    Project Administrator

    Job Description

    Main Purpose of Role

    • This position will mainly be responsible for assisting with the project and office administration tasks/roles.

    Key responsibilities will include but not limited to;

    • Provide administrative support to the PM & CM teams
    • Liaise with the project stakeholders during all design and construction stages and ensure internal systems reflect status of the project.
    • Assist project managers with preparation of project progress reports
    • Assist project management team with closing out project activities following completion of deliverables
    • Assist with document control for the various projects
    • Assist in monitoring and execution of corporate governance
    • Manage and incoming and outgoing emails and phone calls accordingly
    • Assist with BMS, tasks
    • Coordinate with suppliers for products/services, quotes and delivery, and track the use of office supplies
    • Health & safety – maintain a record of any incidents/H&S issues in conjunction with the SHE representative.
    • Assist in event planning and coordination
    • Assist in the logistics arrangements for the staff and any guests
    • Assist in settling the new employees upon joining

    Qualifications

    • Relevant qualification in Business administration (preferably at degree level)
    • 3 or more years of experience in office administration

    Senior Planner/Scheduler

    Job Description

    • We are looking for a talented Planner to work on projects in our Real Estate Business Unit. In this role you will apply your advanced planning experience in scheduling, progress measurement, change management implementation and analysis. You will implement the project planning/scheduling strategy, plans and procedures, reflecting both company and contractor roles, responsibilities, and expectations.  
    • In the role of Planner, you will coordinate the development and implementation of project Work Breakdown Structures (WBS) and Cost Breakdown Structures (CBS) in conjunction with the Project Lead, Project Cost Engineer and Contractor Project Controls Leads, and in conjunction with the Project Execution Plans. You will support the Project Team in the implementation of an integrated enterprise based, cross functional and EPC master schedule program, and analyze deviations from the baseline in the master schedule and highlight bottlenecks/delays and propose corrective actions.  

    Other responsibilities include: 

    • Ensure that schedule related data from vendors, suppliers, engineering and construction contractors of actual projects is provided as feedback into the planning and scheduling systems; 
    • Ensure the accuracy and completeness of the schedules produced, maintaining independence as a planning engineer when advising on issues requiring judgment; 
    • Ability to balance multiple projects executed in multiple locations and by multiple contractors; 
    • Track and monitor portfolio schedule; 
    • Prepare the integrated planning/scheduling contribution to the Monthly Project Report and specific reports/presentations; 
    • Analyse and highlight the overall schedule impact of any variance/change order; 
    • Prepare resourcing plans for the overall and individual project phases, identifying any excessive peak numbers and making recommendations for peak levelling. 

    Qualifications

    • Minimum of 10+ years planning/scheduling experience; 
    • Strong understanding in planning/scheduling policies, methods, and procedures that include advanced planning and scheduling techniques, risk analysis and risk management; 
    • Advanced level of experience using project scheduling tools, such as MS Project, Primavera P3, P5 and P6, SAP, Excel, PowerPoint and Pertmaster; 
    • Ability to coordinate/organize multiple sources of schedule inputs/performance data into a master schedule platform and deliver project/program status reports is required; 
    • Knowledge and experience of all the main design or project management concepts, tools and techniques; 
    • Experience of working with Contractors in a project management, or scheduler/planner capacity; 
    • Excellent communication and interpersonal skills; 
    • Tenacity and drive to inject value and create solutions; 
    • Membership of a recognised professional body desirable; 
    • Good knowledge and experience gained within construction and Real Estate sectors;
