    Utilities Administrator: Accounts Payable

    Primary Purpose of the Job

    • To take responsibility for financial reconciliation of utility accounts and to review and ensure the accuracy data captured as part of the utilities payment process as well as reconciliation of supplier accounts and to ensure all supplier invoices are submitted to Accounts Payable department to pay timeously.

    Key Performance Areas (KPA’s)

    • To analyse utility accounts ensuring the accurate capturing and payment of liabilities as part of the weekly utility payment process.
    • To analyse utility account payments and balances ensuring accurate translation to internal financial systems.
    • To manage the opening and closing of accounts ensuring that risks on outstanding balances are appropriately addressed and reconciled to Redefine’s financial systems.
    • To review and manage inter-account transfers between utility accounts and reconcile allocation of payments, credits and refunds.
    • To ensure accuracy of the utilities deposits register and ensure deposits are refunded correctly and on time and/or bank guarantees are appropriately released.
    • Manage clearance payments on utility accounts.
    • To ensure all purchase orders are raised, authorised and invoices allocated.
    • To liaise with suppliers, including supply authority where and when necessary.
    • Assist in management and operational reporting.

    Requirements

    A solid understanding of:

    • Supply authority utility tariffs.
    • Regulatory principles and requirements about the supply and recovery of electricity, water and sewer services.

    Knowledge of:

    • Electricity, water and sewer management principles.

    Qualifications

    • Senior Certificate (with Mathematics and Accounts as a subject preferred).
    • Tertiary qualification beneficial.
    • Additional qualifications or certifications relevant to the industry beneficial.

    Experience

    • At least 3 years’ experience of utility management department (within the property sector preferred).

    Proficiencies

    • Proficiency in Microsoft applications, especially Microsoft Excel (working with pivot tables and large data sets)
    • Strong financial and analytical skills.
    • Vendor management skills.

    Utilities Administrator: Recoveries x 2

    Primary Purpose of the Job

    • To provide specialist support to ensure that utility recovery ratios are accurate and optimised and to take responsibility for billing, query, financial and supplier management for their assigned portfolio.

    Key Performance Areas (KPA’s)

    • To review recovery ratios ensuring that ratios are maintained and optimised where possible (monthly review of utility management performance reporting for each property flagging potential issues with service providers and internal stakeholders).
    • To ensure the optimal and accurate recovery tariff allocation in line with Redefine’s agreed billing methodologies.
    • To review the accurate allocation of supply, metering and expenses to consumers and ensure all consumption is accounted for.
    • To ensure all tenant and billing related queries are addressed timeously.
    • To provide specialist and/or technical support related to utility management to property management teams where needed.
    • To track utility management service provider performance to ensure services are delivered as per service level agreements and address and resolve non-performance.
    • To assist Property Administration with technical query resolution.
    • To ensure that all recovery liability information remain up-to-date and is timeously provided to the service provider by the relevant departments.
    • To ensure the accurate allocation of recoveries (based on liability information) by the appointed utility management service provider.
    • To prepare and provide monthly performance reporting to the business.
    • To interact with utility analyst to understand improvement opportunities.

    The above duties are the main duties required to be successful in this role, however, the employee can be requested to perform other duties and responsibilities from time to time during his/her employment with the company, based on its operational requirements. The job title does not define or restrict the employment relationship and it is required within reason that the employee avail him-/herself to undertake other work at the request of the company.
