    Compliance Officer

    Description

    The role:

    Summary:

    The Compliance Officer is responsible to the Deputy Registrar for all matters associated with risk management and compliance across the organisation. The role requires the person to work independently with minimal supervision and direction.

    The incumbent will hold the roles of Data Protection Officer and Safeguarding Coordinator, working closely with the Data & Analytics and Student Experience teams in these respective capacities.

    The incumbent will assist the School Comittee’s Officer in collating information that must be reported to the relevant Committees of the relevant School. report to be reported to the , reporting and matters pertaining

     

    Day-to-day responsibilities include:

    • Facilitate the identification of key compliance obligations;

    • Facilitate the integration of key compliance obligations into existing practices and

    • procedures and policy documents;

    • Overseeing the management of the incident management reporting procedure by liaising with relevant stakeholders to ensure incidents are managed with fidelity;

    • Develop and maintain the risk register;

    • Promote and facilitate compliance within the company in line with it’s Quality Management System in order to uphold governance;

    • Work with the Head of Accreditation and Exams on matters pertaining to compliance related to the development and enforcement regulations in both portfolios;

    • Work closely with the Deputy Registrar in drafting new policies relating to Educational Governance;

    • Conduct quarterly risk assessments and supply reports to the Deputy Registrar for review;

    • Provide guidance to team members who need to navigate processes in line with policies and processes associated with organisational compliance;

    • Develop and implement a quantitative and qualitative “scope” of compliance; monitoring tool to assist departments in measuring or assessing compliance risk;

    • Establish processes for investigating and analysing data with respect to reportable

    • incidents;

    • Take responsibility for the management and compliance of Occupational Health & Safety across campuses;

    • Manage budget related to the compliance portfolio and report regularly on this to the Deputy Registrar;

    • As Safeguarding Coordinator, establish and maintain mechanisms and processes to uphold the Child Safeguarding Policies of the organisation;

    • As Safeguarding Coordinator, iaise with the Student Experience team regarding child protection mechanisms and incidents (identified and reported).

    Team responsibilities:

    • Facilitate the promotion and adoption of compliance and risk management within the organisation;

    • Attend and participate in the Health & Safety + Child Protection (HS&CP) meetings and execute on items to continuously strengthen compliance in these areas;

    • Manage and oversee the compliance associated with background checks / criminal history clearance;

    • Organise ongoing compliance training support for staff to ensure that all relevant team members are trained on a regular basis, including First Aid, Occupational Health & Safety, Data Protection and student / learner safeguarding;

    • Facilitate training on compliance during employee onboarding;

    • Work collaborative with the Data & Analytics team to ensure compliance with Data Protection standards and the management of incidents;

    • Work alongside the Registrar, Deputy Registrar and Head of Accreditation & Exams during site visits audits.

    Requirements

    • An NQF level 7 qualification or higher. A legal qualification is preferred;

    • An understanding of / committed interest in matters pertaining to risk and child protection;

    • Two years working experience, preferably in compliance. However, recent graduates will be considered.

    • Clear criminal history and background check.

    Deputy Registrar

    The role:

    Summary:

    The Deputy Registrar is responsible to the Registrar for all matters associated with institutional governance and compliance across the organisation. The role requires the person to work independently with minimal supervision and direction.

    The incumbent will hold responsibility for the management of team members within their department that occupy roles in governance, compliance and administration.

    The incumbent will work closely with all areas of the leadership team at Valenture Institute, and collaborate with the Registrar to ensure that governance is upheld, monitored and evaluated.

     

    Day-to-day responsibilities include:

    • Develop and uphold policies and processes for the Deputy Registrar team that govern the workflows of the respective functions;

    • Review drafted employee and Educational Governance policies;

    • Draft and roll out employee and Educational Governance policies;

    • Develop, in collaboration with the Registrar other teams, the Quality Management System reporting for academic partners;

    • Work with the Project Management team to roll out the Quality Management System reporting;

    • Engage and support Heads of Department in their understanding of governance;

    • Escalation of incidents / complaints / other issues to the Registrar that require their attention, and in some cases escalation to the respective academic partner institution;

    • Review and refine minutes drafted by the Committee’s Officer for submission to the Registrar for sign-off and dissemination to the respective Committees;

    • Oversee and provide support to the Compliance Officer as they engage with the Talent Management team and external counsel on Labour Relation issues;

    • Work with Product Owners to ensure system requirements related to functions of the team are met;

    • Develop and oversee an internal monitoring and evaluation system for governance;

    • Provide team members across the organisation with guidance relating to governance;

    • Proactively and continuously remain informed of the legislative and regulatory landscape and alert the Registrar to matters that require development / alignment / input;

    • Proactively and continuously identify governance learning and development opportunities for the Office of the Deputy Registrar and other areas in the organisation;

    • Work closely with online school Principals on matters pertaining to governance and compliance;

    • Collaborate with the Head of Accreditation & Exams in the areas of accreditation and exams to identify governance requirements and establish mechanisms for these to be upheld with fidelity.

    Team responsibilities:

    • Managing the Deputy Registrar team including the Compliance Officer, Committees Officer, Student Records Officers and future roles as the team grows;

    Requirements

    • A minimum of a NQF level 7 qualification, preferably a qualification in Law or Public Administration.

    • Minimum of 3 years of working experience. Experience in the Education sector is advantageous but not required, we invite applications from those who have lateral experience.

    • Personal management experience is highly advantageous but we invite applications from those who wish to begin their journey in this area and commit themselves to developing this capacity.
