    Protection Officer

    Description

    Safeguarding and transportation of company assets

    • Safeguard company assets according to SBV policies and procedures

    HOD: Logistics

    Description 

    Manage day to day Logistics Operations

    • Schedule and provide support and guidance during daily run planning sessions with the relevant parties.
    • Coordinate and authorize the rescheduling of runs.
    • Coordinate with the Fleet Controllers to repair and replace all operational equipment.
    • Monitor operational execution status and implement contingency plans when required in your designated area.
    • Provide input and support to the Project team with all new Logistics related projects as and when required to do so.
    • Collaborate with the Regional Route Planner to initiate corrective measures for non-adherence to route compliance.
    • Oversee and ensure that all Team Controller: Logistics deliver and achieve SLA requirements, supervise and conduct regular meetings with the Team Controller: Logistics
    • Oversee the creation and rotation plans for spot checks and oversee that the implementation occurs to mitigate losses.
    • Monitor and evaluate operations in line with business rules, resource planning & allocation to route plans for daily operations.
    • Verify route execution data against Logistics national benchmarks to determine and improve performance and create efficiencies.

    Firearms, Asset and Infrastructure Management

    • Responsible for asset and infrastructure management in accordance with agreed policies and procedures.
    • Monitor that Firearms and Asset Control Officers are adhering to SBV compliance monthly, through the validation of certificates.
    • Provide authorization of Firearms Vault access.
    • Monitor, oversee and conduct weekly spot checks of registers, permits and paperwork.

    • Verify that the Logistics structure within the centre is resourced correctly to deliver on customer requirements.
    • Maintain internal and external relationships.
    • Deal all complex customer queries ensuring resolution within agreed upon turnaround times, providing reports to internal stakeholders like Customer, Management, etc.
    • Coordinate the resolution of customer queries with the Client Liaison Department.

    Oversee the implementation and maintenance of an optimised vehicle scheduling and dispatch system to meet client and market requirements.

    Risk Management

    • Initiate and coordinate SBV Risk Business Continuity plans when required per incident type.

    Deliver on recommendations in terms of mitigating the risk factors identified.

    • Oversee and monitor compliance to minimum security standard requirements for the ATM and its environment.
    • Investigate and report all losses, potential losses and differences to the relevant stakeholders and include this information on the relevant systems.

    Team Controller: Logistics

    Description

    Responsible for coordinating route plans and allocating resources

    • Obtain and coordinate route plans with the Regional Route Planner daily.
    • Confirm that the sufficient number of staff are allocated to specific routes and assign daily route plans to pre-planned operations
    • Perform final check relating to run routes in accordance with SOPs/GIs before any departure and escalate any discrepancies to the HOD: Logistics.
    • Submit daily Logistics resource plans to the HOD according to designated timelines and obtain approval.
    • Schedule the employees on applicable system ensuring optimisation of resources and rotation of resources.
    • Communicate the resource schedule with relevant stakeholders daily and update the system within the agreed upon timeframes
    • Manage required Logistics equipment and systems for effective operational output.

    Maintain SLA and Service Delivery

    • Oversee that all service points allocated have achieved SLA requirements in terms of service delivery.
    • Arrange and conduct regular meetings with Logistics employees.
    • Confirm that all ATM machines are balanced as per the SLA.
    • Monitor exception reports and implement remedial action.
    • Report all escalations/complaints received from customers to the relevant parties and implement appropriate remedial action.
    • Resolve all escalated customer queries in accordance with the SLA.
    • Manage customer relationship and operational on-boarding of new services.

    Risk Management

    • Create the rotation plans for spot checks of ATM's and run inspections and oversee that the implementation occurs to mitigate losses.

    • Assist with the mitigation of risk by using available systems and provide recommendations to mitigate the risk factors identified.
    • Daily debriefing of operational teams and reporting identified risks to HOD: Logistics/TSO.
    • Provide input in the activation of SBV Risk Business Continuity plans when required per incident type.
    • Immediately report all malfunctioning systems to technical support for resolution.
    • Compile the necessary documentation and submit to HOD: Logistics in compliance with all the necessary guidelines for operational dispensation.

