    Reporting Accountant (Contract)

    ROLE PURPOSE:

    To assist the Group and Holdings Financial Manager in managing the financial processes. This will be achieved by driving the Aspen values: Excellence, Commitment, Teamwork, Innovation and engaging and building partnerships with the finance team and business partners.

    SPECIFIC OUTCOMES / ACCOUNTABILITY:

    Aspen Pharmacare Holdings Ltd-Monthly

    • Manage and maintain Fixed asset register
    • Manage and maintain Fixed IP registers
    • Review creditors invoices in BAAN
    • Review creditors recons
    • Weighted average share calculation
    • Journals for shares, provisions, asset capitalizations, monthly depreciation, salary charges and transfers to projects, expense claims and transfer to projects and ROU assets
    • Preparation of balance sheet recons:
    • Fixed assets
    • Provisions
    • WIP
    • Shares
    • SIS and SAP
    • Any other adhoc recons
    • Extract TB out of BAAN and upload into Cognos
    • Reconcile all accounts in Cognos and submit to Group
    • Completion of the mini-packs for submission to Group
    • Prepare detailed monthly management accounts comparing to budget and latest forecast
    • Send out the cost centre reports to the relevant managers
    • Deal with any queries from the cost centre managers
    • Comparison of monthly actuals to forecasts with reasons for major variances
    • Detailed commentary on the Income Statement and Headcount for submission to executives
    • Loading of IS and BS forecasts and budgets into BAAN
    • Opening and closing of Baan LN periods
    • Assist with payments and new vendor reviews
    • Assist with putting processes in place to clear all audit issues
    • Once month end is completed, loading of the asset movements on TCRS
    • Ensure the WIP report is up-to-date by liaising with PMO on monthly basis
    • Management of SIS and SAP – preparing journals
    • Extract the TB from Baan for loading onto cognos for SIS and SAP
    • Reviewing of all intercompany journals
    • Reviewing of all bank journals
    • Reviewing of the monthly IC tracker
    • Reviewing of all IC and bank recons
    • Manage the IC team and ensuring that they meet all deadlines
    • Reviewing of creditor accruals journals
    • Loading of new vendors on Baan LN
    • Opening of new projects and closing of projects upon completion
    • Loading of the asset budgets and forecast provided by Holdings Accountant
    • Monthly commentary on the variances against budget and forecast iro income statement
    • Monthly headcount analysis on headcount movements for month as well as variances against budget and forecast
    • Payroll analysis per CC, per GL for Holdings Accountant to review actual salaries from payroll
    • Submission of all share recons to Group to ensure alignment monthly
    • Submission monthly to AGDT and Group Operations of their GL and budget/forecast for the month to review and submit any corrections and accruals
    • Any other adhoc activities

    Aspen Pharmacare Holdings Ltd – Quarterly:

    • On a quarterly basis, liaise with cost centre managers and prepare the forecast
    • Liaise with cost centre managers for changes to headcount
    • Send latest forecast to cost centre managers for comment
    • Loading of IS and BS forecasts into BAAN
    • Load the IS forecasts into Essbase
    • Prepare the commentary for variances between budget and forecasts
    • Prepare the headcount analysis for variances between budget and forecasts
    • Review the IC forecast prepared by assistant accountants
    • Preparation of SIS and SAP forecast
    • Submission of SIS and SAP forecast into cognos

    Aspen Pharmacare Holdings Ltd – Annually:

    • Update the IP register following impairment review meeting and process impairment journals.
    • Prepare applicable schedules for external auditors
    • Answer all queries and questions of external auditors re year end
    • Annually liaise with cost centre managers and prepare the annual budget
    • Liaise with cost centre managers for changes to headcount
    • Send budget to cost centre managers for comment
    • Load the IS budget into Essbase
    • Prepare the commentary for variances between budget and forecasts
    • Prepare the headcount analysis for variances between budget and forecasts
    • Prepare the presentation file for FM to present to GFO and Deputy CEO
    • Loading of IS and BS budgets into BAAN
    • Review the IC budgets prepared by assistant accountants
    • Preparation of SIS and SAP budget
    • Submission of SIS and SAP budget into cognos
    • Prepare half year end pack
    • Prepare year end pack
    • Preparation and submission of Annual Insurance Declaration on Cr360
    • Preparation and submission of Business Cycles Controls Framework on Cr360
    • Assist with the preparation of the tax pack and tax queries

