Grade 12 with a minimum of 3 years’ experience rendering secretarial/administrative support service or three-year National Diploma in Secretarial studies/Office Management/Office Administration/Management Assistant. Computer literacy (MS Word, Excel and PowerPoint) good communication skills (verbal and written), organizational skills, and good interpersonal relations.
Proficient in Microsoft Office suite and will be subject to a test. Be reliable and professional and be able to use own initiative. Good telephone etiquette. Ability to act with sensitivity and discretion. Ability to meet tight deadlines and to handle office pressure. Ability to maintain utmost confidentiality.
Duties :
Provide and render secretarial/ administration support to the Nursing Service Manager. Screen, transfer and handle telephonic enquiries received from internal and external stakeholders.
Manage the office diary and arrange appointments. Take minutes during meetings and communicate to relevant role-players. Follow up on progress made. Coordinate logistical arrangements of meetings when required. Ensure the effective flow of information and documents to and from the office of the Nursing Service Manager.
Type documents, collects, analyse and collate information as required. Analyse incoming and outgoing correspondence, prioritize and distribute to managers according to the urgency and confidentiality required. Operate and ensure that office equipment i.e. photocopy and fax machines are in good working order. Handle the procurement of standard items i.e. stationery, refreshments, etc.
Maintain an electronic filing system and manual backup system to ensure that all documents are accurately filed and recorded and are easily retrievable. Compile nursing leave plans, allocation lists, overtime records and support other Nursing Manager on administrative duties. Remain abreast with procedures and processes that apply in the office of the Nursing Service Manager.
