    Marketing and Communications Officer

    Job Details:

    Reporting directly to the Marketing and Communications Manager, the incumbent shall be responsible for:

    • Initiating, investigating, and executing marketing and communications activities to increase the exposure of the organisation.
    • Assisting with the implementation of marketing and communications strategy.
    • Coordinating and scheduling marketing and communications tasks.
    • Developing links with sectors and departments to allow the flow of information.
    • Assisting with the management of the performance and imbursement of suppliers of marketing services through concise and effective briefing, effective budget control, and adherence to departmental payment processes.
    • Coordinating project briefings with business units, suppliers, and other key stakeholders involved in the project at hand.
    • Coordinating with service providers, for example, designers, to produce corporate publications, marketing material, etc.
    • Ensuring adherence to all contracts on projects briefed to suppliers.
    • Managing events according to brief including research, budget considerations, event execution, and post-event evaluation.
    • Assisting with the management of the overall eventing operation through efficient coordination e.g., sourcing of entertainment, sourcing of venues, guest list, seating arrangements, events packs, décor, catering/menus/gifts/promotional give-aways, registration, and ushering.
    • Managing the logistics of the events.
    • Ensuring all branding at events is aligned to SASSETA Corporate Identity (CI) to ensure uniformity of brand representation in the marketplace.
    • Assisting in planning the advertising and promotional campaigns for products or services.
    • Ensuring that the Corporate Identity is implemented at all brand contact points.
    • Aligning all internal business initiatives collateral to Corporate Identity e.g., Human Resource initiative.
    • Coordinating the branding requirements of the organisation.
    • Coordinating the collation and compilation of marketing and communications reports.
    • Assisting and resolving audit queries with the marketing and communications Manager.

     
    JOB REQUIREMENTS

    • Grade 12 (NQF 4) is required
    • A minimum of NQF Level 6 qualification in Marketing/Communications/ Public Relations is required.
    • A minimum 3 years relevant Marketing or Communications or Public Relations experience is required.
    • A minimum of 1 year supervisory experience is required.
    • Must be computer literate at an intermediate level.

    Learning Programmes Manager

    Job Summary:

    Reporting directly to the Executive Manager: Learning Programs: the incumbent shall be responsible for the following:

    • Develop and implement the operational plan for learning programmes responsible for
    • Monitor, manage and report on the implementation of the operational plan
    • Ensure Learning Programs Commitment Register and Project Register is updated monthly
    • Monitoring the implementation of APP Targets and compliance with Technical Indicator Descriptors
    • Ensure that the changing IT needs for department are addressed
    • Ensure that progress with Programme 3 APP Indicator targets are tracked and reported on monthly to the EM, with relevant catch-up plans where required
    • Ensure that policies and procedures, standards, guidelines, and frameworks are developed and/or reviewed and implemented
    • Ensure that risk registers and action plans are updated as and when new risks emerge or at least monthly
    • Manage all audit processes for all audits affecting the Learning Programs Department
    • Ensure the day-to-day implementation of all learning programs projects falling under the incumbent’s scope of work.
    • Provide monthly reports to the EM on status of all project and corrective action to deal with learning programs projects that is not implemented in line with the Discretionary Grant Contract
    • Ensure the compliance with PFMA payment timelines in respect of all invoices received via the project invoice register
    • Identify, develop and implement strategies to optimise key stakeholder relationships
    • Manage the resolution of stakeholder concerns and issues
    • Build capacity within the team
    • Monitor, evaluate and manage the team

    JOB REQUIREMENTS:

    • A minimum of NQF Level 7 qualification in Business Administration / Management or Office Administration / Management or Project Administration / Management or Public Administration / Management or Management Assistant or ODETD or Financial Management is required.
    • A minimum of 5 years’ experience in learning and development is required.
    • A minimum of 3 years’ management experience in the public sector environment is required.
    • Must be computer literate at an intermediate level.