    EDUCATIONAL QUALIFICATIONS & EXPERIENCE:

    • Bcom Degree with minimum 5 - 10 years’ experience or
    • CA(SA) with minimum 3 years post articles experience
    • Previous experience within an SAP environment
    • Previous experience in the pharmaceutical or similar industry is very desirable
    • A proven ability to constantly challenge and improve existing processes and systems
    • Experience in implementing financial controls
    • Experience in implementing new systems
    • Experience in managing people and leadership

    Management Accountant

    Role Overview

    • Assist Financial Manager: Costing and Management Accounts in preparing final costs for tenders and budgets, prepare preliminary costs and commercial evaluations for various business decisions as well as prepare standard cost variance analysis on reporting variances. 

    Responsibilities

    Cost Accounting

    • Assist with budgets, tenders and reviews
    • Prepare product and preliminary costings, specific cost impacts and carry out associated procedures
    • Record cost information for use in expenditure control
    • Maintain financial system integrity, including checking signal codes are applied correctly and product costs are complete and accurate
    • Maintain costing database
    • Implement and review changes to item master
    • Applied marginal costing where applicable for transfer pricing
    • Ensure all transfer pricing mark ups are adhered to
    • Roll up new products
    • Assist in month-end closure of the General Ledger and other reconciliations, as required

    Analysis and Reporting

    • Perform and report on feasibility studies

    Procurement Manager

    Overview

    • Lead Spend Control Tower activities as well as identify, lead and develop Continuous Improvement and Stakeholder Management initiatives to achieve maximum efficiency and productivity in Procurement.

    Responsibilities

    Continuous improvement

    • Take responsibility for productivity/ cost efficiency targets and key compliance metrics (e.g. process compliance; internal audits)
    • Manage quality and CI of end-to-end Procurement process, including compliance to policies, strategies and processes

    Spend control tower (SCT)

    • Prepare materials, contracts and change requests for SCT meetings
    • Execute decisions made during meetings
    • Maintain governance processes of the SCT

    Stakeholder management

    • Create strategic category plans to develop long-term supplier relationships that will provide consistent benefits for the organisation
    • Lead and build effective relationships with key suppliers to drive value for Aspen through cost effectiveness and innovation
    • Drive implementation of supplier strategies
    • Manage foreign and local supplier landscape in line with business strategies and global Procurement goals and strategies
    • Optimise the supply base through consolidation and leverages and negotiates pricing on combined volumes with industry leading suppliers to reduce the cost of goods and overheads
    • Increase spend under contract and negotiates supply agreements with vendors, improving commercial conditions

    Risk management

    • Set up effective processes to ensure optimum risk assessment, feasibility assessment and planning are implemented
    • Manage the legal/ economic implications of Procurement activities
    • Assess and mitigate risks associated with Procurement function
    • Perform supplier risk assessment and develop mitigation plans

    Unit management

    • Provide technical and operational input during drafting of unit strategy and operational objectives
    • Guide operational planning and advise on prioritisation of activities
    • Provide input into budgets and resource requirements for unit
    • Request and allocate assets and resources for the fulfilment of work objectives and monitor their use
    • Provide unit staff with day-to-day direction and tasks
    • Ensure effective communication between the different Procurement functions and report on Procurement activities as required

    Requirements

    • Grade: 12

    Background/experience

    • 10 years’ relevant experience in a production planning or procurement role
    • At least three years in a pharmaceutical manufacturing environment
    • Proven capability to manage people and processes
    • Bachelor’s degree in Finance, Supply Chain Management, or a similar field
