    Receptionist

    Job Purpose

    • The purpose of the receptionist is to serve as the first point of contact for clients and visitors, playing a crucial role in creating a positive impression and ensuring smooth administrative operations within the company.

    Minimum Requirements    
    Formal Qualifications & Additional requirements

    • Matric

    Experience

    • 2 - 3 years receptionist experience
    • 1 - 3 years industry experience 

    Knowledge

    • Working knowledge of office devices and processes
    • Strong reading, speaking and writing skills.
    • Strong knowledge of administrative procedures, as well as various computer applications
    • Computer Literacy
    • knowledge of computers and relevant software applications
    • keyboard skills
    • ability to work a switchboard

    Duties and Responsibilities    
    Key Responsibilities

    • Assist with administrative tasks such as filing, data entry, and document preparation.
    • Receive and sort mail and deliveries.
    • Monitor and maintain office supplies inventory.
    • Answer telephone, screen and direct calls
    • Take and relay messages
    • Provide information to callers
    • Greet persons entering organization
    • Direct persons to correct destination
    • Deal with queries from the public and customers
    • Ensure knowledge of staff movements in and out of organization
    • Monitor visitor access and maintain security awareness
    • Provide general administrative and clerical support
    • Prepare correspondence and documents
    • Receive and sort mail and deliveries
    • Schedule appointments
    • Maintain appointment diary either manually or electronically
    • Organize conference and meeting room bookings
    • Co-ordinate meetings and organize catering
    • Monitor and maintain office equipment
    • Control inventory relevant to reception area
    • Tidy and maintain the reception area
