Job Description
- The Service Advisor will be responsible to maximize service sales and maintain high levels of customer satisfaction by doing the following:
- To maximise service sales by using professional sales techniques
- To ensure the security of cash taken
- To create customer confidence in the brand by ensuring professional and knowledgeable performance To ensure the highest level of efficiency and courtesy when dealing with the customer

-Cost Control:
- To examine monthly/quarterly management accounts To monitor new car stock
- To examine monthly/quarterly management accounts to ensure that debtor days do not exceed as per Dealership requirements.
-LIMITS OF AUTHORITY
- :Capital Expenditure:-(State in full as agreed with Dealer Principal showing split between new and used car operations).
- -Personnel:Recruitment and dismissal of all Staff within agreed limits.
- -Operational:Authorisation to order new cars or purchase/trade-in of new vehicles within agreed targets and forecasts. Authority to proceed on credit sales applications and determine discounts within agreed limits.
MAIN JOB FUNCTIONS:
Staff:
- To establish the staffing levels required to achieve departmental objectives.
- To select, hire, train and develop sales department staff.
- To identify departmental training needs in conjunction with training staff.
- To ensure resultant training programmers are completed and adequate records maintained.
- Establish and administer "in-dealership" training as required to cater for new model launches.
- Operate staff performance and appraisal systems and ensure action taken on results.
- Establish and review sales basic pay and incentive schemes..
Administration:
- Ensure all administrative functions, returns, record keeping and clerical operations are carried out at the appropriate time and kept up to date.
- Review with Dealer Principal all activities and reporting systems within department.

Communications:
- Maintain good liaison with other managers.

- Ensure adequate stocks of car and product display material is available..
Marketing:
- Formulate marketing plan, initiate and conduct new car launches and promotions.
- Formulate marketing plan and initiate used car sales promotions.. Analyse local customer/car preference statistics and compare with new and used car forecasts, acting on any anomalies detected.
- Handle customer complaints and ensure corrective action is taken.
- Maintain record of customer complaints or congratulations for analysis and use as required..
Finance:
- Review all pricing policies, discounts and "trade-in" dealings to maintain dealership profitability.
- Monitor costs and general condition of demonstrator fleet.
- Monitor sales department financial performance weekly.
- Monitor credit and finance commission income to ensure budget requirements are met.

Qualifications and Experience
EXPERIENCE, QUALIFICATIONS AND TRAINING
- Sales management and marketing skills, knowledge and experience.

- Able to motivate a sales team to achieve objectives.

Job Description
- The Warranty/Costing Clerk will be responsible for adhering to Company and Hyundai Automotive SA's policies in ensuring the correct, timeous submission of claims whilst creating customer confidence in the brand by ensuring professional services at all times.

- Validate all vehicle data on documentation before input .
- Review job cards before costing for car shop, paint and panel
- Ensure correct damage codes on all claims
- Attend to and expediently finalise all claim queries
- Ensure parts claim store is secure at all times

- Ensure all prescribed parts are sent to the supplier within specified times
- Process all paint shop claims
- Liaise closely with HASA warranty claims department to ensure continuity in claim processing

- Ensure continued follow-up with outstanding warranty back order parts and customers
- Ensure customers return for back-order warranty repairs
- Check vehicle history and any previous warranty work
- Ensure the vehicle is within the warranty parameter period
- Ensure correct mileage recorded on the job card
- Ensure all vehicles have been inspected and diagnosed by the Workshop
- Ensure warranty part availability
- Ensure correct part and part number is recorded on the warranty claim form
- Ensure required authorisation is obtained before commencing with the repairs - DP or . Service Manager to authorise while waiting for final HASA authorisation
- Ensure that the warranty policy is adhered to at all times
- Reconciliation of all warranty job cards, invoices and warranty claim forms to a warranty register
- Ensure all warranty claim forms and invoices are submitted to HASA within 7 (seven) days of completion of repair
- Follow up with HASA that invoices have been received
- Ensure that job cards are costed and invoiced immediately the repairs are completed
- Failed parts to be destroyed as per the conditions laid out in the warranty policy and procedures, unless otherwise instructed by HASA. When requested, parts required for inspection are to be sent to HASA
- Ensure that all warranty job cards and invoices are signed by the customer
- Warranty filing is to be maintained by chassis number
- Manual report of warranty parts over 30 days to be kept for incentive purposes
- Reasonable requests by Management outside your job description will be performed from time to time

- Repair and service vehicles according to specific or franchise specifications
- Establish parts required for service or repairs to be performed and ensure the correct parts are ordered
- Report to Foreman / Service Advisor promptly on any additional work required
- Obtain authorisation prior to carrying out additional work
- Obtain technical information from Foreman / Master Technician on problem jobs
- Adhere to Motus workshop policies and procedures
- Ensure that all old parts are placed in a plastic bag in the boot of the vehicle, except in the case of warranty work where old parts must be returned to the Warranty Clerk
- Ensure that all oils and consumables used are recorded on the job card
- Ensure that worked hours are clocked correctly
- Ensure that the vehicle is kept as clean as possible and that all seat and fender covers are clean
- Do not leave keys in an unattended vehicle
- Ensure that work bay is kept safe, clean and tidy
- Report any faulty / broken equipment to the Foreman / Workshop Manager
- Ensure that special tools and equipment are used according to safety regulations and specifications
- Ensure that hand tools set conforms to Motus standard
- Accept responsibility for apprentice and impart as much technical knowledge to him as possible through explanation, practice and the monitoring of work, including rectifying faults
