    Site Controller

    Purpose of the Job

    • The Site Controller represents Value Logistics on site by efficiently managing the costs and fleet and ensuring the best possible service regarding delivery planning and fleet Management.

    Key Responsibilities 
    Vehicles

    • Maintain services of vehicles
    • Maintain vehicle cleanliness and good overall condition
    • Facilitate Hiring of Ad-hoc vehicles
    • Daily vehicle tracking
    • Manage Vehicle workshop costs

    Debriefing

    • Monitor Stats / Check PODs meet Value/client standards
    • Check that all driver debriefing forms are accounted for
    • POD returns
    • Customer queries on POD
    • Analysing trip sheets on vehicle arrivals
    • Movement reports checked against trip sheets

    Administration

    • Site Reports
    • Breakdowns
    • Maintain control wages: recording of times of staff
    • Scheduling of staff and vehicles
    • Ensuring productivity of vehicles and staff

    Accidents

    • Completion of all accident / incident documents (Value Documents)
    • Schedule regular driver training sessions with DTA to prevent unnecessary damages
    • To ensure on time Driver PRDP renewals in order to prevent illegal activities or fines
    • To manage all driver fines on time when requested from Line management, and take appropriate action where a trend is identified

    Main Purpose

    • Planning and dispatching of all local loads leaving the sites
    • Oversee scheduling of delivery planning and staff in order to ensure load utilisation and staff productivity is up to the client standard and expectation
    • Receiving and dispatching stock

    Route Planning 

    • Vehicle scheduling
    • Driver scheduling
    • Customer delivery sequence

    Daily Duties

    • Filing of all reports and queries i.e. R & M
    • Breakdown management
    • Claims management
    • Daily Operations Report
    • Daily dispatch as per client requirements
    • Maintaining drivers and vehicles files
    • Weekly wages
    • Weekly reports KM, fuel & wages
    • Vehicle checklists control
    • Daily stats
    • Edc fuel control
    • Co-ordinate Ad hoc and replacement vehicle hires
    • Receiving stock from the client factory
    • Supervising the onsite staff

    Minimum Requirements

    • Grade 12 (Matric)
    • 2-3 years’ experience in a Logistics environment

    Nightshift Controller

    Purpose of the Job

    • This role is responsible for the coordination and supervision of operations to ensure smooth and efficient, delivery services. The Site Supervisor manages driver attendance and documentation, oversees vehicle route planning and dispatch, ensures fleet readiness and safety, and enforces adherence to operational protocols.

    Key Responsibilities 
    Operational Management

    • Supervise and monitor drivers’ attendance registers and absenteeism, ensuring optimal staffing levels are maintained on site
    • Supervise the loading and preloading of vehicles
    • Co-ordinate all driver-related requirements in consultation with the Labour Broker and Regional Manager
    • Ensure that drivers’ hours are accurately captured on the weekly wages report
    • Manage and oversee all fuel-related processes, including re-fuelling, fuel consumption tracking, EDC/Nedfleet card usage, and reconciliation of fuel usage schedules
    • Ensure the overall condition of the fleet meets the standards outlined in the SEC Manual
    • Co-ordinate and control daily route planning, vehicle loading/offloading, handover of customer documentation, and dispatching of drivers
    • Ensure compliance with all procedures relating to accident claims, product claims, and vehicle breakdowns
    • Communicate regularly and effectively with the Account Manager regarding all operational and distribution activities
    • Debrief drivers’ trip sheets and cross-reference them with vehicle tracking reports
    • Supervise the completion of pre- and post-trip vehicle inspections, logbooks, workshop bookings, and Certificate of Fitness (COF) checks
    • Manage ad hoc vehicle requirements as needed
    • Ensure all driver documentation is valid and up to date, including Professional Driving Permits (PDPs), driver’s licences, medical certificates, and relevant certifications (e.g. crane, Moffett, Hazchem)
    • Monitor and control the issuance and use of Personal Protective Equipment (PPE) and uniforms for all on-site staff
    • Ensure all vehicles have functional tracking systems and arrange for repairs where units are faulty
    • Maintain a high standard of housekeeping across the site, ensuring a clean and safe working environment
    • Conduct monthly panic button tests for all vehicles
    • Conduct and submit monthly tyre surveys
    • Ensure all deliveries are completed in accordance with front-end planning requirements
    • Confirm that all loads are secure and compliant with safety standards prior to dispatch
    • Ensure that all vehicle keys are securely locked away at the end of each workday

    Administrative Duties

    • Ensuring the compilation and completion of operational reports:
    • Daily Occurrences Report
    • Utilization Report
    • Absenteeism Report
    • Vehicles in Workshop Report
    • Fleet Checklist
    • Weekly Site Report
    • Fuel Consumption Report
    • Vehicle Tracking Reports
    • Weekly Cluster Report
    • Daily Stats Report
    • Fleet Control Report
    • Management Report (STOs, average loading times and out of area’s)
    • Supervise the completion, handover and signoff of all customer related documentation

    Customer Service & Relationship Management 

    • Build and maintain strong relationships with customers by consistently meeting agreed service levels
    • Monitor all customer-identified KPIs and service level agreements to ensure targets are achieved
    • Compile and present required customer KPIs, reports, operational feedback, and highlight any operational constraints or challenges proactively

    Minimum Requirements

    • Grade 12 (Matric)
    • Proficiency in Microsoft Office Suite (MS Word, excel, outlook, etc.)

