    Test Analyst III | Institutional IT | Client Servicing Domain

    Job Summary

    • We are looking for a self-motivated individual to join the Institutional IT team as a test analyst in delivering quality software that will create an exceptional user experience for our end-users. 
    • Allan Gray Institutional IT team consists of appr. 65 members, covering a range of skills and responsibilities including Domain Owners, Development Manager, Architect, Business Analysts, Developers (.NET and SQL) and IT Operations. The team operates with four business-aligned domains (Front Office, Middle Office, Fund Operations and Client Servicing). 
    • Additionally, the Tech domain and IT Operations teams support the business-aligned domains.
    • What you can expect: You will work predominantly within the Client Services Domain performing functional and regression testing as well as resolving production defects. 
    • Please note: This is a Cape Town based role and you will be required to be in office for a minimum of 3 days / week, with a Monday and Thursday as compulsory.  

    Job Responsibilities

    • Extracting test requirements for user stories, 
    • Designing and creating test cases, 
    • Estimating effort for testing tasks, 
    • Manual testing of applications, which includes front-end, system integration, regression, and end-to-end as well as exploratory testing, 
    • Managing and maintaining manual regression test suites, 
    • Product risk mitigation, thereby limiting defects in production, 
    • Collaborating closely with developers and business analysts in identifying, logging, and verifying defects in a defect tracking system, 
    • Collaborating with other teams in INST IT for integration testing. 
    • Assist in production support issues and queries.
    • Liaise with IT Ops and other Domains for support to resolve or assist with fixes.
    • Continuous improvement initiatives specifically with regard to quality and performance

    Skills and experience required

    • Attention to detail,

    Education

    • 4 years test experience 
    • Basic SQL skills

    • Testing fundamentals training / Test certification would be advantageous.
    • Exposure to Agile methodologies (e.g. SCRUM) would be advantageous

    Operations Consultant | Retail Operations

    Purpose of the role

    • The position is within the Retail Operations division, an area responsible for processing transactions from clients and independent financial advisers, as well as providing administrative support for the firm’s retail investment offering.
    • The purpose of the role is to ensure the high service standard at Allan Gray is maintained through building strong client relationships and delivering excellent client service to our clients and independent financial advisers. You will be responsible for ensuring all incoming instructions are responded to and processed and any pending instructions are followed up on. You will report to a team leader, which requires you to work actively within a team but also independently.

    Responsibilities

    • Checking and accurately processing all incoming or pending instructions. These include:
    • New business transactions, e.g. opening a new investment account
    • Existing business transactions, e.g. where a client adds or withdraws money or makes changes to their investment
    • Providing clients and advisers with a superior level of client service through call and email communications, e.g. responding on time and diligently to all requests from clients, advisers and internal business teams
    • Maintaining accurate record-keeping on internal systems of all interactions with clients and advisers
    • Knowledge of various legislative requirements relating to investment products
    • Supporting members of your team and the team leader, e.g. assisting with technical queries, workflow and processes

    Job Specification

    Specialist | Institutional Fund Operations | Fund Operations (Investment Accounting)

    Job Description

    • The candidate will be responsible for performing the day-to-day operational processes for various corporate actions, investment accounting and market data activities.
    • The candidate will work in Institutional Fund Operations, working closely with the other operational departments (NAV Pricing, Performance, Portfolio Administration) as well as Tax, Institutional Client Services, Legal & Compliance, IT, and Trading. 

    Responsibilities, but not limited to

    Corporate Actions and Proxy Voting

    • Capture and verify regular and complex corporate events timeously.
    • Facilitate testing and analysis of complex events before processing.
    • Send corporate action election requests to portfolio managers timeously.
    • Send accurate instructions and elections to custodians before applicable deadlines.
    • Process dividend, holdings and fractional payment adjustments.
    • Facilitate and process tax reclaims for clients accurately. 
    • Capture and verify distributions monthly and quarterly.
    • Manage the proxy voting process end to end.
    • Keep track of the mailbox for event notices, meeting notices and general queries. instruct custodians timeously ahead of voting deadlines via various channels.
    • Have regular meetings with the Investment team rep (governance analyst) to discuss  proxy voting.
    • Update proxy voting and corporate actions stats.
    • Resolve queries diligently and identify areas for improvement.

