    Site Administrator x4 (South Africa)

    PURPOSE

    • This role is responsible for the administration of financial and payroll activities at site level. The incumbent serves as a primary source of accurate and timely data input for both HRM and financial systems.

    Requirements

    RESPONSIBILITIES

    Governance

    • Ensure compliance with relevant legislation including FA policies and procedures.
    • Ensure Payroll inputs are in accordance with FA Policy.

    Safety

    • Maintain FA and client safety policy and procedure requirements.
    • Promote safety performance.
    • Report all incidents/accidents.

    Human Resources (HR) Management

    • Maintain and update information, records and reports such as personal files, leave, disciplinary and medical aid documents, monthly reports, etc.
    • Manage batch imports for wages, including allowances, ad hoc back pay calculations and batch preparation/import, employment contracts, site changes, transfers, leave.
    • Administer leave management (salaries and wages), ensure employees do not exceed their accumulated leave days. 
    • Process petrol and travel claims for both salaries and wages.
    • Maintain and update information and records such as employee lists and organograms.
    • Maintain HR training records and HR policy file.
    • Handle queries, complaints and requests ensuring timeous resolution.
    • Maintain all HR-related files.
    • Manage overtime processing including downloading hours from the app, verify entries, consolidate data and upload on Sage for Payroll processing.

    Cost and Shared Services

    • Assist with the monthly rolling forecast calculation.
    • Analyse, drill down and identify the variance amongst the budget, forecast and actuals on item level and provide explanations for the variances.
    • Generate purchase requests and subsequent receipt of goods on site in accordance with orders placed.
    • Record daily site costing and forecasting, including daily hours on internal and external plant for costing and supplier invoicing.
    • Assist in good management of company assets at a site level, ensure all company assets are tagged and accounted for.
    • Ensure employee take-on and exit are carried out in line with FA policy
    • Manage site stores and consumables and record transactions relating to issues, receiving and stock take.
    • Capture Payroll data input accurate, ensure completeness of payroll and wages inputs and the correct allocation of costs.
    • Ensure site budget is adhered to.
    • Perform stock counts monthly and receipts GRV’d within 24 hours (inventory management).
    • Ensure all Plant returns and diesel usage are accurately captured on the system daily.
    • Capture costs and revenue drivers onto the relevant system daily.
    • Escalate and prepare accruals templates at site level accruals to Finance and ensure completeness.
    • Review PO reports weekly, GRV and close PO’s not required or older than three months.
    • Escalate HR and Finance queries to Shared Services.
    • Reconcile petty cash (workshop and fixed assets) and submit for reimbursement.
    • Ensure all company policies and processes are being adhered to, especially at site level.
    • Ensure all transactions are captured/processed on a daily, weekly, monthly basis, completeness of all financial data.

    Perform General Administration

    • Complete all reports regarding safety, production, personnel, quality control and maintenance.
    • Perform site administrative duties as required.
    • Liaise with operations, and other departments to enable  service delivery.
    • Support  site level communication including the distribution of correspondence and memos, update notice boards and other communication channels.
    • Handle general administrative tasks, including filing, record keeping, and operating office equipment.
    • Assist with bookings and administration relating to training.
    • Arrange and take minutes of site communications forums.

    QUALIFICATIONS

    • Grade 12 with Accountancy and/or Mathematics (advantageous)
    • Minimum:  Diploma in Business Management/Administration

    EXPERIENCE

    • Minimum two years’ experience in the role or similar
    • Experience with an ERP system (advantageous)

    Business Unit Manager (Witbank)

    PURPOSE

    • This position is responsible for the strategic management and operational excellence of a business unit. The position reports to the General Manager and is responsible to ensure efficient management and achievement of contractual objectives of sites in a specific area

    Strategic Management

    • Support & roll out Fraser Alexander’s strategic goals.
    • Ensure business unit complies to company initiatives.
    • Evaluate and report on the performance against established objectives, budgets, and strategic plans.

    Operational Performance

    • Ensures that Operational sites comply with and execute contractual obligations.

    • Implement controls to meet compliance with company policies, procedures and People Management Processes ( Performance Management, IDP, Succession Management Talent Management.

    • Facilitate with GM, peers , subordinates and clients to ensure that there is common alignment among stakeholders.

