    Sales Administrator

    Purpose of Role:

    • The Sales Administrator plays a key role in supporting the sales function by ensuring accurate and timely processing of orders, quotations, and documentation.
    • This role contributes to operational efficiency, compliance with Quote-to-Cash (QTC) processes, and seamless coordination between internal teams.

    Key Responsibilities

    Sales Administration:

    • Prepare and process sales orders, quotations and invoices.
    • Ensure compliance with QTC processes and internal policies.
    • Maintain Salesforce Opportunities.
    • Monitor and expedite order flow to meet delivery timelines for customers.
    • Ensure order book alignment.
    • Maintain accurate documentation and filing of sales records.
    • Generate delivery documentation and coordinate dispatch of goods.
    • Support OE and AM order entry.
    • Attend to customer queries and expediting of orders.
    • Resolve issues related to delivery, pricing and product availability.
    • Process Credit’s and NCR’s.

     Reporting & Data Management:

    • Assist in supporting with sales OTD and accurate output forecasting.
    • Provide support and insight to management on trends and opportunities.
    • Support internal audits and ensure document control compliance.

    Coordination & Support:

    • Liaise with internal departments (sales, logistics, finance) to ensure smooth order execution.
    • Support customer credit management in collaboration with finance.

    General Office Duties:

    • Process supplier purchase orders in SAP and Coupa.
    • Assist Managers with batch time sheet submissions.

    Job Knowledge/Education and Qualifications:

    • Matric (Grade 12).
    • Minimum 3 years’ experience in a sales administration role within engineering, manufacturing, or mining.
    • Proficiency in Microsoft Office and ERP systems (SAP essential).
    • Strong attention to detail and accuracy in documentation.
    • Excellent communication and problem-solving skills.
    • Ability to work under pressure and manage multiple priorities.
    • Commercial awareness and understanding of sales processes.