    Market Data

    • Ensure daily instrument valuation, pricing and exchange rate processes are completed accurately and timeously.
    • Ensure price and market data files are received from all relevant local and international exchanges, vendors and data providers.
    • Liaise with market data vendors (e.g. JSE, Bloomberg) regarding data quality, pricing and valuation-related queries.
    • Collaborate with the relevant IT domain teams to maintain, develop and enhance the market data infrastructure to keep systems up-to-date and efficient.
    • Monitor end-of-day price reconciliation processes and investigate pricing and valuation exceptions.
    • Manage vendor relationships, service agreements and market data contracts.
    • Maintain benchmark static data and ensure ongoing accuracy and completeness.

    Additional Activities

    • Support month-end activities.
    • Assist with the maintenance and governance of instrument classifications.
    • Calculate and validate daily coupon accruals.
    • Participate in projects, initiatives and process improvement activities aimed at increasing operational efficiency and reducing risk.

    Assistant Manager | Institutional Client Operations | Shared Services

    Job Summary

    • This role is responsible for leading the Institutional Shared Services team, with a primary focus on strengthening and overseeing internal controls and processes to ensure compliance with AML, FATCA, CRS, and Data Protection regulations across multiple jurisdictions. The role plays a key part in safeguarding regulatory compliance, enhancing data integrity, and supporting operational excellence across Institutional Operations in South Africa, Namibia, Botswana, and Bermuda.

    Job Responsibilities

    • Collaborating with Compliance in ensuring that all new legislation as well as changes to existing legislation and regulations are understood and implemented successfully across operational teams and relevant regions
    • Design, implement, and maintain manual and automated controls for AML, FATCA, CRS, and Data Protection compliance.
    • Monitor the effectiveness of operational controls and client operations processes and address gaps as identified.
    • Lead and develop team members with a focus on skillset development, growth and continuous improvement.
    • Implement and oversee Institutional training programmes aimed at complying with legislative requirements and operational needs.
    • Engage with external auditors and internal control owners in managing the end-to-end ISAE3402 control report process, including assessing the completeness and accuracy of controls contained in the report.
    • Manage regulatory submissions on behalf of Institutional Operations.
    • Maintain the Risk and Control Matrix related to regulatory and fraud controls, facilitate annual compliance assessments, and manage the documentation and implementation of Compliance Risk Management Plans (CRMPs).
    • Build stakeholder relationships with the broader business and specifically Assurance teams and represent Institutional Operations in regulatory forums.
    • Lead CRM system enhancements and process improvements.
    • Assist the broader Client Operations team with fraud risk management and awareness initiatives.

    Key Activities

    • Provide compliance and regulatory guidance as the point-person to the Institutional Operations business teams.
    • Manage engagements with the Group Assurance function, including audit processes and follow-up action points.
    • Oversee control implementation and ongoing monitoring to ensure the accuracy and completeness of client CRM data.
    • Drive and communicate areas for data quality improvements.
    • Define required scope changes to CRM systems, including defining any logic changes. Monitor outcomes and establish appropriate testing and implementation plans.
    • Review escalations and client onboarding/offboarding exception approvals.
    • Review transaction anomaly and cash thresholding reporting, and ongoing client screening results.
    • Manage ad-hoc and regular regulatory reporting and data submissions, including FATCA/CRS reporting.
    • Manage the maintenance of process notes for operational and training use by institutional operations teams. 
    • Conduct training to new starters and the broader Institutional Operations team.

    Competencies

    • Minimum 2+ years’ experience in financial services.
    • Experience in control framework design or implementation.
    • Experience managing or leading a team.

    Advantageous:

    • Qualified CA(SA),
    • Asset management experience
    • AML/FATCA/CRS exposure,
    • Prior experience with ISAE 3402 report preparation or review.