    ATM Administration and MIS Provision

    • Monitor and maintain the administration systems within the centre and to record information relating to ATM’s
    • Implement an effective filing system for storage of ATM administration, aligned with company policy

    ATM Field Controller (George)

    Description
    Responsible for the management of customer service

    • Confirm that all ATM machines under SBV Full Custodianship at the centre are balanced as per the SLA.
    • Monitor ATM balancing exception reports and implement remedial action.
    • Provide recommendations and assist in always implementing improvement measures in the achievement of agreed ATM availability targets for excellent ATM service to customers.
    • Provide feedback on ATM availability and implement effective and efficient performance improvement action plans for region provided by the Logistics Management.
    • Liaise with respective management in terms of any possible reputational risks due to downtime of ATMs.
    • Escalate client queries to the Team Controller: Logistics/HOD Logistics and confirm matters are resolved.

    Manage ATM risk and provide on the job training

    • Collaborate with all the relevant teams to obtain and utilise security and environmental information to minimise risk.
    • Communicate, implement and enforce all relevant internal ATM policies and procedures to all employees in writing and verify that the acknowledgement of receipt from all staff that the procedures and policies have been read and understood
    • Investigate and recommend efforts to combat and minimise ATM vandalism.
    • Immediately escalate all ATM premises and leasing issues to all relevant stakeholders and check sites thoroughly when performing surprise checks
    • Perform trend and root cause analysis on all ATM related incidents including but not limited Losses, SOP transgressions and near misses and report all losses, potential losses and ATM differences to the relevant stakeholders.
    • Verify that sites conform to Health and Safety procedures.
    • Monitor compliance to minimum security standard requirements for the ATM and its environment on a national basis.
    • Report and provide support into the investigation process in collaboration with the Risk team.

    Conduct On-site Inspection, ATM Audits and Balancing Reports

    • Complete the full on-site inspection checklist per visit when conducting the on-site audits and provide suggestions for corrective actions when required to.
    • Conduct audits to verify the strict adherence by all staff to the relevant SBV procedures & policies as well as to identify possible areas of risk to be able to implement suggestions to mitigate these risks to minimise losses, service escalations and reputational damage.
    • Provide suggestions for effective corrective and preventive action plans to close all unsatisfactory audit findings and drive the implementation of the action plans provided.
    • Conducts site specific risk assessments in conjunction with Risk & Governance and for new business opportunities/onboarding as well as to identify gaps and non-compliance to company policies and procedures and provide suggestions for corrective actions when necessary.
    • Assess quality adherence and keep record of all quality audit reports in alignment with SBV policies and procedures and discuss the report with the Team Controller: Logistics and HOD: Logistics
    • Conduct a follow up audit within a specified time frame to determine if the identified errors / findings have been rectified
    • Provide feedback to ATM Custodians and HOD Logistics with regards to physical condition of ATM’s, ATM sites , and ATM Balancing (Losses), notifying the Team Controller: Logistics/HOD Logistics of any possible claims that may arise due to discrepancies in the balancing.

    Cash Processor FTC

    Description

    Receive Cash

    • Receive deposits and update on the applicable systems.
    • Comply with all policies and procedures to eliminate any possible risks to the company and the customer.
    • Prepare Cash on the applicable system
    • Check container/Bag for any damages or interferences and report all anomalies to Team Controller.
    • Acknowledge container/bag on applicable system.
    • Process all deposits in line with the agreed upon banks SLAs and SOPs on the applicable system.
    • Prep workstation accurately for effective and efficient note counting.