    Inventory Controller

    Purpose of the Job

    • Carry out inventory procedures within an operation or as allocated in line with Value inventory procedures and customer inventory requirements. Ensure all reports are managed and maintained and inventory accuracy levels are maintained at all times.

    Operational

    • Ensure that the Standard Operating Procedures relating to the management and control of inventory are known, understood and followed
    • Understand and know how to make use of the various systems in the business
    • Carry out inventory related investigations and queries needing resolution and sustainable corrective, action and driving the required actions
    • Ensure that NCRs/NCPs /IOs are raised and completed for all areas required as identified during inventory processes and investigations
    • Ensure that stock is accounted for at all times and that claims and damages are managed and kept to a minimum

    Storage

    • Ensure consolidation of pallets in the replenishment areas to improve utilisation
    • Conduct spot checks on bin locations to ensure bin accuracy
    • Ensure that product is correctly handled to ensure that product quality is maintained and no damages occur
    • Ensure that all units of measure are understood and applied
    • Ensure that physical and system aligns in terms of product, location and quantity
    • Measure obsolete stock as well as expired/non moving stock

    Master Data and WMS

    • Ensure that master data (product master) is maintained and managed in all operations for the purpose of accurate inventory levels
    • Ensure that the product information is correctly uploaded upon receiving
    • Ensure that WMS functionality is understood and correctly used and applied as required

    Book-to-Book, Cycle Counts and Stock Takes

    • Ensure that book-to-books are carried out as per the required frequency and that all variances are investigated and resolved timeously
    • Ensure cycle counts are carried out daily as required to maintain high stock accuracy levels with minimal losses
    • Ensure empty bin checks are carried out daily
    • Report on cycle count results and ensure that any discrepancies are resolved timeously
    • Ensure stock take preparations are carried out correctly prior to all stock takes and ensure that the respective inventory records are in place and managed
    • Ensure stock takes are carried out effectively and correctly as per the Value and customer requirements
    • Ensure cycle count and stock take results are reported to senior management and clients as required
    • Ensure all inventory records are correctly filed and easily accessible should they be required (Stock take, cycle counts, inventory investigations etc)

    Reporting

    • Ensure that daily, weekly and monthly inventory reports are completed and provided to the relevant management
    • Ensure that inventory KPI is maintained and reported on
    • Investigate inventory KPI failures
    • Investigate stock variances and assist in provision of resolution actions
    • Analyse reports with the aim of identifying solutions for improvement and or resolution of problem areas

    Minimum Requirements

    • Grade 12 (Matric)
    • Logistics/warehouse/business management diploma/degree beneficial
    • 3 years of experience in the logistics/warehouse industry with inventory knowledge

    Procurement Coordinator

    Purpose of the Job

    • Responsible for Group travel arrangements / general admin / loading general & maintenance orders, assisting with queries and filing. Assisting the procurement department with various admin duties and overflow requirements.

    Maintenance

    • Create Orders
    • Invoices for completed jobs to be handed over for receipting
    • Accurate record keeping of orders generated and invoices received
    • Send Invoices and receipts to creditors for payment

     Group Travel

    Flower Orders

    • Process requests on receipt as per the flower policy
    • Create, place and track orders to the supplier

    • Match invoice to orders and hand over for receipting
    • Send invoices to creditors for payment
    • Record keeping of all invoices sent to creditors
    • Ensure supplier statement is up to date
    • Filing

    PPE

    • Queries – Check order status on Embrace. Obtain information from warehouse / buyer and supply feedback to the Business Unit/s
    • Assist with loading inventory orders when requested
    • Assist in checking returns received, matching to paperwork
    • Assist in checking exchanges, matching to paperwork
    • Assist to check Sharepoint that users updated PPE issue dates
    • Assist to update employee data on Sharepoint

    Stationery 

    • Assist with loading inventory orders when required
    • Create monthly internal orders for the procurement department’s requirements

    Boardrooms – Catering / Refreshments

    • Weekly stock check in the kitchen of cutlery and refreshments
    • Create monthly orders for Boardroom refreshments
    • Assist with catering / refreshments for clients and internal meetings if required
    • Assist with boardroom bookings if required
    • Ensuring that equipment in boardrooms is in working order
    • Ensure that boardrooms are clean and tidy daily, report issues to maintenance department

    General

    • Filing
    • Attending to day-to-day overflow requirements within the department
    • Assist with report copies and binding
    • Receiving & distributing internal mail
    • General admin requirements
    • Maintain and update the asset register bi-annually

    Minimum Requirements

    • Grade 12 (Matric)
    • 3 years’ experience in admin / procurement environment

    Skills Requirements

    • Proficiency in MS Office (Outlook, Word, Excel, Powerpoint)
    • Presentable – be able to deal with customers and suppliers in a professional manner
