    Job Objectives

    • Monitor and evaluate competitor packaging, category trends and market developments to identify opportunities for innovation and differentiation across the Private Label portfolio.
    • Ability to translate consumer, category and competitor insights into commercially successful packaging solutions that drive sales, brand differentiation and profitability.
    • Deep understanding of the competitive retail and FMCG landscape, including category trends, competitor packaging strategies, shopper behaviour and market dynamics.
    • Drive the adoption of AI and digital tools to improve packaging design workflows, packaging audits, artwork management, compliance checks and speed-to-market.

    Project Coordinator ( IT Project Delivery) - UPD Lea Glen

    Introduction

    • We are looking to recruit a permanent Project Coordinator to work within our IT Project Delivery Department for United Pharmaceutical Distributors (UPD). The role will be based at the Roodepoort, Lea Glen branch and will report to the Senior Project Manager and PMO Manager.

    Job Purpose:

    • The Project Coordinator provides coordination, governance, and administrative support to IT and business projects within the Clicks Group UPD IT Portfolio. The role ensures effective project planning, documentation management, reporting, and alignment with Clicks Group PMO governance standards.
    • Working closely with Project Managers, delivery teams, and business stakeholders, the Project Coordinator supports the successful execution of initiatives across supply chain, warehouse operations, pharmaceutical distribution systems, and enterprise platforms such as SAP.
    • The role plays a critical function in ensuring project information is accurate, risks and issues are tracked, and project governance processes are consistently followed within the UPD project delivery environment.

    Key Responsibilities:

    Project Coordination and Governance

    • Provide coordination support across IT and business projects within the UPD project portfolio. 
    • Maintain project documentation including project plans, RAID logs (Risks, Assumptions, Issues, Dependencies), action registers, and decision logs. 
    • Ensure project artefacts comply with Clicks Group PMO governance standards, templates, and methodologies. 
    • Coordinate project governance activities including project meetings, working groups, and steering committee preparation. 
    • Track project milestones, deliverables, and dependencies across project workstreams. 

    Reporting and Project Controls

    • Consolidate project inputs and support preparation of weekly and monthly project status reports.

    • Assist with project budget tracking and cost monitoring. 
    • Support timesheet coordination, vendor invoice validation, and procurement administration processes. 
    • Coordinate onboarding and offboarding of project resources, including external consultants and vendors. 
    • Assist Project Managers in monitoring vendor deliverables and milestone commitments. 

    Tools and Documentation Management

    • Maintain project information within Project Portfolio Management (PPM) tools and reporting systems. 
    • Manage project documentation and collaboration platforms including Microsoft Teams and SharePoint. 
    • Ensure proper version control and document management for all project artefacts. 

    Stakeholder Coordination

    • Act as the senior point of escalation for complex project risks, delivery challenges, and cross-functional dependencies. 
    • Engage senior stakeholders to ensure alignment on project priorities, delivery expectations, and value realisation.

    Vendor and Partner Management

    • Manage strategic relationships with system integrators, SAP partners, and technology vendors delivering solutions within the UPD environment. 
    • Ensure vendor deliverables meet contractual obligations, service levels, and delivery milestones. 
    • Facilitate collaboration between internal Clicks teams and external partners to support successful project execution.

    Financial and Resource Management

    • Oversee programme budgets, ensuring financial discipline through budget tracking, forecasting, and cost variance reporting. 
    • Ensure resources are effectively allocated across projects to support delivery commitments. 
    • Support benefits realisation tracking aligned to approved business cases. 

    Delivery Lifecycle Oversight

    Provide leadership across the full project lifecycle, ensuring effective execution of:

    • Business case development and approval

    Minimum requirements

    Minimum Qualifications

    • Bachelor’s degree in information technology, Business, Supply Chain, Pharmaceutical Management, or a related field. 
    • Formal Project Management certification (PMP, PRINCE2 Practitioner, or equivalent). 
    • Additional certification in Agile, Programme Management, or SAP project delivery is advantageous. 

    Experience

    • 5 years’ experience delivering IT and business projects. 
    • Minimum 5 years managing complex enterprise or multi-projects. 
    • Strong experience delivering SAP implementations or ERP-enabled supply chain transformation initiatives (SAP ECC, S/4HANA, MM, SD, WM, EWM). 
    • Experience working within pharmaceutical distribution, retail supply chain, or logistics environments. 
    • Proven experience operating within structured PMO and governance environments. 
    • Strong experience managing system integrators, vendors, and third-party delivery partners. 
    • Demonstrated leadership in mentoring or guiding project managers and delivery teams.
