    Business Support Administrator

    About the role:

    • The Business Support Administrator provides administrative, operational, and front-of house support within the facilities management environment. The role is responsible for managing access cards, assisting with mailroom operations, providing reception relief, conducting inventories, collecting sustainability data, and supporting the Operations Manager where required. The position ensures smooth daily operations and contributes to efficient service delivery across the site.

    What will you bring:

    • Matric/ Grade 12 (Essential).
    • Administrative or office support experience (2 – 3 years).
    • Experience in facilities management, property, or corporate environments (Advantageous). Proficiency in MS Office (Word, Excel, Outlook).
    • Experience with access control system is an advantage

    What you will be doing:

    Access Control & Card Management

    • Process and issue new access cards for employees, contractors, and visitors.
    • Maintain accurate access control records and update the system when changes occur.
    • Ensure all access requests are authorised and compliant with security protocols.
    • Track lost, damaged, or expired cards and manage replacements

    Reception Relief & Front-of-House Support

    • Provide relief reception coverage as needed, ensuring a professional and welcoming front-of-house experience.
    • Answer calls, assist visitors, manage sign-ins, and support front desk processes.
    • Uphold brand and service standards while interacting with employees and clients.

    Mailroom & Logistic Support

    • Assist with receiving, sorting, and distributing mail and courier parcels.
    • Maintain logs for incoming/outgoing deliveries.
    • Support any special logistics requirements for departments or events.

    Inventory Management

    • Conduct regular inventories of office supplies, stationery, and facilities-related stock.
    • Ensure accurate recordkeeping and assist in forecasting replenishment needs.
    • Coordinate with vendors or procurement for restocking within approved procedures

    Sustainability Data Collection

    • Gather and consolidate sustainability and environmental data (e.g., waste metrics, recycling volumes, utilities information).
    • Maintain tracking spreadsheets, summary reports, and month-end submissions.
    • Assist in implementing sustainability initiatives and awareness activities.

    Work Orders & Plan on Administration

    • Assist in creating, monitoring, and closing work orders in the system.
    • Follow up with technicians, vendors, and stakeholders to ensure timely completion.
    • Escalate outstanding or critical work orders to the Business Support Coordinator / Operations Manager

    Receptionist

    About the role:

    • To provide professional, welcoming, and efficient front-of-house experience for all employees, clients, and visitors at the Santam Meeting Centre. The Receptionist / Switchboard Operator is responsible for operating the switchboard, managing visitor access, coordinating meeting rooms, and supporting daily front-desk operations in alignment with CBRE Excellerate service standards and Santam’s brand expectations.

    What you will bring:

    • Matric/ Grade 12 (Essential).
    • Reception, front-of-house, or switchboard experience (2-3 years preferred).
    • Experience working in a corporate environment, preferably within facilities management or a client-focused service organization.
    • Proficiency in MS Office and digital booking systems.
    • Strong telephone etiquette and communication skills.

    What you will be doing:

    Front of House & Reception Duties:

    • Serve as the first point of contact for all visitors, clients, and staff entering the Meeting Centre. Provide a courteous, professional, and efficient reception experience, ensuring Santam’s hospitality standards are upheld.
    • Manage visitor registration, access cards, and security protocols.
    • Maintain a neat, organised, and presentable reception area at all times.

    Switchboard and Communication Management

    • Operate the switchboard, answer incoming calls, and direct them promptly and accurately.
    • Take and relay message where required, ensuring timely follow-up.
    • Assist with general information queries from visitors, staff and internal teams.

    Meeting Centre & Room Coordination

    • Manage meeting room bookings, schedule, and setups.
    • Coordinate with cleaning, catering, and technical support teams to ensure meeting rooms are prepared and maintained.
    • Monitor meeting room usage and escalate any conflicts or issues to the Facilities.

    Client Service & Relationship Management

    • Building positive relationship with employees and Stakeholders.
    • Ensure consistent delivery of CBRE Excellerate service excellent standards. Handle client requests professionally and escalate when necessary.

    Administrative Support

    • Assist with general administrative tasks such as printing, scanning, filling, and courier arrangements. Support Facilities Management with reporting, logs, and front-of-house documentation.
    • Manage stationery and front-office supplies.

    Health and Safety, and Security

    • Adhere to all site safety, security, and emergency procedures.
    • Report and hazards, incidents, or facility issues promptly. Support emergency response protocols (evacuations, visitors tracking, etc.)

    Handyman

    About the role:

    • The Handyman is responsible for providing skilled, hands-on maintenance support across the site, ensuring that building assets, fixtures, and equipment are well maintained. The role requires strong technical ability and the capacity to self-perform tasks to minimise external contractor call-outs. The Handyman must also be flexible in supporting general facilities operations, including furniture moves and assisting the cleaning team when required, to ensure smooth day-to-day site functioning

    What will you bring:

    • Matric/ Grade 12 (Essential).
    • A recognized trade certificate (carpentry, plumbing, electrical, or general maintenance) is advantageous.
    • 2 – 4 years’ experience as a handyman in a corporate, commercial, or facilities management environment.
    • Strong hands-on maintenance capability with ability to self-perform a wide range of tasks. Experience with basic power tools and equipment.

    Skills & Competencies:

    • Strong technical skills across multiple maintenance areas.

    What will you be doing:

    General Maintenance & Repairs

    • Perform routine building maintenance tasks, including but not limited to: minor plumbing, carpentry, electrical repairs (non-live), painting, patching, sealing, and general fixing works.
    • Conduct regular site inspections and identify defects, wear, or areas requiring maintenance. Complete work orders and maintenance requests promptly with high-quality workmanship.
    • Ensure all self-performed work is compliant with safety and quality standards.

    Facilities Support & Operations

    • Assist with the setup, relocation, and moving of office furniture, equipment, and meeting room layouts as required.
    • Support cleaning teams with tasks such as waste removal assistance, deep-clean prep, or event/room resets when needed.
    • Respond to urgent maintenance issues and ensure minimal disruption to business operations. Report faults or major issues requiring contractor intervention and follow through until resolution.

    Client & Stakeholder Interaction

    • Provide professional and courteous service to the staff and visitors.
    • Maintain strong working relationships with the client, cleaning teams, security, and other facilities staff.
    • Represent CBRE Excellerate’s service standards while working within the clients’ environment.

    Health, Safety & Compliance

    • Adhere to all site safety and security protocols, including Lockout/Tagout where applicable.
    • Ensure proper use of tools, equipment, and PPE.
    • Report hazards, incidents, risks, or non-compliance immediately.
    • Maintain accurate records of work completed, materials used, and inspections performed.