    Note Sorting

    • Sort all prepped deposits/notes for (FDP/ACDP) on the same day, within the cut off times.
    • Send rejected notes to the Reject Teller together with the PCD cards, deposit slips and stop loss bag to verify and balance
    • Operator to write a board (client name, date, denominations & number of bundles & operator name) & show it to the camera.
    • Balance per deposit
    • Report differences to the Team Controller
    • Fill the production sheet
    • The technician to sign the downtime register on machine breakdowns
    • End of day bundles to be verified by Team Controller.
    • Daily balancing\reconciliation by Team controller.

    Reconciliation of ACDP deposits.

    • Perform a reconciliation of all notes rejected in order to validate the information
    • Manually check all rejected notes for counterfeits, dye-stained and mutilated notes
    • Perform cash transfers to vaults
    • Perform end of day balancing/ reconciliation of all cash received
    • Handle all transactions including shortages and surpluses according to SOPs

    Desktop deposit processing

    • Check container/Bag for damage /tamper, report anomalies to Team Controller.
    • Acknowledge container/bag on applicable system.
    • All deposits must be kept separate per customer at all times and all deposits must be processed on the same day received by the customer.
    • All deposits must be processed and balanced on the applicable system
    • Perform end of day balancing/ reconciliation of all cash received
    • All transactions, including shortages and surpluses must be handled according to SOPS
    • Accurate prepping must be done to enable effective and efficient note counting

    Sachet and Process Coin

    • Process bulk coin deposits in accordance with SBV’s policies and Procedures
    • Sort and process teller coin transfers
    • Write a board (client name, date, denomination and the operator names) & show it to the camera
    • Receive and verify the money(bins), check the seal, denomination and bin register
    • Count out the bags to balance with the bin page and denomination
    • Cut the bags open to fill the wagon
    • Clear jams on the machines
    • Balance the money per client / deposit
    • Report differences to the Team Controller
    • Perform end of day balance/ reconciliation

    Bank system integrated deposit processing

    • Validate all transactions linked to system integrations as per banks SLA
    • Inform client services of account numbers not linked to bank system to avoid delays in crediting the customer
    • Verify deposit account number to eliminate losses or misspost.
    • Escalate system downtime/delayed batches to team controller

    Payroll and change

    • Payroll / change transactions must be processed in accordance with SLA per customer
    • Report all discrepancies to the Team Controller timeously
    • Floats must be sealed in drop safe bags along with float packing slips and placed into trolleys as per client requirement
    • Payroll entries to be processed within the banks SLA timeframes
    • Maintain all equipment by reporting any defects on equipment to the Team Controller
    • Obtain banks authorization prior to dispatching as per SOP.

    Prepack/Treasury

    • Assist with the accurate packing and unpacking of Bank and ATM Cash.
    • Manage consumables in line with packing requirements.
    • Confirm that the bag and Seal numbers are properly recorded.

    Manage Equipment

    • Utilize equipment according to Standard Operating Procedures (SOPS), protecting and taking care of company assets, e.g. cleaning of the machines before the shift starts and after the shift ends

    Governance

    • Subscribe and align to SBV Services' ISO 9001:2015 Quality Management Standards, ensuring the department’s processes and quality management system is at all times in compliance with the standard.
    • Support SBVs ESG journey, reporting on and managing the ESG requirements to ensure a positive reflection and outcome.

    Drive the Organization culture

    • Drive the department’s values while inspiring confidence and generating excitement, enthusiasm and commitment towards the mission.

    Lead as an Ambassador and executor of Change

    • Act as a change management architect in periods of change to ensure business continuity.
    • Manage the integration of business units into a seamless end to end solution for customers.
    • Effectively communicate and embed new processes and procedures as they occur, addressing or escalating matters/ concerns to the SME’s (subject matter experts) when required.
    • Facilitate the necessary presentations, workshops, or forums to ensure consistent and accurate communication is given across one’s portfolio.

    Requirements
    Minimum Requirements

    • 6 months previous cashier/teller experience: Advantageous
    • Grade 12 with Math's Literacy
