Others will require patient follow-up. You must be comfortable with all three.
    • If you prefer waiting for customers to approach you, avoiding sales targets or working mainly behind a desk, this role will not be the right fit.