    Learner Registration Administrator

    Job Purpose:

    Reporting directly to the Manager: Grants & Project Management, the incumbent shall be responsible to:

    • Receive, acknowledge and record Learner registration applications for self-funded and SETA funded programmes
    • Record and track all documentation received in the incoming register
    • Update and maintain the SASSETA funded and self-funded learner registers and keep them secure
    • Record and track learner registrations returned for updating or amendment
    • Administer the learner replacements, withdrawals and drop out data and maintain it on the system
    • Ensure that learner records are properly and safely stored
    • Check all data captured for accuracy and completeness in line with the APP TID requirements after each batch is captured and edit where required
    • Prepare and produce accurate learner lists for SETA-funded learners
    • Resolve learner registration submission queries
    • Ensure equitable distribution of work among the Data Capturers
    • Receive, record and report learner achievements  
    • Identify incomplete or inaccurate data on documents and refer to stakeholders, LP Administrators and/or Strategic Projects Administrators for amendments, or resolve the query if received personally
    • Verify that all supporting documentation is attached to registration forms and that all supporting documents are properly certified
    • Verify information that is not legible to ensure accurate data capturing
    • Receive and resolve stakeholder queries relating to Learner Registrations
    • Return incorrect applications to the provider for self-funded submissions
    • Communicate acknowledgement of receipt of learner registration applications
    • Inform and send registered and referenced agreements to stakeholders for self-funded programmes
    • Hand-over learner registration documentation to Registry and file evidence of hand-over
    • Provide administrative support pertaining learner files during internal and external performance audit
    • Provide administrative support to the department as required
    • Maintain and update the filing system
    • Provide administrative support to the Reporting Unit for the Submission of the QMR and QPR
    • Generate weekly statistical report and submit to Supervisor
    • Assist with the compilation of ad hoc reports as required
    • Assist with the compilation of the QMR and QPR as required

    JOB REQUIREMENTS:

    • Grade 12 / matric is required
    • Minimum of NQF Level 5 qualification in Business Administration / Business Management / Office Administration / Office Management / Project Administration /  Project Management / Public Administration or  Public Management is required.
    • A minimum of 3 years relevant administration experience is required.
    • Must be computer literate at an intermediate level.

    Supply Chain Management Specialist

    Job Purpose:

    Reporting directly to the Supply Chain Manager, the incumbent shall be responsible for the following:

    • Input into the development and implementation of the operations plans, SCM policies and procedures and SCM related Committee Terms of References;
    • Input into the development of the approved SCM procurement plan on an annual basis;
    • Coordinate the completion and development of specifications and/or terms of reference in line with the demand and procurement plan;  
    • Coordinate and participate in the Bid Committee meetings;
    • Compile RFQs and bid documents, ensuring that they accurately reflect the business and compliance requirements in line with the procurement plan / organisational budget;
    • Sourcing prospective service providers on the National Treasury Central Supplier Database (CSD);
    • Place RFQ and tender adverts in relevant media as per the BSC agreement and undertake the pre-evaluation of submitted bids as required;
    • Conduct the pre assessment and due diligence of SCM providers, selection and appointment in line with organisational policies and procedures;
    • Communicate bid decisions to internal and external stakeholders as and when required;
    • Issue orders to service providers and update the purchase order register;
    • Drafting SLAs in line with the SASSETA SLA templates;
    • Coordinate the signing of SLAs and on-boarding of SCM providers;
    • Ensure that the performance and compliance of SCM providers is in line with contractual requirements and SASSETA performance stipulations;
    • Make recommendations on contract termination and extension at contract end;
    • Compilation and/or review of deviation motivations;
    • Coordination of the deviations register;
    • Prepare and secure signed contracts with service providers;
    • Implement required sanctions on suppliers in line with instructions received as required;
    • Ensure the processing of SCM unit providers invoices in line with the SASSETA policy and procedures;
    • Implement the disposal plan;
    • Resolve stakeholder queries and complaints in a manner that maintains the stakeholder relationships within the required timeframes;
    • Build capacity within the team; monitor, evaluate and supervise the team performance;
    • Input into the audit process and queries;
    • Input into the identification and monitoring of departmental risks; and
    • Submit reports as and when required

    JOB REQUIREMENTS

    • Matric / Grade 12 (NQF Level 4) is required.
    • A minimum of NQF Level 6 qualification in SCM/Logistics/Finance or Business Management is required.
    • A minimum of 3 years SCM experience is required.
    • Must have 2 years supervision experience.
    • Must be computer literate at an intermediate level.
