    Receptionist & Administrator

    Job Description    
    Purpose of Job:
    To be the front line person for the company and to ensure the efficient operation of the switchboard and smooth running of the reception area.

    Minimum Qualification:

    •  Matric, a Secretarial qualification/s would be of advantage
    •  Minimum of 1 year working experience in a similar role, preferably in the motor industry
    •  Ability to handle difficult customers
    •  Demonstrated experience of working effectively in a multi-cultural environment


    Key Responsibilities:
    Administration of Switchboard and Reception duties:

    •  To operate the switchboard in an efficient and professional manner.
    •  To welcome arrival of visitors and announce their arrival to the appropriate departments.
    •  To update and distribute, electronically, the telephone list on a regular basis.
    •  Assist with work overflow, such as typing short documents, sorting files, typing labels.
    •  To ensure the reception desk is kept neat and tidy.
    •  Ensure stocks of up-to-date telephone directories are delivered.
    •  Ensure switchboard relief roster is adhered to.
    •  Prepare switchboard relief roster.
    •  Arrange for meetings to be set-up and if required refreshments.
    •  Coordinate Cleaning Staff, Tea Lady and Driver activities.
    •  Building Maintenance Administration Coordination.
    •  Raise Purchase Orders
    •  Handle Travel arrangements
    •  Create and distribute Parts memos and bulletins
    •  Assist in administration duties for all departments
