    Medical Officer - Brakenfell

    Description

    Take work load off oncologists, creating capacity. Patient care.

    Routine follow-ups; Chemotherapy follow-ups; Radiotherapy treatment checks; Emergencies ; Unscheduled patients; Ward rounds; After hours call; Special investigations; Administration; Meetings; Academic presentation; CPD points; Staff medicals if required

    HR Administrator

    Description

    • To provide HR Administration functions for the HR Department (Primary function)
    • Leave Administration for Cancercare (Primary function)
    • To ensure the updating & maintaining of all employee records –  Soft & hard copies (Primary function)

    HR General Administration (Primary function))

    • All Filing (manual and electronic filing of new employee packs, all adhoc filing, provident fund filing and increase letters)
    • Send out HR related information to staff members (accumulative leave balance letters, Provident Fund Benefit statements, Salary increase letters)
    • Minute taking of HR Meetings
    • Provide staff members with confirmation of employment letters
    • Provide staff members with certificate of service letters
    • Update disciplinary record sheet

    Employee records

    • Draft new employee contracts / addendums to employment
    • Ensure new employees receive the new employee documentation
    • Ensure all required forms are fully completed and copies of relevant documents are received
    • Create personnel files for new employees
    • Create electronic files for all new employees
    • Ensure new retirement fund and medical aid documents are sent to the respective service providers
    • Ensure all required documents are filed
    • Provide new employees with a copy of the signed contracts
    • Provide payroll with new employee information (starter pack)

    • Register all new employees on the Employee Self Services (ESS) system

    • Register once employee is loaded on VIP and email address allocated by IT
    • ESS employee record maintenance as per Management request.

    • Send reports 3 days after roll over.

    Recruitment and Selection Process (Primary function)

    • Co-ordinate new recruitment requests for interview purposes
    • Collate applications
    • Arrange and schedule interviews
    • Provide interview questionnaires and CV’s to interview panel
    • Conduct reference checks for successful applicants
    • Monitor the progress of new appointments
    • Maintain recruitment filing system of new employees and vacant positions in adherence to legislative requirements
    • Update Staff Tracking Sheet
    • Staff requirements co-ordination
    • Application monitoring and sorting
    • Interview arrangements
    • Interview process co-ordination
    • Regret unsuccessful applicants
    • Record keeping process controls in accordance with legislation

    Terminations

    • Keep record of all resignations every month
    • Terminations – Remove terminated employees file and start the termination process. 
    • Provide staff members with certificate of service letters
    • Manage termination paperwork: Do Leave recon, Send Resignation email, Confirmation of Medical Aid after resignation
    • Draft UI19 form
    • Schedule Exit interviews
    • Record keeping and maintenance.
    • (Print resignation / termination letter and exit clearance form, attach to file and place file on termination cabinet)

    Professional Fees

    • Coordinate all annual/adhoc payments of professional society fees and indemnity insurance
    • Ensure that payment schedule is confirmed by all relevant parties and approved before sending it off for payment
    • Collate all proof of payments and forward on to Units.
    • Liaise with professional bodies with regards to refunds, pending applications and fee updates.
    • Ensure timeous payment of fees.

    • Keeping staff informed through SharePoint.
    • Long Service Awards Certificates.
    • Request for provident fund statements.
    • Ensure that staff is informed and understand their benefits.

    IOD Process

    • Receive all IOD notifications
    • Provide employees with applicable documentation
    • Inform employees of procedure to be followed
    • Capture IOD online on the Umehluko website
    • Follow-up on progress of claim with Compensation Commissioner
    • Ensure accurate and up to date documentation in place
    • Ensure all required information is received
    • Register claim timeously
    • Timeously follow-up and provide information required on claims

    Adhoc HR Administration & Projects

    • Employee Enquiries
    • Any HR Projects
    • Provide admin support to the HR Team.

    Requirements

    Required minimum education:

    • HR Certificate/National diploma in Human Resources

    Required minimum hr experience:

    • At least 1 Years’ experience in Administration

    Required minimum work-related experience:

    • At least 1 Year
