Our client, a leading player with a robust operational footprint in KwaZulu-Natal, is seeking a dedicated Projects Operations Controller for their Asia Desk to oversee and streamline shipment activities.     Duties:

    • Schedule and coordinate shipment activities in accordance with customer orders and operational capacity
    • Allocate loads to transport modes based on urgency, cost, and cargo type
    • Plan routes and delivery sequences to optimize efficiency and reduce expenses
    • Monitor freight movement from origin to destination, maintaining communication with drivers and transport partners
    • Provide proactive updates to customers and stakeholders regarding shipment status, delays, or changes
    • Ensure proof of delivery (POD) is received, verified, and accurately filed
    • Maintain comprehensive logs of all shipment activities for reporting and audit purposes
    • Act as the central point of contact between clients, transport providers, warehouse staff, and customs officials
    • Respond promptly to queries related to shipment status, delivery timelines, and operational issues
    • Build and nurture strong relationships with service providers and customers
    • Prepare, review, and verify freight documentation, including delivery notes, bills of lading, customs declarations, invoices, and packing lists
    • Ensure compliance with local and international shipping regulations, including customs and hazardous goods requirements
    • Identify and resolve operational challenges such as delays, route disruptions, damaged goods, or incorrect deliveries
    • Investigate discrepancies in shipment quantities or documentation and implement corrective measures
    • Handle emergency situations with swift decision-making
    • Monitor transportation costs and identify opportunities for cost reduction through route optimization and load consolidation
    • Assist in rate negotiations with transport providers
    • Track budget versus actual expenditure, reporting variances
    • Compile operational reports and KPIs such as on-time delivery rates
    • Analyze data to identify trends and inefficiencies, providing recommendations for improvement
    • Ensure safety and health regulations are adhered to during all transport activities
    • Promote safe cargo handling practices, including hazardous materials if applicable
    • Support safety checks, risk assessments, and incident reporting
    • Identify process improvements and assist in the implementation of new systems and workflows
    • Participate in ongoing training and stay updated on industry trends and regulations.

    Requirements:

    • 3 to 5 years of experience in logistics, freight management, or related roles
    • Diploma or degree in Logistics, Supply Chain Management, Transport
    • Strong knowledge of sea freight, export and import procedures, and documentation
    • Proven management and organizational skills
    • Excellent communication and stakeholder management abilities
    • Ability to handle operational challenges swiftly and effectively
    • Proficiency in managing freight documentation and compliance standards
    • Strong analytical skills for reporting and process improvement

    Familiarity with the following:

    • Import/Export regulations
    • Shipping and freight management software

    Document Administrator

    Job Description

    • Our client, a well-established international trading business, is seeking a highly organised and detail-oriented Document Administrator to join their operations team. This role is responsible for the accurate and timely preparation, verification and processing of export documentation, ensuring all shipments comply with customer, banking, customs and international trade requirements.
    • This position is ideally suited to an individual with previous export documentation experience who thrives in a deadline-driven environment and takes pride in producing work of the highest accuracy.

    Key Responsibilities

    • Prepare and process export documentation for international shipments.
    • Submit shipping instructions to shipping lines within required deadlines.
    • Review and perform secondary checks on Letters of Credit (LCs).
    • Prepare and submit export instructions for customs clearance.
    • Liaise with service providers regarding export certificates and supporting documentation.
    • Review and approve Bills of Lading and export certificates for accuracy.
    • Compile final export documentation packs.
    • Distribute shipping documents, packing lists and Air Waybills to customers and overseas agents.
    • Liaise with banks to facilitate the timely release of documentation.
    • Ensure all documentation complies with company procedures, customer requirements and international trade regulations.
    • Identify and resolve documentation discrepancies before submission.
    • Provide administrative support to the wider South African operations team as required.

    Minimum Requirements

    • Previous experience in an export or import documentation or administration role.
    • Previous experience working with Letters of Credit (LCs) would be highly advantageous.
    • Strong understanding of export documentation processes and shipping documentation.
    • Exceptional attention to detail with a high degree of accuracy.
    • Excellent organisational skills with the ability to prioritise multiple tasks and meet strict deadlines.
    • Strong literacy and numeracy skills.
    • Good computer literacy with proficiency in Microsoft Office.
    • Excellent communication skills and the ability to work effectively with internal departments, freight forwarders, shipping lines, banks and customers.

    • The Office Administration and Debtors Clerk is responsible for providing general administrative support to ensure the smooth day-to-day running of the office.
