    Management Personal Assistant - Randburg

    Introduction

    A Surgical Hospital requires a Management Personal Assistant who can effectively support the hospital management team, ensuring seamless operations, and enhancing productivity. The ideal candidate should possess strong organizational and communication skills, be proficient in administrative tasks, and have experience working in a healthcare or hospital environment.

    The hospital seeks a proactive and professional individual capable of handling confidential information with the utmost discretion. The Management Personal Assistant will play a crucial role in maintaining efficient communication channels, managing schedules, and coordinating administrative tasks.     Desired Experience & Qualification

    • Grade 12/ Matric
    • Additional education or certifications in administration or office management will be advantageous.
    • Proven experience as a personal assistant or executive assistant, preferably in a healthcare or hospital setting.
    • Strong organizational and time-management skills to handle multiple tasks and prioritize accordingly.
    • Excellent communication skills, both written and verbal, with a high level of professionalism.
    • Proficient in using office software and applications, including Microsoft Office (Word, Excel, PowerPoint, Outlook).
    • Discretion and ability to handle sensitive and confidential information with utmost integrity.
    • Exceptional interpersonal skills to effectively collaborate with hospital staff, patients, and external stakeholders.
    • Proactive and capable of anticipating the needs of the hospital management team.

    Duties & Responsibilities

    • Administrative Support: Provide comprehensive administrative and secretarial support to the hospital management team, including managing schedules, coordinating appointments, and organizing meetings.
    • Communication: Facilitate effective communication between hospital management and various internal departments, as well as external stakeholders. Handle incoming calls, emails, and correspondence on behalf of the management team.
    • Documentation and Reporting: Prepare and maintain documents, reports, and presentations for meetings, reviews, and presentations. Ensure accuracy and attention to detail in all documentation.
    • Travel and Event Coordination: Arrange travel itineraries, accommodation, and transportation for hospital management team members when required. Assist in planning and organizing hospital events and conferences.
    • Confidentiality and Discretion: Handle sensitive and confidential information with the highest level of integrity and confidentiality.
    • Records Management: Maintain organized and up-to-date records, files, and databases for the management team.
    • Meeting Support: Prepare meeting agendas, take meeting minutes, and follow up on action items to ensure smooth and efficient meetings.
    • Budget Assistance: Assist in monitoring and managing budgets, including processing expenses and invoices.
    • Project Support: Support the management team in various projects, research, and initiatives as required.
    • Problem-Solving: Be resourceful in resolving day-to-day operational issues and challenges that arise.
    • Patient complaint: Receive all patient complaints/suggestions via email and channel to the relevant Manco member.