    • Ensure sites are aligned with Fraser Alexander SHEQ strategy, objectives and plans.
    • Implement controls to meet compliance with legislation, Fraser Alexander policies , including ESG and ensure alignment with client SHEQ programs.
    • Assess site SHEQ performance through formal audits.
    • Proactively prevent substandard practices.

    • Develop the financial budget for the business unit.
    • Monitor and report on financial performance versus approved budget.
    • Have in depth understanding of cost drivers.

    Operational Excellence Specialist (Gauteng)

    Description

    • This position exists to support the Business Improvement Initiatives through driving operational efficiencies by executing tactical and strategic projects. It will ensure that Mission Directed Work Teams and other systems are implemented to enable productivity, high quality of work, safe behavior and problem solving at the lowest level.
    • The role will assist in cascading the organizational strategy and goals to the lowest level while gathering operational requirements for digital transformation working hand in glove with the Data Analytics & Technology team. 

     Strategic Management

    • Understands the complete Fraser Alexander’s strategic goals to be achieved by 2024.
    • Assist the OE Principal to evaluate and report on the performance against established objectives, budgets, and strategic plans.
    • Generating facts and do gap analysis for each division to derive the Special strategic projects.
    • Collaborating with Ops Managers and their direct reports (down to operator level) to identify opportunities for improvement and growth.

     Operational Performance

    • Analyse operational activities, continuously scouting for improvement opportunities.
    • Implement a Continuous Improvement (BI) platform, including MWDT, for all employees.
    • Setting up of Governance structures for Business Improvement, inclusive of the Standard Operating Model principles.
    • Completing Initial Value propositions (IVPs) for shared ideas/opportunities/projects.
    • Setting up of Project teams together with the relevant GM’s.
    • Implementing plans and calculate the monthly tracking of Value- at –Stake (VAS).
    • Reporting and tracking at project meetings will be on a daily/weekly basis, as required.

     Digitisation

    • Requirements elicitation for manual workstreams to be digitized and automated
    • User journey maps using Business Process Mapping tools for digital solutions
    • Training and Change Management during digitized work implementation
    • Develop and facilitate UAT for digital solutions at operations

     Innovation Management

    • Develop and maintain systems to track innovations across the business and across all layers 
    • Maintain constant surveillance of trends in the target markets; technological innovations; changes in customer requirements, which could impact on the company and its services and provide for quick responses to changes
    • Contribute to the implementation of innovative strategies for the company so as to influence the overall growth, profitability and development of the business.

     Internal Customer Relations

    • To share key insights, trends, best practices and benchmarking in Business Improvement with peers in other parts of the business.
    • Facilitate with GMs and HODs to ensure that there is common alignment of the Standard Operating Model, Business Improvement projects, or SPO’s and any other improvement projects undertaken.
    • To continuously facilitate the processes between key enablers, e.g. Supply Chain, Engineering, Human Resources and Finance, ensuring that they are aligned to the requirements of the Business in terms of Standard Operating Model, the Business Execution Plans and any other initiatives or improvements

     MDWT implementation at operations

    • Conduct bottom-up operational excellence implementation
    • Ensuring that daily work is aligned with company strategy
    • Improving shift efficiency together with HR performance
    • Train shift workers on problem solving skills & strategies

     Reporting

    • Setting up KPI tracking dashboards for MDWT
    • Tracking of Innovation progress and benefits
    • Develop production tracking reports as well as tracking effective execution matrices.
    • Assist GMs and Ops Managers with SLAs and to manage service levels with the company’s clients

    Requirements

    Qualifications

    • Bachelor or BSc in Engineering – Metallurgy, Industrial, Civil or Chemical Engineering
    • Postgraduate qualification in Business studies, finance or supply chain (desirable)
    • Advanced Excel, Power BI & DAX
    • Lean Six Sigma certification

     Experience

    • 5- 6 years’ experience in mining, metals, manufacturing and technology industries
    • 3 -4 years’ Experience in Business Improvement, Process Engineering or Production environment. Experience in Tailings and Mineral Processing environment an advantage.
    • Experience in developing and implementing integrated operational planning
    • Developing Training material (SOP) and training shift personnel (incl. RCA)
    • Experience in Value chain Management (incl. SLA)
    • Knowledge or experience of MDWT implementation
    • Proven track record of implementing business improvement initiatives
    • Experience in managing cost reduction projects

     Other specific knowledge & skills required (only if applicable)
